Where you spend your time

Your time is money

We know how your week actually goes

Most plumbing and HVAC companies are not short on calls; they are short on hands to answer them. Emergency call-outs, the dispatch board, estimates, parts, permits, and invoicing all compete for the same hour.

Actionist builds AI agents for Plumbing & HVAC that handle your digital work, so your technicians stay on the tools and your office stops chasing the paperwork behind them.

What matters to you
  • Speed to answer
A missed call on a no-heat job is a missed job, and often a lost customer.
  • Dispatch that runs itself
The right technician on the right job, with no double-booked truck.
  • Agreements that renew
Maintenance plans are the revenue that doesn't depend on an emergency.
  • Paid on completion
An invoice sent before the truck leaves the driveway gets paid faster.
  • Paperwork that's ready
Gas safety certificates and permits filed before an inspector or an auditor asks.
  • Built around your team
These are examples. Build a custom agent for any job you repeat.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Plumbing & HVAC team's day.

Triggers and Reactions

Your Agent wakes up Automatically whenever something happens

WhenAn after-hours emergency call comes infires within about a minute
The agent automatically

The moment an after-hours call or missed-call text lands, the agent reads it within about a minute, checks it against the qualifying questions (no heat, no water, gas smell), checks which technician is on call, and drafts a slot on the dispatch board with a customer text confirming the window. Every message waits for your one-pass approval before it reaches the customer, so a ringing phone at 2am never sits unanswered.

Trust & control

You stay in control

An AI agent works in your real systems, your dispatch board, your customer records, your supplier accounts, so staying in control matters. Actionist is built to be supervised: you decide how much each agent does on its own, you approve what reaches a customer, and every step is recorded for you to check.

You set the supervision

Choose how much each agent does on its own, from drafting for approval to handling trusted routine work. Anything destructive, like cancelling a job or issuing a refund, always asks first, and that cannot be turned off.

Approve from your phone

Agents can reach you over Telegram or Slack, so you approve a reply or a reschedule with one tap, from the truck or the office.

Every run is logged

Each run is recorded step by step, with screenshots and a full transcript, so you can see exactly what the agent read and did.

Your data stays yours

Credentials are encrypted in a vault and never shown again, memory stays on your own machine, and you can self-host Actionist on your own server.

FAQ

Frequently asked questions

Will it actually reply to an emergency call-out fast enough, and know what counts as a real emergency?
Yes, and speed is the whole point. The agent watches the call-tracking data and texts your calls land on and logs a new call-out within about a minute, whatever the hour. It checks it against the qualifying questions you'd ask yourself, no heat, no water, a gas smell, checks who's on call, and drafts an appointment window. You teach it your triage rules once, and until you trust it every reply waits for your approval before it reaches the customer. A no-heat call answered in minutes instead of an hour is the difference between a booked job and a customer who's already called the next name on the list.
We run our own field-service platform and a supplier portal that nothing else connects to. Will it still work?
Almost certainly. Actionist operates your tools the way a person does, by reading the screen and clicking, typing, and navigating, so it reaches software with no API at all: your dispatch board, your supplier's ordering site, the permit office's own portal. Where an app offers a clean connection it uses it; where it doesn't, the desktop agent simply works the screen, with your approval. You don't rip anything out or wait for an integration to be built. Screen automation runs on the desktop app.
Will it text or message a customer without me seeing it first?
Not unless you set it up that way. Every agent runs under an Approval Mode you choose, suggest a reply for you to send, ask before every message, or handle routine, trusted work on its own once you've seen it get it right. Anything destructive, cancelling a job, issuing a refund, can't be set to run without asking, full stop. You approve from your phone over Telegram or Slack, so a reply to a customer never goes out unseen unless you've decided it should.
Calls and emergencies come in nights and weekends. Can it cover us when the office is closed?
The desktop agent works while your computer and the app are on, which covers a lot of the day-to-day triage and follow-up. For coverage when nobody's at a desk, nights, weekends, the slow season, there's a hosted cloud runtime on a paid plan that keeps agents running unattended so an after-hours call still gets a same-minute reply and a slot on tomorrow's board, not a voicemail waiting for Monday.
Is this replacing my dispatchers and technicians?
No. It takes the repetitive admin, retyping quotes, chasing an unanswered text, filing a certificate, off your team's plate, not the judgment calls or the hands-on work. A technician still troubleshoots the furnace and does the repair; a dispatcher still makes the call on a genuinely tricky reroute. The agent handles the grind around those jobs so your people spend more of the day on the tools and the truck, and less of it on a keyboard.
Can I build an agent for something specific to how our shop runs, not just what's shown here?
Yes, that's the point. The teams, apps, and jobs on this page are real examples of AI agents for plumbing and HVAC companies, not the full list of what's possible. If your shop has its own quirk, a specific way you triage a gas smell, a particular supplier's ordering quirks, a membership tier nobody else runs, you can brief a custom agent for it the same way you'd brief a new hire: plain instructions, the tools it needs, and your approval rules.
Customer addresses, equipment, and payment details are sensitive. How is that data handled?
Credentials are encrypted in a vault and never shown again once connected. Agent memory, what it's learned about your customers and jobs, stays on your own machine rather than a shared cloud database, and it isn't used to train any model. Every action an agent takes is logged step by step with a full transcript, so you can see exactly what it read and did. If you need it, Actionist can also be self-hosted on your own server for the tightest possible control.
Nobody on my team is technical. How long before an agent is actually doing something useful?
No code, no developer needed. You brief an agent in plain English the way you'd explain a task to a new dispatcher, connect the apps it needs with a guided one-minute setup, and most shops have their first agent doing real work, drafting quotes, triaging calls, the same day. You stay in the loop with approvals while it learns your shop's way of doing things, and hand over more as it earns the trust.
What does this actually cost, and is it worth it for a shop our size?
Pricing scales with how many agents you run and whether you add the cloud runtime for after-hours coverage, so there's no single number that fits every shop, book a demo and we'll walk through what fits yours. The way to think about value: every hour an estimator isn't retyping a quote or a dispatcher isn't chasing a text is an hour back on the tools or the next call, and every missed call answered instead of lost is a booked job you'd otherwise have handed to a competitor.
