Questions about Canva + Actionist

How does Actionist connect to Canva?
Go to the Apps tab, find Canva, and click Connect. Actionist opens a Canva OAuth window — sign in to your Canva account and grant the permissions requested. The agent gains access to your designs, brand templates, and asset library. Actionist runs a test call to confirm the handshake before any actions run. The connection uses Canva's official Connect API and only accesses the resources your account's permission level allows.
Can the agent autofill brand templates with data from other apps?
Yes. The Autofill Design From Brand Template action accepts dynamic field values that can be sourced from any connected app — a Google Sheet column, a HubSpot deal property, a Notion database field, or any other data the agent can read. The template must have named data fields set up inside Canva first (using Canva's brand template data fields feature); the agent then populates those fields with the values you specify. This works for any template type: presentations, social posts, certificates, flyers, and more.
What file formats can the agent export designs to?
The Export Design action supports PDF, PNG, JPG, GIF, MP4 (video), SVG, and PPTX. Not every format is available for every design type — for example, a presentation design can export to PPTX and PDF, while a social post can export to PNG and JPG. The Canva API documentation lists which formats are supported for each design type. The agent returns the download URL once the export job completes, which you can then forward to any destination.
Why do upload and export actions use a two-step job pattern?
Canva's API processes uploads and exports asynchronously — the initial action starts the job and returns a job ID, and the result (asset ID or download URL) is available once the job completes. This usually takes a few seconds for exports and up to a minute for large files. Actionist handles this with a Get Asset Upload Job or Get Design Export Job step that polls until the job is done before passing the result to the next step. For simpler cases, the Export Design Synchronously action waits internally so you only get one step.
Can the agent work with designs created by other team members, not just designs I own?
Yes, as long as the Canva account connected to Actionist has access to those designs. The Find Design search action accepts an ownership filter: 'any' returns designs you own or have access to, 'owned' returns only your own designs. For brand templates, the agent can access any template published to your organisation's brand kit. Designs in personal workspaces not shared with the organisation will not be accessible to the agent.
What file types can I import into Canva through Actionist?
The Import Design action supports PDF, Adobe Illustrator (.ai), Adobe Photoshop (.psd), Microsoft Word (.docx), Microsoft PowerPoint (.pptx), Microsoft Excel (.xls and .xlsx), OpenOffice Draw (.odg), OpenOffice Presentation (.odp), OpenOffice Sheets (.ods), and OpenOffice Text (.odt). The file must be accessible as a URL or uploaded file that the agent can read from a connected app like Google Drive or Dropbox. Canva converts the imported file into an editable Canva design.
How do I avoid creating duplicate designs for the same brief or project?
Use Find or Create Design instead of Create Design when a design might already exist for the project. This action searches your Canva library for a design matching your query first and returns the existing one if found — only creating a new design if none exists. This keeps your library clean and prevents multiple designs accumulating for the same brief. You can also use Find Design before any autofill step to confirm the template or target design exists before running the fill.
Can the agent monitor Canva and trigger other actions when a new design is created?
Yes. The New Design Created trigger fires within about a minute when a new design is added to your Canva account. You can use this trigger to log every new design to a registry, post a review request to Slack, create a matching project in your project management tool, or kick off any other downstream action. The trigger works at the account level — it fires for any design created in the connected account, including designs made by other team members who share the account.
