AI workforce for Event Planning Customer Support

AI agents for customer support teams in event planning

Actionist is an AI automation tool whose agents operate the apps your event customer support team already uses, from retyping one parking answer all week to drafted replies waiting for approval.

Event support teams get back the hours lost to repeat questions, ticket changes, and chasing exhibitors and speakers.

Where you spend your time

Why Event Planning Customer Support teams switch

We know how your week actually goes

An event support desk is never quiet for long. The same agenda, parking, and ticket questions arrive all through the countdown, then a flood of where-is-it messages lands on show day.

Actionist builds AI agents for event customer support that read the inbox, check the order, and draft the reply. Your team approves what goes out and keeps the conversations that need a person.

What matters to you
  • Repeat questions answered from one source
Agenda, parking, and what a ticket includes get a drafted reply from the confirmed plan, for your approval.
  • Ticket changes made once, correctly
Name swaps, transfers, and duplicates are checked against the order before anyone edits a badge list.
  • Access needs reach the right people
Each requirement goes to the venue or caterer untouched, with a confirmation tracked until it is arranged.
  • Exhibitors and speakers chased on schedule
Missing decks, bios, and delivery details are listed and followed up on a schedule you set.
  • Show day messages kept ahead of the queue
Room, shuttle, and time questions get drafted answers while the team is on site, ready to approve.
  • Built around your support desk
These are examples of what an event support agent can do. Build a custom agent for any reply you repeat.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Event Planning Customer Support team's day.

The problem

Where the hours go

  • The same agenda, parking, and what-does-my-ticket-include questions arrive all through the countdown, and each one means opening the order and retyping an answer that is already written down somewhere.

An agent reads each question, checks the order, and drafts the reply from the confirmed plan, so you approve a queue instead of retyping the same answer.

  • Ticket transfers, name swaps, and waitlist offers happen in the ticketing platform by hand, and a missed swap means the wrong name on a badge or an empty place nobody offered.

An agent checks each change against the order, logs refunds for finance to decide, and drafts waitlist offers in order, so badge lists stay right.

  • Access and dietary answers sit scattered across registration forms and emails, and the caterer wants one clean sheet before the numbers cutoff that nobody has time to build.

An agent compiles every requirement into one sheet and passes each to the venue or caterer untouched, then tracks the confirmation until it is arranged.

  • Exhibitors and speakers send decks, bios, and delivery references late, and the person chasing them keeps a private list that falls apart the week before the show.

An agent keeps one list of what is missing from whom, drafts each follow-up on schedule, and shows you the gaps before the content deadline.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA delegate submits a ticket transfer or name change formfires within about a minute
The agent automatically

When a transfer form arrives, the agent checks it against the original order within about a minute, prepares the badge list edit, and logs the change. The confirmation to the delegate is drafted and waits in the approval queue; nothing is changed on the live list until you agree.

Trust & control

You stay in control

An agent that touches attendee questions, tickets, and complaints only earns trust if you stay in control. Actionist is built so every reply waits for your approval and every change leaves a record.

Attendee replies wait for your approval

A reply, a waitlist offer, or a session update is drafted and queued for your sign-off. Nothing reaches an attendee unless you widen that autonomy.

Refunds and complaints stay with a person

The agent logs each refund request and complaint with the facts attached. A person decides the outcome and what is said back.

A full record of every ticket change

Each name swap, transfer, and draft is logged with a timestamp, so you can see what changed and why.

Attendee data stays yours

Names, orders, and requirements are encrypted and never used to train any model. Self-host on a VPS if they must stay on your infrastructure.

FAQ

Frequently asked questions

Does my event support team need to be technical to use Actionist?
No. Actionist is built for event support teams, not developers. You describe how your helpdesk, ticketing, and requirements forms work in plain language, connect the apps you already use, and the agent handles the rest. Most tools need no code and no API because the agent operates the app the way a person would.
How do I get started with a support agent for my event team?
Book a free demo and an Actionist team member will walk through your busiest support job, whether that is repeat attendee questions, ticket changes, or chasing speakers, and set up a working example you can test against a real event. Most teams have a first agent running within a day.
How do I make a customised AI agent for how our event desk works?
In Actionist you set the agent's job, the apps it works in, and an approval rule for each action. For attendee replies you tell it which sources count as the confirmed plan; for access needs you tell it which contact receives each requirement. The agent applies those rules on each run and you adjust them as your events change.
How quickly can I set an event support agent up?
A basic agent that reads the helpdesk inbox, looks up the order, and drafts replies for approval can be running within hours of your demo. Setups that span the ticketing platform, forms, and a caterer sheet usually take one to three days of iteration. You test against a copy of your data first.
Where does our attendee data live, and is it used to train AI models?
Attendee names, orders, and requirements stay yours. Everything the agent reads and writes is encrypted and none of it is used to train any model. Each draft, change, and log entry is recorded in an audit trail. If everything must stay on your infrastructure, you can self-host Actionist on a VPS.
Our ticketing platform and venue portal have no public API. Will it still work?
Yes. The agent uses computer use in the cloud: it opens the ticketing platform or venue portal the way you do, reads what is on screen, and clicks through the update like a person. That means it works with tools that have no supported integration, because it operates the actual interface.
Will it reply to an attendee, exhibitor, or speaker without me seeing it?
By default, no. Anything that reaches an attendee, exhibitor, speaker, or sponsor is drafted and queued for your approval. The agent sends only once you confirm. You can widen that autonomy for steps you trust through Approval Modes, but replies to attendees always ask first unless you change it.
Will it decide refunds or judge access and dietary needs?
No. The agent logs each refund request with the order and the policy window, and a person decides. Access and dietary answers are copied as written and passed to the venue or caterer untouched. It never interprets how serious a requirement is or promises an outcome to an attendee.
Can it answer our hotline or the phones on show day?
No. The agent works in text and does not handle phone lines or audio, so a hotline stays with your people. It can read call logs and voicemail transcripts produced by a connected phone app such as RingCentral, CallRail, JustCall, or Dialpad, and turn them into tickets for the helpdesk.
