AI workforce for Wholesale Distribution Founders & Executives

AI agents for founders in wholesale distribution

Actionist is an AI automation tool whose agents operate the ERP, sheets and inbox founders already use, from stitching the Monday numbers by hand to a scorecard and margin watchlist waiting before the huddle.

Distribution owners and GMs get back the hours lost to report pulling, supplier notices, and lender and board pack assembly.

Where you spend your time

Why Wholesale Distribution Founders & Executives teams switch

We know how your week actually goes

What matters to you
  • The branch numbers waiting before the huddle
Booked, shipped, fill rate and backorders by branch and rep, posted to Slack before the 07:30 meeting.
  • Supplier increases priced in on arrival
Every price notice is compared with your price file so margin damage shows up on a list, not on the invoice.
  • Rebates earned, not left on the table
Purchases are tracked against each supplier tier, so you see the gap to the next rebate while you can still act.
  • Your biggest accounts, watched for drift
A top customer slipping off its usual reorder cycle reaches you as a name and a number, not as a lost quarter.
  • Lender and board packs that draft themselves
Borrowing base inputs, covenant ratios and the board pack assemble from live data for you to sign off.
  • Time for the deals only you can close
Spend your week on supplier negotiations, key customers and acquisitions, not on pulling reports.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Wholesale Distribution Founders & Executives team's day.

The problem

Where the hours go

  • The Monday numbers are a morning of exporting from the ERP, pasting into a sheet and reconciling branch totals, so the leadership meeting starts with a debate about whose figure is right.

An agent builds the branch scorecard from the ERP before each huddle and posts it to Slack, leaving the meeting to decide what to do about the numbers.

  • A supplier increase lands in an email attachment, nobody re-costs the price file for three weeks, and a quarter of margin leaks out through orders priced on the old cost.

An agent reads each notice, compares it with the price file, and hands you a list of the lines now under the margin floor with a proposed new price for your approval.

  • Rebate tiers and key accounts are tracked in the head of whoever remembers, so a supplier tier is missed by a small order or a top customer quietly drifts to a competitor.

An agent tracks purchases against every rebate threshold and watches each top account's reorder cycle, then flags the gap or the silence while there is time to act.

  • The lender pack and the board pack each take a day of copying figures between the ledger, the stock report and a spreadsheet, and they slip whenever the week gets busy.

An agent assembles borrowing base inputs, covenant ratios and the board pack from live data, and you add the commentary and approve what goes out.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA supplier price-increase notice arrivesfires within about a minute
The agent automatically

When a price letter or revised list arrives in the inbox, the agent reads the effective date and the percentage changes, matches each line to the ERP item, and recalculates margin at current sell prices. Within about a minute you have a list of the lines that no longer clear the floor, with a proposed new price per customer tier waiting for your approval.

Trust & control

You stay in control

An agent that reads your margins, your lender figures and your supplier terms only earns trust if you stay in control. Actionist is built so you see what it prepared, approve anything that leaves the building, and keep every decision about price, credit and strategy.

Messages to suppliers and customers wait for you

A nudge to a branch manager, a reply to a principal or a note to a customer is drafted and held for your approval. Nothing goes out on its own unless you widen that autonomy through Approval Modes.

Price, credit and rebate decisions stay yours

The agent lists the lines under the floor and proposes a price, but you decide what the new price is. It never changes a price file, a credit limit or a purchase on its own.

Lender and board figures are reviewed first

Every number in a borrowing base or board pack is drafted from source systems, with unreconciled items listed beside it, and nothing is shared until you have approved it.

Your trading data stays yours

Margins, supplier terms and customer lists are encrypted and never used to train any model, with a full audit trail of what the agent read and wrote. Self-host on a VPS if it must stay on your own infrastructure.

FAQ

Frequently asked questions

Does a distribution owner or GM need to be technical to use Actionist?
No. You describe the job in plain words, such as build the Monday scorecard from the ERP and flag any line under the margin floor, and the agent does the work in the apps you already use. There is no code to write, and you can start with one report and add more as you gain confidence.
How do I get started with an executive agent for my distribution business?
Book a free demo and bring one recurring report, such as the weekly branch scorecard or the supplier price-notice sweep. We set up that single agent against your ERP, spreadsheets and inbox so you see it produce a real draft, then you add more jobs from the same account.
How do I make customised AI agents for how my business is run?
You describe the agent's role, the apps it uses and the approval rule for each action. For margin watch you give it the floor per customer tier and the file to check; for rebates you point it at the agreements and tier thresholds. The examples on this page are starting points, not limits, and you can build an agent for any job you repeat.
How quickly can I set an executive office agent up?
A single-report agent, such as the daily scorecard posted to Slack, can usually be running within a day or two once the ERP access is in place. Jobs that span several tools, like a borrowing base pack, take longer to tune because the lender template and the reconciliations need testing against your real figures before you rely on them.
Where do our margins, supplier terms and customer lists live, and are they used to train AI models?
Your trading data stays yours. Margins, supplier agreements and customer lists are encrypted, none of it is used to train any model, and every read and write is logged. If everything has to stay on your own infrastructure, you can self-host Actionist on a VPS.
Our ERP is old and has no API. Can an agent still build the scorecard?
Often, yes. Where there is no connector, the agent can operate the ERP screens the way a person does, opening the report, exporting it and reading it into a sheet. That works with older distribution ERPs as well as NetSuite or Odoo, though a screen-driven run is slower than a native connection and is tested with you first.
Will the agent email a supplier, a customer or my lender without me seeing it?
Not unless you choose that. By default every message to a supplier, customer, branch manager or lender is drafted and queued for your approval. Approval Modes let you widen autonomy only on routine internal nudges, and anything involving price, credit or a commitment keeps asking first.
Does the agent decide pricing, buying or credit for us?
No. It prepares the facts: which lines are under the floor, how far a rebate tier is, which account is overdue. You decide the price, the order and the call to make. The agent is there to give an owner more of the time that those decisions need.
Can an agent help when we are looking at buying another distributor?
It can handle the paperwork side. It builds the document checklist, tracks which contracts, licences and stock records have arrived, and drafts summaries of the agreements for your advisors. The valuation, the negotiation and the decision to proceed remain with you and your advisers.
