AI workforce for Mortgage Brokers Sales

AI agents for sales teams at mortgage brokers

Actionist is an AI automation tool whose agents operate the apps your mortgage brokerage sales team already uses, from retyping inquiries and rate sheets to drafted scenarios and replies waiting on the loan officer.

Loan officers get back the hours lost to lead logging, quote building, and chasing first-meeting paperwork.

Where you spend your time

Why Mortgage Brokers Sales teams switch

We know how your week actually goes

What matters to you
  • Every inquiry logged with its source
Zillow, Bankrate, LendingTree and website leads reach the CRM with the lead source and the referring agent filled in.
  • Rate scenarios ready before the call
Side by side 30 versus 15 year and points versus credit sheets are drafted from the day's rate sheet for you to price.
  • Consultations booked without the diary dance
Open slots on each loan officer calendar are offered to the borrower, with a prep list for what to bring.
  • Pre-approval packs that arrive finished
Paystubs, W-2s and statements are summarised into one sheet before the loan officer decides anything.
  • Realtors told where their client stands
Buyer's agents get a drafted status note for clients who agreed to share it, so they stop chasing you.
  • Built around how your desk originates
These are examples of what a mortgage sales agent can do. Build a custom agent for any job you repeat.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Mortgage Brokers Sales team's day.

The problem

Where the hours go

  • A Zillow or Bankrate inquiry sits in the shared inbox while the loan officer is mid-consultation, and by the time someone retypes it into the CRM the borrower has already talked to two other lenders.

An agent reads each portal notification and website form on a schedule, logs it with its source and referring agent, builds a one-page snapshot, and drafts the first reply for the loan officer to approve.

  • Every quote request means opening the lender rate sheet PDF, retyping figures into a spreadsheet, and rebuilding the same 30 year versus 15 year comparison, which is why quotes go out hours late.

An agent reads the rate sheet when it lands, lays out the program scenarios side by side from the numbers you enter, and queues a reply draft. You set the price and decide what the borrower sees.

  • A pre-approval stalls because the paystubs, W-2s and two months of bank statements arrive in three emails and a text, and nobody has laid them out in one place for the loan officer to review.

An agent tracks what has arrived against the checklist, drafts the reminder for what is missing, and builds the income and asset summary sheet. The loan officer decides, signs and sends the pre-approval letter.

  • Realtors keep asking where their buyer stands, quiet leads go unchased, and past clients with a note rate well above today's market are never called because nobody has time to look.

An agent drafts the partner status notes, lists the leads gone quiet, and flags past clients whose logged rate is above today's sheet, leaving the loan officer to decide who is worth a call.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA new Zillow, Bankrate or website lead arrivesfires within about a minute
The agent automatically

When a lead notification reaches the shared sales inbox or a web form is submitted, the agent reads it within about a minute, creates or merges the CRM record, tags the source, routes it by licence state and loan type, and writes the qualification snapshot. The drafted reply, with the consultation link, is held in Slack for the loan officer to approve or rewrite.

With Actionist

What your agent runs for you

  • Inquiry response
    240 min / week
Retyping portal leads into the CRM

Between consultations someone opens each Zillow or Bankrate email, copies the borrower into the CRM, and guesses the source, usually after the borrower has heard from another lender.

    Inquiry response Agent
    0 min
Agent logs and drafts the first reply

An agent reads the notifications on schedule, logs each lead with its source and referring agent, and queues a drafted reply for the loan officer to approve in Slack.

  • Rate scenarios
    200 min / week
Rebuilding the quote spreadsheet by hand

Each quote starts from the rate sheet PDF, with figures retyped into a comparison and a note about points versus credits, so replies leave late and with the odd typo.

    Rate scenarios Agent
    0 min
Agent drafts the side by side sheet

An agent lays out the program scenarios from the day's rate sheet and the loan officer's inputs, attaches the sheet to a reply draft, and waits for the loan officer to price and approve.

  • Consultations
    150 min / week
Texting back and forth to fix a time

A loan officer proposes a slot, hears back hours later, proposes another, then loses a share of the calls to no-shows nobody rebooks until the borrower has signed elsewhere.

    Consultations Agent
    0 min
Agent offers real slots and rebooks misses

An agent reads each calendar, offers two genuine times, drafts the confirmation and reminder, and queues a rebooking note when a consultation is marked missed.

  • Pre-approval packs
    180 min / week
    Hunting for documents across inboxes

Paystubs sit in one email, a W-2 in a text, bank statements in a shared folder, and the loan officer reads them all again before deciding anything.

    Pre-approval packs Agent
    0 min
    Agent summarises what arrived

An agent checks the folder against the checklist, drafts the reminder for what is missing, and fills the income and asset summary sheet so the loan officer reviews one page.

  • Follow-up and revival
    120 min / week
    Remembering who has gone quiet

Leads that stop replying and past clients with an old, high note rate only come up when a loan officer happens to scroll the CRM, which in a busy month never happens.

    Follow-up and revival Agent
    0 min
Agent lists and drafts the nudge

An agent surfaces leads with no reply, pre-approvals near expiry and past clients above today's rate, each with a drafted note, and the loan officer chooses who to contact.

Trust & control

You stay in control

A sales agent that reads inquiries, rate sheets and borrower documents is only worth having if the licensed person stays in charge. Actionist is built so you see everything it touched, approve whatever reaches a borrower, and keep every credit and pricing decision.

Borrower messages wait for the loan officer

Each first reply, quote email, reminder and rebooking note is drafted and held for approval in Slack or Telegram. Nothing reaches a borrower unless you widen that autonomy through Approval Modes.

Pricing, eligibility and pre-approval stay human

The agent prepares scenarios and summary sheets. The loan officer sets the price, judges whether a borrower qualifies, and signs the pre-approval letter. The agent never pulls credit or locks a rate.

A record of every change it makes

Each contact it creates, merges or tags is logged with a timestamp, so a branch manager can see what changed and why, and put it back if a record was wrong.

Borrower details stay yours

Incomes, balances and documents are treated as sensitive, kept encrypted, and are not used to train any model. If they must stay on your own infrastructure, you can self-host Actionist on a VPS.

FAQ

Frequently asked questions

Does my mortgage sales team need to be technical to use Actionist?
No. You describe how your desk handles inquiries, quotes and pre-approvals in plain language, connect the apps you already use, and the agent does the clicking. Most tools need no API because the agent operates the screen the way a loan officer would, so nobody on the sales team writes code.
How do I get started with an agent for our loan officers?
Book a free demo and an Actionist team member will pick one real annoyance, such as logging portal leads or building the quote sheet, and set up a working example against your own CRM. You test it with approvals switched on, then add the next job once you trust the first.
How do I make customised AI agents for how our desk originates?
You describe the agent's role, the apps it can use and the approval rule for each action. A pre-approval agent, for example, is told which documents your checklist requires and which figures the loan officer must confirm. The examples on this page are starting points, and you can build a custom agent for any job your team repeats.
How quickly can I set a mortgage sales agent up?
A single job such as logging and drafting replies to portal leads can be running within a day of the demo. Jobs that span several tools, like the scenario sheet or the pre-approval summary, usually take a few days of tuning against your real files. You test on your own data with approvals on before it touches anything live.
Will it message a borrower without a loan officer seeing it first?
Not by default. Every first reply, quote email, reminder and rebooking note is drafted and held for approval in Slack or Telegram. The agent sends only what a person approves, and you can widen that for steps you trust through Approval Modes, though a message to a borrower always starts as a draft.
Does it decide who qualifies or what rate to quote?
No. Credit and pricing decisions are a licensed person's. The agent reads what the borrower entered, lays out the scenarios from the rate sheet and the numbers you provide, and builds the summary sheets. It never pulls credit, never locks a rate and never issues a pre-approval; the loan officer decides and signs.
What if our loan origination system or CRM has no API?
Because Actionist uses computer use in the cloud, it operates your CRM, shared inbox and lender portals the way a loan officer would, by reading the screen and taking actions. That means it works with older tools that have no API. Screen automation runs on your organisation's Actionist cloud machine.
How is borrower financial data handled?
Incomes, balances and documents are treated as sensitive and kept encrypted, and they are not used to train any model. The agent works only in the folders and records you connect, every change is logged, and if the data must stay on your own infrastructure you can self-host Actionist on a VPS.
Can it answer our phone line or text borrowers on its own?
No. The agent does not take or make phone calls. It can read call logs and voicemail transcripts that RingCentral, CallRail, JustCall or Dialpad produce, and it drafts texts for borrowers who have opted in. A text is sent only after a loan officer approves it, and chat alerts go to Telegram or Slack.
