AI workforce for Manufacturing Customer Support

AI agents for customer support teams in manufacturing

Actionist is an AI automation tool whose agents operate the help desk and ERP your plant already uses, from searching three systems for a ship date to an agent drafting the reply for a rep to approve.

Manufacturing support teams get back the hours lost to order lookups, claim logging, and certificate hunts.

Where you spend your time

Why Manufacturing Customer Support teams switch

We know how your week actually goes

After the purchase order is accepted, the customer's questions begin: where is it, can you resend the certificate, why did this bearing fail in the field. Each answer lives in a different system, and the person who knows it is usually on the plant floor.

Actionist agents read the ERP, the carrier tracking, and the document library the way a rep would, and prepare the answer for a person to approve.

What matters to you
  • Order status answered from the ERP
Each reply is built from the live order and shipment record and waits for a rep to approve.
  • Warranty claims logged with full evidence
Serial, lot, photos, and purchase history are collected and handed to quality as one packet.
  • Certificates found by lot number
A requested certificate of conformity or datasheet is located and drafted into a reply.
  • Spare parts identified from the serial
The agent finds the part for the machine and hands the quote request to sales.
  • Response targets watched
Tickets near their target are flagged to the lead before an OEM account has to chase.
  • Built around your help desk and ERP
These are examples. Build a custom agent for any support job your plant repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Manufacturing Customer Support team's day.

The problem

Where the hours go

  • A buyer at an OEM account emails asking when 400 housings will arrive. The rep checks the ERP for the promised date, the carrier site for tracking, and the plant for whether the run slipped, then types three paragraphs, and the same question comes from five other accounts that morning.

An agent reads each order status ticket, pulls the promised date from the ERP, the tracking from the carrier, and the production note, and drafts a reply. The rep reads and approves a prepared answer instead of building it.

  • A warranty complaint arrives as a forwarded email with a blurry photo and no serial number. The rep exchanges four emails to collect the lot, the install date, and the failure description before quality can even look at it.

An agent reads the complaint, looks up the order and warranty period from the serial or lot, drafts a request for any missing evidence, and hands quality one complete packet. Whether the claim is accepted is decided by your quality team.

  • Distributors ask for certificates of conformity, material certs, and the latest datasheet revision several times a week, and each request means searching shared folders, checking which lot shipped, and attaching files by hand.

An agent finds the certificate by lot or serial, checks it is the released revision, and drafts the reply with the files attached. Your rep confirms and sends it, so the document goes out in minutes rather than the next afternoon.

  • Tickets sit in a shared inbox until someone notices that a key account has been waiting two days. The plant has promised a revised ship date, but the customer was never told because nobody owned the update.

An agent watches response targets, flags tickets close to breach to the lead, and drafts proactive status notes for customers whose order dates moved. Notes wait for approval, and the account owner sees every escalation.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA customer asks where their order isfires within about a minute
The agent automatically

When an email or portal message asks about an order, the agent picks it up within about a minute, finds the sales order in NetSuite and the tracking in ShipStation, and drafts a reply with the promised date and the latest carrier event. The draft waits in Zendesk for a rep to approve.

Trust & control

You stay in control

An agent that reads customer orders and complaints only earns trust if you stay in control. Actionist shows what it looked up, holds every customer-facing message for approval, and leaves remedies and promises with your people.

Every customer reply waits for a rep

Order updates, claim receipts, and document emails are drafted and queued. Nothing reaches a distributor or OEM buyer unless you widen that autonomy yourself.

Remedies and promises stay human

The agent gathers evidence and prepares the packet. Whether a claim is accepted, a replacement ships, or a ship date is promised is decided by quality and your support lead.

A log of every record it touched

Each order looked up, ticket updated, and document found is recorded with a timestamp, so you can see what the agent read and drafted.

Your customer and order data stays yours

Order, pricing, and ticket data is encrypted and never used to train any model. Self-host on a VPS if the data must stay on your infrastructure.

FAQ

Frequently asked questions

Does our support team need to be technical to use Actionist?
No. Actionist is built for support reps and leads, not developers. You describe how your order status replies, claim intake, and certificate requests work in plain language, connect the help desk and ERP you already use, and the agent follows your steps. There is no code to write, and for most tools nothing to configure through an API.
How do we get started with a support agent for our plant?
Book a free demo and an Actionist team member will walk through your most repeated support job, whether that is order status questions, warranty claims, or document requests, and set up a working example you can test against your own tickets. Most teams have a first agent running within a day of the demo.
How do we make a custom agent for how our support desk really works?
You describe the agent's role, the apps it uses, and the approval rule for each action. For example, you can tell it which accounts are key, which topics go to quality first, and how formal your replies should be. You can adjust it any time and coach it the way you would a new support rep.
How quickly can we set up a manufacturing support agent?
A first agent, such as order status drafting, can usually be connected and tested in a day. You connect the help desk, the ERP, and the shared mailbox, and the agent works through a sample of real tickets first. Claims, documents, and spare parts are added week by week.
Where do our orders and customer tickets live, and are they used to train AI?
Orders, pricing, and tickets stay in your systems and are encrypted in transit. They are never used to train any model. If the data must remain on your own infrastructure, Actionist can be self-hosted on a VPS. Every record the agent reads is logged so you can see what it looked at.
Our ERP is old and our big customers use their own supplier portals. Will an agent still work?
Yes. The agent operates screens the way a rep would, so it can read an ERP with no API and a customer portal that only offers a web page. It is slower than a direct integration, so use a connected app where one exists for the busiest jobs.
Will the agent send replies to customers on its own?
No, not unless you widen its autonomy yourself. Order status replies, claim receipts, and document emails are drafted and wait for a rep to approve. Approval Modes let you choose Suggest, Ask each time, or Guarded auto for each task, and anything destructive always needs a person.
Does the agent decide whether a warranty claim is accepted?
No. It gathers the serial, order history, certificate, and photos and prepares the packet. Whether a claim is accepted, what remedy is offered, and what ship date is promised are decisions for your quality team and support lead.
Can it cope with a spike when a bad lot or a late shipment hits many customers at once?
Yes. The agent works through a larger pile of tickets the same way it handles a normal morning, groups them by lot or order, and drafts the updates for review. Your team still reads and approves them, so a surge becomes review time instead of retyping time.
