AI workforce for Manufacturing HR & People

AI agents for HR teams in manufacturing

Actionist is an AI automation tool whose agents operate the apps your manufacturing HR team already uses, from rebuilding the rota by hand each week to a draft waiting for your review.

Plant HR teams get back the hours lost to rota edits, ticket chasing, and timesheet corrections.

Where you spend your time

Why Manufacturing HR & People teams switch

We know how your week actually goes

What matters to you
  • A rota that survives the week
Cover, overtime, and leave are weighed before the roster goes up, not patched after the first absence.
  • No operator on a machine without a ticket
Forklift, crane, and welding expiry dates are watched against the skills matrix well before they lapse.
  • Induction records ready for the auditor
Signed induction, PPE issue, and toolbox talk attendance filed against each person the same day.
  • Agency labour briefed before the peak
Role briefs and candidate shortlists are prepared ahead of the busy quarter, with the hiring call left to you.
  • Payroll cutoffs without the scramble
Missing clock-outs and unapproved overtime are listed per supervisor before the payroll run closes.
  • Built around your plant
These are examples. Build a custom agent for any people task your site repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Manufacturing HR & People team's day.

The problem

Where the hours go

  • The weekly rota is rebuilt from scratch every Thursday, because someone is on leave, an agency worker has not been confirmed, and one operator already has too much overtime, so the plan is wrong before it is posted.

An agent drafts the rota from leave, ticket needs, and overtime totals each Thursday and flags the shifts that cannot be covered, so you edit a draft instead of starting from a blank grid.

  • A forklift ticket or welding qualification lapses unnoticed because the dates live on a register nobody opens until an auditor asks who may run what.

An agent watches every expiry date against the skills matrix and drafts the renewal request weeks ahead, so a lapse becomes a booking rather than a stopped machine.

  • Payroll closes while clock-outs are missing and overtime has no approval name, so the last day becomes a chase of supervisors who are busy on the floor.

An agent lists missing clocks and unapproved hours per supervisor two days before the cutoff, so the payroll reviewer receives a short list of real exceptions.

  • New starters wait for contracts, PPE, and an induction slot because the pack is assembled by hand and the first day is when the gaps appear.

An agent assembles the starter pack, books the induction, and prepares the PPE issue sheet as soon as the signed offer arrives, with you reviewing before anything is sent.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA supervisor logs an absence for the next shiftfires within about a minute
The agent automatically

When the absence form is submitted, the agent reads the skills matrix, overtime totals, and rest-period rules within about a minute, and drafts a cover shortlist for the supervisor. Any message to an operator waits in the approval queue.

Trust & control

You stay in control

People data is the most sensitive data a plant holds. Actionist is built so you see what an agent touched, approve anything that reaches an employee or candidate, and keep every record under your control.

Messages to staff wait for your approval

Rota notices, ticket reminders, and starter packs are drafted and queued. Nothing reaches an operator or candidate unless you widen that autonomy yourself.

Hiring, pay, and discipline stay human

The agent shortlists, totals, and prepares. A person decides who is hired, what is paid, and every disciplinary or grievance matter.

Every record change has a timestamp

Training sign-offs, ticket dates, and rota edits are logged with who or what changed them, so an auditor can follow the trail.

Employee data stays yours

Records are encrypted and never used to train a model. Self-host on a VPS if personnel files must stay on infrastructure you control.

FAQ

Frequently asked questions

Does my plant HR team need to be technical to use Actionist?
No. You describe how your rota, ticket register, and payroll check work in plain language, connect the apps you already use, and the agent follows the same steps a coordinator would. There is no code, and most tools need no API because the agent operates the screen.
How do I get started with an HR agent for my site?
Book a free demo and pick the task that costs you most, usually the weekly rota or ticket expiry watch. The team will set up a working example on your own sheets so you can review a real draft.
Can I build a custom agent for how our plant handles people tasks?
Yes. The agents, apps, and jobs shown here are examples, not the limit. Build a custom AI agent for your own shift pattern, ticket types, or agency process and coach it the way you would a new HR assistant.
How quickly can I set Actionist up?
Most HR teams have a first agent reading their rota sheet and drafting output within a day of the demo. Triggers react within about a minute of an event such as a form submission.
Will it message operators or reject candidates on its own?
No. Anything addressed to an operator, a candidate, or an agency is drafted and waits in the approval queue. Hiring, pay, and disciplinary decisions stay with a person, and you only widen autonomy through Approval Modes if you choose to.
Our time clock and ticket register have no API. Does that matter?
It does not block you. The agent operates the screen as a person would, so older time clock software and plant portals can be read and updated without an integration project.
Where does our employee data live, and is it used to train AI?
Personnel records are encrypted, never used to train a model, and every agent action is logged with a timestamp. You can self-host on a VPS if records must stay on your own infrastructure.
How does it handle sickness and health information?
The agent works as an administrator only. A sickness or health note is routed untouched to the named person and is never summarised, interpreted, or used to judge fitness for work.
Does it cope with peak season and shutdown weeks?
Yes. Agency briefs, shutdown leave clash lists, and skeleton crew checks are scheduled jobs you can set ahead of the busy quarter, and a person approves every decision that comes from them.
