AI workforce for Wholesale Distribution HR & People

AI agents for HR teams in wholesale distribution

Actionist is an AI automation tool whose agents operate the forms, rosters and inbox your HR team already uses, from hand-sorting picker and driver applications to a ranked shortlist and licence expiry list each morning.

HR coordinators in distribution get back the hours lost to applicant sorting, shift cover, and certificate tracking.

Where you spend your time

Why Wholesale Distribution HR & People teams switch

We know how your week actually goes

What matters to you
  • Applicants sorted against the real role
Licence class, shift and experience are checked on every application, so a person starts from a ranked shortlist.
  • Shift gaps spotted before the doors open
Absences and agency numbers are compared with the roster each morning so a short shift is known at 06:15, not at 07:00.
  • No licence or certificate left to lapse
Forklift, hazmat and driver checks are tracked by date, with a list of what expires in the next 60 days.
  • Starters ready on day one
System access, PPE and the safety induction are all requested before the first morning, not chased during it.
  • Incident forms closed with the facts
Open near-miss and injury forms are chased until the statements are in and the file is complete.
  • Time for the people decisions that matter
You keep the hiring calls, pay decisions and difficult conversations; the agent clears the admin around them.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Wholesale Distribution HR & People team's day.

The problem

Where the hours go

  • Every vacancy for pickers or drivers brings a stack of applications to read by hand, so shortlists slip a week and the best candidates have taken a job at the next depot by the time anyone replies.

An agent reads each application against the role's licence, shift and experience needs and hands the coordinator a ranked shortlist, with the decision on who to meet staying with a person.

  • Absence and agency numbers are checked against the roster by phone and text at 06:30, so a short shift is found when the trucks are already waiting.

An agent compares the absence list, the agency order and the roster before the shift starts and gives the supervisor a list of uncovered roles and the agency names still unconfirmed.

  • Forklift refreshers, driver licence checks and hazmat certificates live in separate spreadsheets, and a lapsed one is only discovered when an auditor or an accident makes it matter.

An agent keeps one dated record, warns 60 days ahead, and drafts the course booking for the coordinator to confirm with the supervisor.

  • New starters arrive without system access or safety boots, and incident forms sit half-finished for weeks because nobody has time to chase the missing statement.

An agent raises the access and PPE requests before day one and chases every open incident form until the facts are in, so the file is complete when it is needed.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA picker or driver application arrivesfires within about a minute
The agent automatically

When an application lands through the careers form or the job board inbox, the agent reads the CV and the answers about licence class, shift availability and experience, compares them with the open vacancy within about a minute, and adds a one-paragraph fit summary to the shortlist sheet. The coordinator decides who is invited; the agent does not reject anyone.

Trust & control

You stay in control

An agent that handles applications, shift cover and safety records handles information about real people. Actionist is built so a person makes every hiring, pay and safety decision, you see every message before it reaches a candidate or colleague, and the records stay under your control.

Candidate and staff messages wait for approval

Interview invitations, reference requests and starter messages are drafted and held for your approval. Nothing reaches a candidate or colleague on its own unless you widen that autonomy through Approval Modes.

People make the hiring, pay and safety calls

The agent ranks, lists and drafts. It never rejects an applicant, passes probation, sets a pay figure, rates an injury or decides a disciplinary outcome; a person does each of those.

A full audit trail of what was read and written

Every application read, form checked and record updated is logged with a timestamp, so you can show what the agent did and when if a candidate or an auditor asks.

Employee data stays yours

Applications, licence records and incident forms are encrypted and never used to train any model. Self-host on a VPS if personal data must stay on your own infrastructure.

FAQ

Frequently asked questions

Does my HR team need to be technical to use Actionist?
No. You describe the job in plain words, such as sort overnight picker applications against the open vacancy or list every licence expiring in 60 days, and the agent works in the apps your team already uses. There is nothing to code, and you can start with one task and add more as it earns your trust.
How do I get started with an HR agent for a distribution business?
Book a free demo and bring one task that eats your week, such as the licence expiry sweep or the applicant shortlist. We set up that single agent against your forms, roster and inbox so you can see it produce a real list, and then you add other jobs from the same account.
How do I make customised AI agents for the way our warehouse and depots hire and run?
You describe the role, the apps it uses and the approval rule for each action. For hiring you give it the requirements per vacancy; for licences you point it at the record and the lead time you want. The jobs on this page are examples, and you can build an agent for any repeated task, such as a depot-specific induction.
How quickly can I set an HR agent up?
A single-job agent, such as the daily applicant sort or the licence expiry list, can usually run within a day or two once the form or spreadsheet is connected. Jobs spanning several tools, like linking acceptance to access requests and PPE ordering, take longer because they need testing against your real starter process.
Where do applicant, licence and incident records live, and are they used to train AI models?
Your people data stays yours. Applications, licence records, incident forms and timesheets are encrypted, none of it is used to train any model, and every read and write is logged. If personal data has to stay on your own infrastructure, you can self-host Actionist on a VPS.
Our roster and clock-in system have no API. Can an agent still compare absence with cover?
Often, yes. Where there is no connector the agent can operate the clock-in or roster screen the way a person does, reading the absence report into a sheet. That is slower than a native link and is tested with you first, but it means older workforce tools are not a barrier.
Will the agent message candidates or staff without me approving it?
Not unless you choose that. By default every interview invitation, reference request and starter message is drafted and queued for approval. Approval Modes let you widen autonomy on routine internal nudges to supervisors, while anything sent to a candidate or touching pay keeps asking first.
Does the agent decide who gets hired or how people are paid?
No. It sorts applications against the role, lists what is missing and drafts the paperwork. A person decides who is interviewed, who is hired, who passes probation and what anyone is paid. Commission figures it prepares are drafts for the sales director and finance to check.
Can it help with safety records without making safety decisions?
Yes. It chases incomplete forms, counts toolbox sign-offs, assembles investigation files and tracks licence and training dates. It does not rate severity, decide cause, or sign anything off. Those judgments remain with your safety officer and management, who use the file the agent assembled.
