AI workforce for Logistics Customer Support

AI agents for customer support teams in logistics

Actionist is an AI automation tool whose agents operate the apps your logistics support team already uses, from checking the TMS by hand for every where-is-my-load call to an agent that answers from live tracking.

Support reps get back the hours lost to status lookups, delay calls, and claim paperwork.

Where you spend your time

Why Logistics Customer Support teams switch

We know how your week actually goes

What matters to you
  • Status queries answered from live data
A where-is-my-load question gets a real answer from live tracking, not a promise to check and call back.
  • Delays announced before the call comes in
A shipper hears about a delay from you, with the revised ETA attached, before they ever have to call and ask.
  • Complaints routed with the full history
A damage or shortage complaint reaches the right desk with the shipment record and exception log already attached.
  • New shippers onboarded without the chase
Rate confirmations, credit paperwork, and shipping instructions are collected before the first load ever moves.
  • Every delivery gets a follow-up
POD is confirmed back to the customer and a satisfaction check goes out, so a good delivery becomes a repeat one.
  • Built around your support desk
These are examples of what a logistics support agent can do. Build a custom agent for what your desk repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Logistics Customer Support team's day.

The problem

Where the hours go

  • Every where-is-my-load call means putting the shipper on hold, opening the TMS, hunting for the right load number, and reading back a status that might already be an hour stale.

An agent answers the status query within about a minute using live tracking data, so the rep opens a prepared answer instead of a hold-and-search, and most routine queries never need a rep at all.

  • A delay only reaches the shipper once they have already had to reach out and ask, which means the first thing they hear from you is defensive instead of proactive.

An agent identifies a delayed shipment, drafts a delay notice with the revised ETA, and queues it for approval so the customer hears from you before they have to chase.

  • A complaint about a missed window or damaged cargo lands in a shared inbox with no context, so whoever picks it up starts by reconstructing the shipment history from scratch.

An agent reads the complaint, pulls the full shipment history and exception log, and routes it to the right desk with everything already attached, so the resolution starts informed.

  • The weekly service report to a key account eats an afternoon: pulling on-time numbers from the tracking sheet, formatting them, and writing up what changed since last week.

An agent pulls the week's service-level numbers, writes the narrative of what moved, and drafts the report, so the account manager walks into the call already knowing the number.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA tracking question arrives by email or a support formfires within about a minute
The agent automatically

When a where-is-my-load question lands in the support inbox, the agent matches it to the correct shipment within about a minute, pulls the live status from the tracking apps, and drafts a reply with the current location and delivery window. A rep reviews and sends it, or the agent sends it directly once you have approved that workflow.

Trust & control

You stay in control

An agent talking to your shippers and consignees only earns a place on the support desk if you stay in control. Actionist is built so every customer-facing message is reviewed before it sends, and you see everything the agent read and wrote.

Customer-facing messages wait for approval

A delay notice, a claim update, or a reply to a complaint is drafted first and held for a rep's sign-off before it reaches a shipper, unless you widen that autonomy yourself through Approval Modes.

The agent never promises what it cannot confirm

Status replies and ETAs are pulled straight from live tracking data, not guessed. If a status is genuinely unclear, the query is routed to a rep instead of a drafted answer going out.

Full audit trail of every ticket touched

Every query answered, every notice drafted, and every claim updated is logged in a timestamped record, so you can always see exactly what an agent read and said on any account.

Your shipper and shipment data stays yours

Account details, shipment records, and complaint history are encrypted and never used to train any model. Self-host on a VPS if your operation needs everything on its own infrastructure.

FAQ

Frequently asked questions

Does my logistics support team need to be technical to use this?
No. You describe what you want the agent to do in plain language and give it examples of the replies you would send, the same way you would coach a new rep. The agent learns your tone and your ticket categories from the examples you provide, and you refine it by editing its drafts until it consistently gets it right. No code, no integrations to build.
How do I get started?
Book a free demo and an Actionist team member will walk through your busiest tracking-query or complaint workload with you, show you how an agent would handle it, and set up a working example against a real shipment. Most support teams have their first agent running within a day of the demo.
How do I make a customised AI agent for a job specific to our accounts?
Yes. The agents shown here are starting templates. You can build a custom AI agent for any support workflow your team runs: a specialist claims handler for a particular carrier, a proactive outreach agent for a specific key account, or a knowledge agent trained on your internal SOPs. You describe the workflow in plain language and the agent learns from the examples and corrections you provide.
How quickly can I set Actionist up for a logistics support desk?
A basic tracking-query agent, one that reads the inbox and drafts a reply from live tracking data, can be running within hours of your demo. A full delay-notification and claims-routing workflow spanning several tools typically takes one to three days of iteration, tested against a quiet account before it touches your live queue.
Will the agent send a message to a shipper without a rep seeing it first?
Only if you choose to allow it. By default every delay notice, claim update, and reply to a complaint is drafted and waits for a rep to review and send. Approval Modes let you move from suggest, to ask each time, to guarded auto, to full auto on the specific message types you trust it with, and anything a customer will see stays at whatever level you set.
How does the agent check tracking and TMS status without an API for every carrier?
Actionist uses computer use on the desktop: the agent opens the tracking portal or TMS the way a rep would, reads the status the same way a person reads a screen, and pulls the answer from there. That means it can answer a status query from a carrier portal that has no API at all, the same information a rep would find by manually checking the same page.
What happens with a tracking query or complaint that arrives overnight or over a weekend?
On the desktop app an agent works while the app is open. To answer queries and flag complaints overnight or on a weekend without anyone watching, you move that agent to the hosted cloud runtime on a paid plan and it keeps reading the inbox and pulling live tracking data while your desktop is off. Customer-facing replies still wait for your approval level.
Does the agent handle phone calls with our shippers?
No. The agent never answers, takes, or makes a call, and it does not listen to live audio. It can read call logs and voicemail transcripts from a connected phone system, like RingCentral, JustCall, or Dialpad, and use that context to log a query or draft a follow-up, but the actual phone conversation always stays with your team.
Is our shipper and shipment data kept private?
Your data stays yours. Account details, shipment records, and complaint history are encrypted and never used to train any AI model. Every action the agent takes is logged so you can audit exactly what it read and did on any ticket. If your compliance requirements need everything on your own infrastructure, you can self-host Actionist on a VPS.
