Extract structured data from any document, automatically

ProductivityDocumentsSpreadsheetsFinanceAIAutomation

Docparser is a document data extraction platform that converts PDF invoices, purchase orders, contracts, and forms into structured, actionable data. Configure parsing rules once in Docparser, then connect it to Actionist so your agents can submit documents automatically, retrieve parsed fields, and push extracted data to any downstream app — accounting systems, CRMs, ERPs, or spreadsheets — without anyone reading a PDF.

Eliminates manual work. Agents eliminate manual reading, data extraction, and re-keying of document data across invoices, contracts, purchase orders, and application forms — the most time-consuming repetitive tasks in document-heavy teams.

Email invoice auto-captured and queued for AP approval

When an invoice PDF arrives in the shared Gmail inbox, the agent fetches the attachment URL and submits it to Docparser's AP parser. The extracted vendor name, amount, and due date are appended to the tracking spreadsheet and a summary is posted to the #accounts-payable Slack channel so the team can approve or flag the invoice — all before any human has opened the email.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    25 min / week
Manual contract data entry into CRM

Sales reps open each signed contract PDF, manually read the terms, and re-key client name, value, and effective date into the CRM — often hours after the contract arrives.

    Sales Agent
    0 min
Agent parses signed contracts and updates CRM automatically

When a signed contract arrives, the agent submits it to Docparser and writes extracted deal terms to the CRM deal record before the rep's next call.

  • Marketing
    30 min / week
    Manual media kit data extraction

The marketing team reads each incoming media kit PDF, copies publisher name, reach figures, and rate card into a spreadsheet — 15 minutes per kit, multiplied by every inbound partner inquiry.

    Marketing Agent
    0 min
Agent extracts media kit data into partner database

Inbound media kit PDFs are uploaded to Docparser automatically and extracted contact details and rates are written to the partner tracking sheet without anyone opening the PDF.

  • Customer Support
    20 min / week
Manual warranty claim reading and ticket creation

Support agents open each claim PDF, read the product details and purchase date, and manually create a helpdesk ticket — adding 10 minutes of reading and typing per claim.

    Customer Support Agent
    0 min
Agent creates helpdesk tickets from parsed claim fields

Warranty claim PDFs are parsed automatically and structured fields are used to pre-fill helpdesk ticket records — agents see data, not documents.

  • Human Resources
    32 min / week
Manual application data entry into ATS

HR reads each application PDF and manually enters candidate details into the applicant tracking system — 8 minutes per application, with hiring volumes of 20 or more per week.

    Human Resources Agent
    0 min
Agent populates ATS from parsed application fields

Job application PDFs are uploaded to Docparser and candidate name, email, and experience are written to the ATS automatically — no manual data entry before the first screen.

  • Finance
    45 min / week
Manual invoice data entry into accounting system

AP staff open each invoice PDF, read the vendor name, amount, and due date, and manually create a bill record in the accounting system — repeated for every invoice, every day.

    Finance Agent
    0 min
Agent writes invoice data to accounting system from parsed fields

Each invoice arriving by email is submitted to Docparser automatically and the extracted amount, vendor, and due date are written to the accounting system as a bill ready for approval.

  • Operations
    35 min / week
    Manual shipping manifest data entry

Operations staff read each carrier manifest PDF and manually enter each delivery stop — address, item count, tracking number — into the logistics system before the dispatch run can begin.

    Operations Agent
    0 min
Agent extracts shipping manifest line items into logistics system

Shipping manifests are submitted to Docparser and each delivery stop is extracted as a table row, written directly to the logistics system before the dispatch team's morning briefing.

  • Legal
    20 min / week
Manual contract indexing and registry entry

Paralegals read each executed contract, extract the key metadata, and manually create a registry entry in the contract management system — a slow, repetitive task for every signed document.

    Legal Agent
    0 min
Agent indexes executed contracts into the legal management system

Signed contracts are submitted to Docparser and extracted parties, dates, and key terms are written to the legal contract registry automatically — contracts are searchable within about a minute.

FAQs

Questions about Docparser + Actionist

How does Actionist connect to Docparser?
Go to the Apps tab, find Docparser, and click Connect. Enter your Docparser API key — you can find it in your Docparser account under Settings > API Key. Actionist runs a test call to verify the credentials before any parsing jobs run. Once connected, your agent can submit documents for parsing and retrieve structured data within about a minute of processing.
Where do I find my Docparser API key?
Your Docparser API key is available in your account under Settings > API Key. It grants full access to your document parsers, so treat it like a password. If you rotate the key inside Docparser, update the connection in Actionist's Apps tab immediately — old keys are invalidated and the agent will start returning authentication errors within about a minute of the rotation.
How does the document parsing actually work?
Docparser uses a rule-based parsing engine you configure once in the Docparser dashboard — defining which fields to extract (invoice number, total amount, vendor name, line items, etc.) using layout zones, regex, or keyword anchors. Once the parser is configured and connected to Actionist, your agent submits documents and retrieves the structured fields. You do not write parsing rules through Actionist; the agent handles submission and result retrieval while Docparser handles the extraction logic.
How long does it take to get parsed data back after submitting a document?
Docparser processes most documents within seconds of upload, but Actionist polls for results within about a minute using the Parsed Document Data Available trigger. For high volumes, the agent submits documents in batches and collects results as they become available. The Parsed Table Row Available trigger fires separately for each row extracted from tabular data, making it easy to process line-item data from purchase orders or invoices row by row.
Can I use multiple document parsers for different document types?
Yes. You can have multiple document parsers configured in Docparser — one for invoices, one for purchase orders, one for shipping labels, and so on. When connecting each parser to Actionist, your agent selects the specific document parser by name. This lets you build separate agent tasks for each document type, each routing parsed data to the right downstream system (invoices to your accounting software, POs to your ERP, shipping data to your logistics tool).
What file types does Docparser support and does it handle scanned PDFs?
Docparser is document-format agnostic for most business document types — it handles PDF, DOCX, PNG, TIFF, and scanned image files. For image-based scans, Docparser applies OCR automatically. The key constraint is consistency of layout: parsers work best when documents follow a predictable structure. One-off or highly variable formats (handwritten notes, free-form letters) are harder to parse reliably without a well-tuned layout.
What can I do with the parsed data once Actionist retrieves it?
Once Actionist retrieves the parsed fields from Docparser, your agent can write them to any connected app — push invoice data to QuickBooks, insert PO line items into a Google Sheet, create a deal in HubSpot from a contract, update a record in Airtable, or post a summary to Slack for approval before writing to your ERP. The parsed JSON from Docparser maps cleanly to any action in your agent's connected app stack.
Can I process documents in bulk or on a schedule?
You can queue documents for parsing by submitting them through Actionist when they arrive — from email attachments detected in Gmail, files dropped into a Google Drive folder, or documents received via a webhook. The agent submits each document to the relevant parser. Processing happens on Docparser's servers, and results arrive within about a minute. For large daily batches, schedule the submission task during off-peak hours (requires a cloud runtime plan for overnight operation).
