AI workforce for Hospitality Sales

AI agents for sales teams in hospitality

Actionist is an AI automation tool whose agents operate the apps your hospitality sales office already uses, from rebuilding every RFP response and rooming list chase by hand to drafts waiting for the seller.

Hotel and venue sales teams get back the hours lost to RFP re-keying, hold chasing, and deposit follow-up.

Where you spend your time

Why Hospitality Sales teams switch

We know how your week actually goes

What matters to you
  • RFPs answered while planners still shop
Each Cvent or email RFP gets room dates checked and a response drafted for the seller before rival hotels reply.
  • Tentative holds that convert or release
Option dates are watched daily, so a hold is chased before it expires and blocks a better booking.
  • Wedding couples who never wait on a quote
Enquiries, viewing slots and payment schedules stay on track from first message to final guest numbers.
  • Corporate rates renewed before the bid
Negotiated accounts show their production and renewal date, so the annual response is built from facts.
  • Group blocks that pick up as contracted
Rooming lists, cutoff dates and pace are tracked against each block, so attrition surprises come early.
  • Built around your sales office
These are examples of what a hospitality sales agent can do. Build a custom agent for whatever your team repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Hospitality Sales team's day.

The problem

Where the hours go

  • A planner sends the same RFP to six hotels, and the one that replies with real room dates first usually wins while the seller is rebuilding a proposal from the last one.

An agent reads each RFP as it arrives, checks the diary, and drafts the response and hold for the seller to review and send.

  • Tentative holds expire quietly in the diary, so a Saturday that should have been released or chased is lost to a better enquiry.

An agent flags every option date a week out and drafts the nudge to the planner, so the seller converts the hold or frees the date.

  • Group blocks drift because rooming lists, cutoff dates and pickup are tracked in three places, and the shortfall appears after the contract deadline.

An agent compares each block to its contracted curve, drafts the organiser chase, and tells the seller early where attrition is heading.

  • The Friday forecast is assembled from exports and memory, so the pipeline the general manager sees is stale by the time the meeting starts.

An agent builds the pipeline and pace pack from the CRM each Friday and posts it to the sales channel for the director to review.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA meetings RFP arrives by email or Cventfires within about a minute
The agent automatically

When a planner's RFP lands in the sales inbox, the agent picks it up within about a minute, reads the dates, delegate count and space needs, checks them against the diary, logs the opportunity and drafts a response and option hold. The seller reviews and sends it.

With Actionist

What your agent runs for you

  • Group and meetings sales
    240 min / week
Rebuilding each RFP response by hand

A seller opens last year's proposal for a similar conference, swaps the dates and names, and re-keys room rental and menu pricing, while another hotel replies first.

    Group and meetings sales Agent
    0 min
RFP checked and drafted ahead of the seller

An agent reads the RFP, checks the diary, and drafts the response and hold for the seller to review, so the seller edits instead of building.

  • Events and weddings
    150 min / week
Remembering which holds are about to lapse

The events manager scans the diary for option dates, then writes a separate nudge to each couple or planner who has gone quiet since the quote.

    Events and weddings Agent
    0 min
Expiring holds surfaced with nudges drafted

An agent lists every hold a week from expiry with a nudge ready, so the manager approves or edits rather than hunting through the diary.

  • Group blocks
    180 min / week
    Chasing rooming lists from organisers

A coordinator emails each organiser as the contract deadline approaches, tracks who replied in a spreadsheet, and rereads the pickup figures against the block.

    Group blocks Agent
    0 min
    Chases and pickup tracked automatically

An agent drafts each rooming list reminder and compares pickup with the contract curve, flagging the blocks running behind for the seller.

  • Corporate accounts
    120 min / week
Gathering production for a rate renewal

Before each negotiated rate renewal, someone exports room nights from the PMS, matches them to the account, and writes up the concessions history from old emails.

    Corporate accounts Agent
    0 min
    Renewal summary assembled in advance

An agent builds each account's production and concession summary ninety days ahead, leaving the seller to decide the rate and the approach.

  • Sales leadership
    150 min / week
    Building the Friday pipeline pack

The sales manager pulls stage counts, value by arrival month and pickup from different systems and pastes them into the meeting deck late on Friday.

    Sales leadership Agent
    0 min
Pack posted from live CRM data

An agent assembles pipeline, pace and expiring holds from the CRM and posts the pack to the sales channel for review before the meeting.

Trust & control

You stay in control

An agent that touches your proposals, rates and client conversations only earns its place if the seller stays in charge. Actionist is built so every client-facing draft waits for a person, and every commercial decision stays with your sales team.

Drafts wait for the seller

RFP replies, wedding proposals and deposit reminders are drafted and queued for approval. Nothing goes to a planner, couple or travel manager until a seller sends it.

Rates and concessions stay human

The agent prepares the figures, but the seller decides the rate, the room rental discount and any concession. Pricing and contract terms are never agreed by the agent.

Destructive actions always ask first

Releasing a block, deleting a hold, or changing a contract record stops for explicit approval, whatever autonomy you have granted elsewhere.

Every action is logged

A full audit trail shows each CRM write, each draft and each report built, so the director can see what the agent did and when. Your data stays yours.

FAQ

Frequently asked questions

Does my hospitality sales team need to be technical to use Actionist?
No. You describe the sales job in plain words, such as checking RFP dates against the diary and drafting a reply, and the agent does it in the apps you already use. There is no code. Most sales offices start with one job, like the Monday RFP due-date board, and add more once they trust the drafts.
How do I get started with a sales agent for my hotel or venue?
Book a free demo, connect your sales inbox and CRM, and pick one job from the examples, perhaps hold expiry chasing or the Friday pipeline pack. The agent drafts and your seller approves, so you see the result on real enquiries before widening what it does.
How do I make customised AI agents for how our sales office actually works?
Describe the job, your rate card, your hold policy and your tone, and build a custom agent around it. The agents and jobs shown here are examples, not limits. Coach it the way you would a junior sales coordinator, and correct its drafts until they sound like your property.
How quickly can we set up a sales agent?
A first job, such as the morning RFP sweep, can be running the same day once your inbox and CRM are connected. Rooming list and pickup tracking take a little longer because the agent needs the block tracker and contract terms. It is usually a matter of days, not a project.
Where do our contracts, rates and planner details live, and is any of it used to train AI models?
Your contracts, rate cards and enquiry data stay in your own systems and are encrypted. They are not used to train models, and an audit trail records every read and write. Where your compliance team requires it, Actionist can be self-hosted on your own VPS.
Our PMS, Cvent portal and tour operator extranets have no clean API. Will the agent work with those?
Often yes. Actionist can operate the screen the way a seller would, so it can read availability, check RFP portals and update trade partner sheets even where no integration exists. Screen automation runs in the cloud, and where an app offers a proper connection, the agent uses that instead.
Will it email a planner, couple or travel manager without a seller seeing it first?
Not unless you widen its autonomy. By default every proposal, hold nudge, deposit reminder and renewal note is drafted and waits for approval. Approval Modes let you move from suggest to ask each time to guarded auto, and anything sent externally or destructive still asks first.
Can it keep up during the autumn conference rush or December party season?
It helps most then. The agent can sort the backlog by date and value, draft responses in batches, and show the seller what is expiring, so the review is faster. A person still decides rates, concessions and which dates to hold, because those are commercial judgements.
Does the agent negotiate rates or agree contract terms?
No. It prepares the figures, history and draft wording, but the seller and director decide rates, concessions, attrition waivers and every commitment to the client. The agent never agrees pricing or terms, and it does not take or make phone calls.
