AI agents for sales teams in wholesale distribution

Actionist is an AI automation tool whose agents operate the apps your wholesale sales team already uses, from retyping emailed POs to takeoff quotes drafted for your approval.

01

Where you spend your time

Why Wholesale Distribution Sales teams switch

We know how your week actually goes

A wholesale rep is judged on accounts, not keystrokes, yet the day fills with PDF purchase orders, takeoff lists, tier prices and one more question about whether the 2-inch fitting is on the shelf in the east branch.

Actionist agents operate the ERP, the CRM, the mailbox and the price sheets the way your inside team does, so reps and counter staff spend their hours on buyers, contractors and the accounts that are drifting.

What matters to you
  • Orders keyed before the truck rolls
An emailed PO sitting unkeyed past mid-morning is a missed same-day pick and a buyer who phones to ask.
  • Stock and ETA answers ready
A rep who can quote the branch count and the inbound PO date wins the job over one who says call you back.
  • Takeoffs priced to the right tier
Contractor lists priced from the wrong tier or an old cost leak margin on every line.
  • Territory notes that exist
Visit notes and next steps logged the same day mean the next rep covering the account knows what was promised.
  • Vendor programs reaching the right buyers
A promotion or rebate tier only pays off if the accounts that can hit it hear about it before month-end.
  • Time for the accounts that matter
Spend the hours on the buyers, bids and lapsed accounts only a person can win back.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Wholesale Distribution Sales team's day.

The problem

Where the hours go

  • PDF purchase orders land all morning and each one is keyed by hand, so the counter team falls behind before the first truck is loaded.

An agent reads each emailed PO, matches every line to your item master and customer part numbers, and stages the order in the ERP for a rep to release.

  • Reps answer 'is it in stock and when is more coming' by hopping between the ERP, a branch sheet and a vendor email, then call back late.

An agent keeps branch counts and inbound PO dates in one digest, so the rep sees the answer, the substitute and the lead time before the buyer asks.

  • Takeoff lists from contractors get priced from the wrong tier or an old cost, so margin quietly leaks on the biggest jobs.

An agent drafts the quote from the takeoff using the buyer's price level and current cost, flags lines under the margin floor, and holds it for approval.

  • Outside reps drive between accounts with no brief and type visit notes at night, so buyers who have gone quiet go unnoticed until the quarter ends.

An agent builds each day's account briefs, logs visit notes into the CRM, and flags the accounts running past their usual reorder date.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA customer emails a PO as a PDFfires within about a minute
The agent automatically

When a purchase order arrives in the orders mailbox, the agent picks it up within about a minute, reads the PO number, ship-to and each line, matches the buyer's own part numbers to your SKUs, and stages the sales order in the ERP. Anything it cannot match is listed for a rep rather than guessed.

What your agent runs for you

  • Order capture
    330 min / week
Keying orders from PDFs and notes

Reps and counter staff retype each emailed PO, decode shorthand call notes and chase unclear part numbers, so orders reach the ERP after the first pick wave.

    0 min
Agent stages the order for release

An agent reads the PO or call note, matches lines to your item master and queues the staged order, listing the unmatched lines for a person.

  • Stock and ETA answers
    240 min / week
Answering 'is it in, and when'

Reps open the ERP, a branch sheet and a vendor email thread to answer a stock question, then call back an hour later.

Agent posts a digest with ETAs

An agent checks stock on every open quote each morning and posts stockouts with the next inbound date and a ranked substitute.

  • Quotes and pricing
    420 min / week
    Pricing a contractor takeoff

An estimator looks up each line, works out the tier and cost, and checks the margin by eye, so big jobs take an afternoon and sometimes leak margin.

Trust & control

You stay in control

A sales agent in a distributor touches orders, price levels and customer messages, so you stay in control of every move. Actionist drafts, you decide, and each step is logged.

Quotes and replies wait for you

By default the agent drafts quotes, follow-ups and vendor-deal notes and queues them for the rep. Nothing reaches a buyer without approval unless you widen autonomy.

Price and credit stay with people

The agent flags lines under the margin floor and accounts on hold. A person decides on discounts, credit and anything that changes terms.

Phones stay with your team

The agent reads call logs and voicemail transcripts that your phone app produced. It never answers, makes or listens to calls.

Every run is recorded

Each run is logged with the screens it opened and what it changed, so a manager can see exactly how an order or quote was prepared.

FAQ

Frequently asked questions

Will it send quotes or emails to buyers without my reps seeing them?
No. By default the agent drafts quotes, follow-ups and vendor-deal notes and queues them for the rep to approve. Approval Modes let you move trusted routine work toward guarded auto later, but anything sent to a buyer asks first unless you choose otherwise.
We run an older ERP with no API. Can an agent still key orders?
Yes. Actionist agents operate the ERP screens in the cloud the way a trained clerk would, so a system with no API is still in reach. The agent stages the order and a rep releases it. Screen automation runs in the cloud.
Does my sales team need to be technical to use this?
No. Reps describe the job in plain words, such as 'read the orders mailbox each morning and stage the orders', and an agent is set up for you. Nobody on your team needs to write code or understand APIs.
How do we get started with a wholesale sales agent?
Start with the job that eats the most hours, usually emailed POs or takeoff quotes. Connect the mailbox and the ERP, run the agent in suggest mode for a week, and widen what it does as the team trusts the drafts.
Can we build a custom agent for how our counter and outside reps actually work?
Yes. The agents and jobs on this page are examples, not the limit. You can build a custom agent for any repeatable job, such as your own rebate rules, a chain customer's routing guide, or a regional pricing file.
How quickly can we set Actionist up for the sales team?
A first agent, such as the order inbox reader, can usually be running the same day because it uses the apps your team already has open. Cross-reference tables and price rules take longer and grow as the agent learns your accounts.
How does the agent know the right price for each buyer?
It reads the price level or contract file in your ERP for that account and applies it to each quote line. Lines under your margin floor are flagged for a person, and discounts are never approved by the agent.
Is my customer pricing and account data safe?
Credentials are stored encrypted and never shown again, runs are logged, and memory stays on your own machine. You can also self-host Actionist on your own server, and you decide which accounts and files an agent may open.
Is this replacing my reps or the counter team?
No. It takes the keying, lookups and reformatting so reps spend time with buyers and bids. A person still releases orders, sets discounts, handles credit and decides who to call.
