AI workforce for Home Services Customer Support

AI agents for customer support teams in home services

Actionist is an AI automation tool whose agents operate the apps your home services customer support team already uses, from searching four inboxes for one job's history to a reply drafted with it already pulled.

Home services support teams get back the hours lost to searching inboxes, tracing jobs, and writing the same reply.

Where you spend your time

Why Home Services Customer Support teams switch

We know how your week actually goes

What matters to you
  • One queue for every written message
Gmail, Google Business Profile, Messenger and text replies land in one sorted list with the customer's job attached.
  • Where-is-my-technician replies with facts
The answer is drafted from the live board and the technician's stop, not from a guess or a call to dispatch.
  • Reschedules without the back and forth
Two windows are drafted from the technician's calendar, and dispatch confirms the move before anything is promised.
  • Complaints reach the owner with the story
Job notes, photos, invoice and promises made are briefed in one page before anyone replies.
  • Warranty cover checked against the record
Install date, serial and terms are looked up so the reply says what is actually covered.
  • Built around your office
These are examples. Build a custom agent for any reply or lookup your team repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Home Services Customer Support team's day.

The problem

Where the hours go

  • A single customer can write to the Gmail address, the Google Business Profile, Messenger and a text thread about the same boiler, so someone spends the first half hour of every morning hunting through four places to see who is still waiting.

An agent gathers every written message into one sorted list, matches each to its job in the field service app, and flags the urgent ones for the dispatcher, so the team starts the day from a single queue.

  • Every where-is-my-technician message and reschedule request means opening the board, checking a calendar and asking dispatch, which is why a simple question about a Thursday window can take most of an hour to answer.

An agent reads the board and the technician's calendar, drafts a reply with a realistic arrival window or two reschedule options, and asks dispatch to confirm, leaving the team only to approve the reply.

  • An unhappy customer gets three different answers because each person who replies is missing the technician's notes, the photos and what the owner already promised on the phone, and the complaint ages in a spreadsheet.

An agent briefs the owner on one page with the job history, photos and promises made, drafts a reply that fits the facts, and lists any goodwill options for the owner to choose, so the customer hears one consistent answer.

  • Warranty questions and what-is-this-charge messages each need a lookup across the install record, the terms and the invoice, so the reply is either slow or a guess that has to be corrected the next day.

An agent checks the install date, serial, terms and invoice lines first, and drafts a reply that states exactly what is covered or what each line is for, ready for a person to review and send.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA customer asks where their technician isfires within about a minute
The agent automatically

When a message such as where is my technician arrives, the agent finds the customer's booked visit within about a minute, reads the board for the technician's current stop and expected finish, and drafts a reply with a realistic arrival window. It waits in the queue for a person to approve before it goes out.

Trust & control

You stay in control

An agent that reads customer messages and drafts what goes back has to earn trust one reply at a time. Actionist is built so every customer-facing message waits for your approval, you see which records it opened, and the decisions that cost money stay with a person.

Every customer reply is a draft first

Replies, reschedule offers and check-ins are drafted and queued for your approval before anything reaches a customer. You can widen autonomy for routine steps through Approval Modes.

Money decisions stay with a person

Refunds, credits, payment plans and what a warranty will cover are always passed to the owner or support lead. The agent prepares the facts and the options; a person decides.

A record of every message it read

Each run is logged step by step with the records it opened and the draft it wrote, so you can check exactly what an agent saw before a reply was approved.

Customer data stays yours

Credentials are encrypted in a vault, memory stays on your own machine, and none of it is used to train a model. You can self-host Actionist on your own server.

FAQ

Frequently asked questions

Does my home services customer support team need to be technical to use Actionist?
No. Actionist is built for office teams, not developers. You describe how your inbox, replies and job lookups work in plain language, connect the apps you already use, and the agent follows your rules. There is no code to write, and most tools need no API setup because the agent operates them the way a person would.
How do I get started with a support agent for my customers' messages?
Book a free demo and an Actionist team member will pick your biggest repeated task, whether that is sorting the inbox, where-is-my-technician replies or invoice questions, and set up a working example against your own field service app. Most teams have a first agent drafting replies within a day or two of the demo.
How do I make customised AI agents for how our service business talks to customers?
In Actionist you describe the agent's role, the apps it can read and the approval rule for each kind of reply. You can give it your tone, your hours, your service area and the phrases you never use, and it applies them every run. You adjust the instructions as your policies and your seasons change.
How quickly can I set up a customer support agent for a home services business?
A simple agent that sorts the shared inbox and drafts replies to where-is-my-technician messages can be running within hours of the demo. One that also reads voicemail transcripts, the board and invoices usually takes a few days of tuning. You test it against a copy of recent messages before it touches a live customer.
Where does our customer data live, and is it used to train AI models?
Customer names, addresses and job details stay yours. Credentials are encrypted in a vault, the agent's memory stays on your own machine, and none of it is used to train any AI model. Every run is logged step by step, and you can self-host Actionist on your own server if records must stay in-house.
Will the agent send a customer a message without someone on my team seeing it first?
No. By default every reply, reschedule offer and check-in is drafted and held for your approval, which you can give with one tap from Telegram or Slack. You can widen autonomy for routine steps through Approval Modes, but customer-facing messages are the last thing most teams choose to relax.
Callers still ring the office. Can the agent take or return those calls?
No. Actionist agents do not answer, make or listen to phone calls. They work from writing: messages in your inbox, Google Business Profile and Messenger, and the call logs and voicemail transcripts your phone app produces, such as CallRail or RingCentral. A person returns any call the agent flags.
Can the agent decide on a refund, a credit or whether something is under warranty?
No. The agent gathers the invoice, the job record, the photos and the terms, and prepares the options, but a person decides refunds, credits, payment plans and warranty cover. That keeps a costly or sensitive call with someone who can weigh the customer relationship, which is exactly where an owner's judgment belongs.
A storm or a cold snap doubles our message volume. Can the agent keep up?
Yes. The scheduled checks that sort the inbox and draft replies run the same way in a surge as on a quiet day; what changes is how much passes through them. The agent can draft the batch of storm-day reschedule notices for you, but a person still approves each one before it goes out.
