AI agents for admin and front office teams in manufacturing

Actionist is an AI automation tool whose agents operate the apps your manufacturing admin team already uses, taking the plant office from paper chasing and manual filing to drafts and folders ready for review.

Plant office teams get back the hours lost to filing certificates, chasing signatures and sorting the shared inbox.

Where you spend your time

Why Manufacturing Admin & Front Office teams switch

We know how your week actually goes

What matters to you
  • Certificates filed against the lot
Every certificate of conformity and mill report lands on the right purchase order and heat number.
  • Supplier paperwork in date
Acknowledgements, insurance certificates and signed agreements are chased before they become audit findings.
  • A front desk that stays organised
The shared inbox is sorted, visitors and drivers are logged, and audit visits are scheduled.
  • Shipping paperwork matched
Signed bills of lading and delivery proofs are filed against the order the day they return.
  • Drawings found by revision
Folders follow the released revision, with older ones archived and retention dates marked.
  • Audit binders that build themselves
Surveillance and customer audit evidence is gathered long before the auditor arrives.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Manufacturing Admin & Front Office team's day.

The problem

Where the hours go

  • Certificates of conformity and mill reports arrive by email, by scanner and in the box with the goods, and finding the one for a heat number during a customer audit takes the office a whole afternoon.

An agent reads each certificate, matches it to the purchase order and lot, files it by name, and lists the lots that arrived without one, so audit requests are answered from one folder.

  • Suppliers forget to acknowledge purchase orders, insurance certificates lapse, and an unsigned supply agreement sits for weeks because nobody owns the chasing.

An agent keeps a register of acknowledgements, expiries and signatures, drafts the reminders for your approval, and files the executed copies the day they return.

  • The shared info@ inbox mixes quotes, delivery questions, recruiter mail and supplier invoices, and visitor and driver sign-ins are copied into a log at the end of the week.

An agent sorts the inbox each morning, forwards each message to the right desk with a summary, and logs sign-in forms as they arrive, so the desk starts the day with one briefing.

  • Drawing folders hold five revisions of the same part, retention dates are guessed, and the surveillance audit binder is assembled in a panic the week before the auditor arrives.

An agent archives superseded drawings, marks retention dates, checks the document register and builds the audit binder in advance, leaving the quality manager to review rather than hunt.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

The agent automatically

When a scan appears in the incoming documents folder the agent reads it within about a minute, takes the part, heat or lot and supplier, finds the matching received line, and files it under that order with a consistent name. Anything unmatched is held for you rather than guessed.

Trust & control

You stay in control

Plant office paperwork holds supplier details, customer orders and audit evidence. An agent should earn its place by showing what it read, drafting rather than sending, and leaving every decision on money or compliance to a person.

Messages wait for your approval

Supplier reminders, vendor requests, audit replies and internal forwards are drafted and held. Nothing goes to a supplier, customer or auditor until you approve it, unless you widen that through Approval Modes.

People decide what counts

The agent files and flags. Whether a certificate is acceptable, a supplier stays approved or a record is disposed of is decided by quality, purchasing or you, never by the agent.

Every file move is logged

Each rename, archive and filing action is recorded with a time and the original location, so a document is never lost and any move can be reversed.

Your records stay yours

Customer orders, supplier terms and audit evidence are encrypted and never used to train a model. If your customers require it, you can self-host on a VPS so records stay on your infrastructure.

FAQ

Frequently asked questions

Does my manufacturing admin team need to be technical?
No. You describe the job the way you would brief a new office coordinator: where certificates arrive, how folders are named, who each message goes to. There is no code to write, and because the agent operates apps the way a person does, most tools need no API setup.
How do we get started with AI agents for plant office admin?
Start with one routine that fills the day, such as sorting the shared inbox or filing certificates by purchase order. Describe it in plain language, connect the mailbox and the shared drive, and hold every draft for approval. Once it behaves as you would, add supplier reminders or the audit binder.
Can I build a custom agent for something specific to our plant paperwork?
Yes. The agents shown are examples, not limits. Describe your own job, such as matching first article inspection reports to part revisions or tracking customer-supplied tooling forms, and Actionist builds a custom agent with the apps it may use and the points where it must stop and ask.
How quickly can we set Actionist up for a manufacturing admin team?
Most teams have a first agent running within a working day. Connect the mailbox, the shared drive and the PO tracking sheet, describe one job and review the first drafts. Adding more jobs takes longer, because you decide how much to trust each one before it does more.
Will it email suppliers, customers or auditors without me seeing it?
Not unless you choose to allow it. By default every supplier reminder, vendor request, audit reply and forward is drafted and held for your approval. Approval Modes let you widen that for routine internal jobs, and destructive actions such as deleting a record always ask first.
Our carrier portals and supplier sites have no API. Can it still work with them?
Yes. Actionist operates the screen the way a person does, so it can read a delivered status or download a proof of delivery from a carrier portal without any API. Computer use runs in the cloud, and you can see each step in the log.
Can the agent decide that a certificate or a supplier is acceptable?
No. It reads and matches certificates, lists those missing or expiring, and files them. Whether a certificate meets the specification, or a supplier stays on the approved list, is a quality decision. Coach it like a junior clerk who prepares the folder while the manager decides.
Does it cover the phone line or the gate desk?
No. It works from written records only: email, forms, calendar entries and call logs or voicemail transcripts produced by a connected phone app. It logs a driver check-in form or a visitor sign-in form, but a person still handles every conversation.
Where do our supplier details and audit evidence live, and is it used to train AI?
Records stay in your own tools and are encrypted. They are never used to train a model, and every action the agent takes is logged with a time. If an audit or a customer contract requires it, you can self-host on a VPS so nothing leaves your infrastructure.
