CRMSalesMarketingSocialAnalyticsAutomationLead Generation

Facebook Lead Ads lets businesses collect contact information directly from Facebook and Instagram without requiring prospects to leave the platform. The pre-populated lead forms reduce friction so more people complete them. Connect Facebook Lead Ads to Actionist and your agents can detect new leads within about a minute, route them to your CRM with all form fields mapped, retrieve performance insights across every campaign and form, audit forms for consent compliance, and monitor lead pipeline health — all without a single manual export from Meta Business Suite.

What your agent runs for you

  • Sales
    90 min / week
Manual lead export from Meta Business Suite

Reps visit Meta Business Suite, download a CSV, clean the data, import it to the CRM, and manually assign each lead — a process that delays follow-up by hours or days.

    Sales Agent

Agent routes leads to CRM within about a minute

Within about a minute of a form submission, the agent reads the full lead, creates a HubSpot contact with all fields mapped, and sends the rep a Slack notification with a CRM link.

  • Marketing
    60 min / week
    Weekly manual performance reporting

The marketing team logs into Meta Business Suite, navigates to each campaign, copies metrics into a spreadsheet, and formats a summary every week — a process that takes an hour or more.

    Marketing Agent
    0 min
Agent compiles CPL and volume digest automatically

Every week the agent pulls performance insights for all campaigns and posts a ranked cost-per-lead and volume digest to Slack — no dashboard login required.

  • Customer Support

  • Human Resources
    60 min / week
Manual applicant data entry from lead forms

HR exports leads from Facebook, copies applicant details into the ATS one by one, sends manual acknowledgement emails, and forwards the lead to the correct hiring manager by hand.

    Human Resources Agent
    0 min
Agent creates ATS records from recruitment leads instantly

When a candidate submits the recruitment form, the agent maps all fields to the ATS record, sends an acknowledgement email, and notifies the hiring manager — before HR has seen the notification.

  • Finance
    60 min / week
Manual Meta ad cost extraction for finance review

    Finance Agent
    0 min
Agent reconciles actual CPL against budget weekly

The agent retrieves performance insights for every campaign weekly and writes actual cost per lead against approved budget targets to the finance sheet, flagging overruns automatically.

  • Operations
    30 min / week
    Manual pipeline health checks

Operations staff periodically log into Meta Business Suite and the CRM to manually verify that lead permissions are still granted and that new forms have been registered in the pipeline.

    Operations Agent
    0 min
Agent runs weekly Page access and form inventory audit

Every Monday the agent checks lead access status for all Pages, counts active forms, and flags any permission gaps — the entire pipeline health check takes seconds with no human login.

  • Legal
    20 min / week
    Manual form compliance review

The legal team must be notified each time a new form is created, then manually review the form questions in Meta Business Suite and document the compliance check result in the register.

    Legal Agent
    0 min
Agent audits consent fields on every form automatically

Each time a new form is created, the agent retrieves its question definitions and verifies consent fields are present, logging the result to the compliance register and alerting the team if a form fails.

FAQs

Questions about Facebook Lead Ads + Actionist

How does Actionist connect to Facebook Lead Ads?
Go to the Apps tab, find Facebook Lead Ads, and click Connect. Actionist opens a Facebook OAuth window where you sign in and grant the required page and lead-retrieval permissions. The connection links to your Facebook account and the Business Pages you manage. Once authorised, you select which Page to associate with the integration, and Actionist runs a test read to confirm access before any lead data is retrieved.
What permissions does my Facebook account need for the lead retrieval to work?
Your Facebook account (or the connected Business Manager account) needs the 'Manage Page' permission on each Page whose lead forms you want to access, plus the 'ads_management' and 'leads_retrieval' scopes granted during the OAuth flow. If you manage pages through a Business Manager, ensure the system user or personal account used to connect has the Lead Access permission turned on inside Business Manager's Leads Access settings.
How quickly after someone fills out my lead form does the agent see the new lead?
The New Lead trigger polls Facebook's Lead Retrieval API within about a minute of a new submission. Facebook does not send a push webhook directly to third parties for lead ads; instead Actionist polls the page's lead feed on a regular interval. For the fastest possible handoff, ensure the agent's first action after detecting a new lead is a CRM write or Slack notification so the sales team sees the lead before it goes cold.
Can the agent access all the custom fields from my lead form, not just name and email?
Yes. Each lead record returned by Facebook includes all the fields the person filled in on the lead form — name, email, phone, and any custom questions you configured. The agent can map any of these fields when writing the lead to a CRM, spreadsheet, or email sequence. If you add new custom questions to a form, the agent picks them up automatically from the lead payload without any reconfiguration.
Can I pull leads from multiple Facebook Pages or multiple lead forms at the same time?
Yes. Actionist can read lead data from multiple Facebook Pages and multiple lead forms. You can configure separate agent tasks per Page or per form, or run a single agent that pulls leads from all your Pages and routes them by form name or ad set. This is particularly useful for agencies managing multiple client Pages or businesses running parallel campaigns for different products.
How does Actionist avoid creating duplicate CRM records when the same lead form is submitted?
The Facebook Lead Ads API records each lead with a creation timestamp. Actionist uses this timestamp to avoid processing the same lead twice — each poll retrieves only leads created since the last successful run. In practice this means you will never see duplicate CRM entries from a single form submission, even if the agent runs frequently.
What happens if I update my lead form and it gets a new form ID?
Yes. When you update a Facebook Lead Ad form — adding or removing questions, changing the thank-you screen — Facebook assigns a new form ID. Actionist's 'Retrieve Lead Form Details' action fetches the current form schema including all field definitions, so the agent can dynamically adapt its field mapping without manual reconfiguration. Note that Zapier users must manually reselect the form when its ID changes; Actionist handles this by resolving form details at runtime.
Are there GDPR or data-handling considerations when pulling leads from Facebook into our CRM?
Facebook Lead Ads data is covered by GDPR and Meta's Data Policy. When a lead is retrieved via the API, the data is passed to your connected apps in the same way it would be if you downloaded it from Meta Business Suite directly. Ensure that your privacy policy covers the use of Facebook-collected personal data, that you have a lawful basis for processing, and that your CRM or marketing tool is configured to honour deletion requests. Actionist itself does not store lead personal data beyond the current task context.
