Where you spend your time

Why Plumbing & HVAC Marketing teams switch

We know how your week actually goes

What matters to you
  • A review request after every closed job
Finished calls get a drafted request while the customer still remembers the technician by name.
  • Agreements renewed before they lapse
Expiry lists and offer drafts land weeks ahead, so a lapse never arrives as a surprise.
  • Tune-up pushes timed to the forecast
A heat advisory or a hard freeze brings the right campaign draft while the schedule still has room.
  • A Google profile that matches the shop
Hours, posts, and service areas stay consistent across Google, Yelp, Angi, and Nextdoor.
  • Every lead source tied to a booked job
Call tracking and ad spend line up with jobs that closed, so the budget follows the revenue.
  • Built around your shop
These are examples. Build a custom agent for any marketing task your team repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Plumbing & HVAC Marketing team's day.

The problem

Where the hours go

  • Review requests depend on a dispatcher or technician remembering to send the link, so a strong week of work leaves a handful of reviews while a competitor with a thinner record outranks you on the map.

An agent finds each closed job in ServiceTitan or Housecall Pro, skips anyone with an open complaint, and drafts the review request for your approval, so every happy customer is asked while the technician is still fresh in mind.

  • Maintenance agreements lapse quietly because the expiry list lives in a spreadsheet nobody opens until a customer calls to ask why their tune-up never got booked.

An agent pulls agreements ending within 45 days, matches each one to its equipment and plan tier, and drafts the renewal offer, so a lapse is caught weeks before it happens.

  • The tune-up campaign gets written the week the first heatwave hits, by which time every competitor is already advertising and the install schedule is already full.

An agent reads the forecast, keeps the campaign drafts ready, and proposes the send when a heat advisory or a hard freeze is on the way, leaving you to approve the timing and the offer.

  • Nobody can say whether the Google Ads, Local Services, direct mail, or truck-wrap number produces jobs, because the call log lives in one tool and the booked jobs in another.

An agent tags each call by source, matches it to the booked job, and builds a weekly cost per booked job by channel, so spend follows the work that closes.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA job is marked completefires within about a minute
The agent automatically

When a technician closes a job in the field-service platform, the agent notices within about a minute, checks the record for a callback or an unpaid complaint, and drafts a review request that names the technician. The draft waits in your approval queue, so nothing reaches the customer until you have seen it.

What your agent runs for you

  • Review requests
    200 min / week
Asking for reviews from a list

A dispatcher scans the day's closed jobs, copies the review link into a text for each customer, and forgets on a Friday afternoon rush.

    Review requests Agent
    0 min
    Agent drafts requests for approval

An agent finds each completed job, skips customers with an open callback, and drafts a request naming the technician, queued for your approval in the evening.

  • Agreement renewals
    180 min / week
    Working the expiry spreadsheet

Someone exports plan end dates, sorts them, and writes a renewal note per household, usually after a few plans have already lapsed.

    Agreement renewals Agent

    Agent lists and drafts renewals

An agent surfaces agreements 45 days out, matches the plan to the equipment on file, and drafts each offer for approval before the expiry date.

  • Seasonal campaigns
    240 min / week
Writing the campaign when the heat arrives

The tune-up postcard, email, and text are written in a hurry the week of the first heatwave, after rivals have already started.

    Seasonal campaigns Agent
    0 min
Agent keeps drafts ready for the forecast

An agent reads the forecast, holds the campaign copy ready, and proposes the send when a heat advisory or freeze warning is close.

  • Local listings
    120 min / week
    Updating each profile by hand

Hours, holiday closures, and service areas are changed one directory at a time, and the old Yelp or Bing listing keeps the wrong number.

    Agent keeps listings consistent

An agent compares name, number, hours, and service areas across Google, Yelp, Angi, and Nextdoor, and prepares the corrections for you to approve.

  • Lead attribution

Call logs sit in the tracking tool and booked jobs in the dispatch software, so the weekly spend discussion runs on instinct.

Trust & control

You stay in control

An agent working on your shop's reputation and ad budget only earns trust if you stay in charge. Actionist is built so you see everything it touched, approve what reaches a customer, and keep ownership of every record it creates.

Customer messages wait for your approval

Review requests, renewal offers, and campaign texts are drafted and queued. Nothing reaches a customer until you approve it, unless you widen that autonomy through Approval Modes.

Ad budget and bid changes stay yours

The agent proposes negative keywords, pauses, and budget moves with the numbers behind them. A person makes the change, so a clever guess never spends your money.

Every post and reply is logged

Each draft, edit, and approval is recorded with a timestamp, so you can see what was proposed, who approved it, and what actually went live.

Customer and job data stays yours

Names, addresses, and job history are encrypted and never used to train a model. Self-host on your own VPS if records must stay on your infrastructure.

FAQ

Frequently asked questions

Does my marketing person need to be technical to use Actionist?
No. You describe the job in plain language, such as "ask every closed job for a review and skip anyone with an open callback", connect the apps you already use, and the agent does the clicking. There is no code, and most tools need no API because the agent operates them the way a person would.
How do I get started with an agent for my plumbing or HVAC shop?
Book a free demo and an Actionist team member will walk through your biggest marketing chore, whether that is review requests, agreement renewals, or the seasonal push, and set up a working example against your own field-service and Google profile data.
How do I make customised AI agents for how our shop markets itself?
You describe the role, the apps it uses, and the approval rules for each action. For renewals, you tell it how many days ahead to look and which plan tiers exist; for reviews, which job types to skip. The shown agents are examples, and you can build a custom one for anything your team repeats.
How quickly can I set up a review or renewal agent?
A basic agent that drafts review requests from closed jobs can be running within hours of your demo. A multi-step agent, such as renewal offers matched to equipment and plan tier, usually takes a day or two of tuning. You test against a copy of your data before it touches a live customer.
We run ServiceTitan or Housecall Pro plus a call tracker. Will an agent work without an API?
Yes. The agent uses computer use in the cloud: it opens ServiceTitan, Housecall Pro, CallRail, or the Google Business Profile dashboard the way you do, reads what is on screen, and enters changes the same way. A tool with no integration at all is still reachable.
Will it text or post anything to a customer without me seeing it first?
By default, no. Review requests, renewal offers, campaign texts, and profile posts are drafted and queued for your approval, in Slack or Telegram. You can widen autonomy for steps you trust through Approval Modes, but anything customer-facing starts as a draft.
Could it reply to a bad review in a way that makes things worse?
It only drafts. For a low score the agent pulls the job notes, technician, and invoice, writes a calm reply, and hands both to the service manager. A person decides whether to post it, phone the customer, or offer a return visit, and the agent never answers a call.
Will it change my Google Ads budget or bids on its own?
No. The agent reads search terms and spend and proposes changes, such as new negative keywords or a paused ad group, with the numbers behind each. A person approves and applies them, so budget decisions stay with you.
Where does customer and job data go, and is it used to train AI models?
Your customer, address, and job data stays yours. It is encrypted, and none of it is used to train any model. Every action is logged in an audit trail, and if records must stay in-house you can self-host Actionist on your own VPS.
