AI workforce for Manufacturing Finance

AI agents for finance teams in manufacturing

Actionist is an AI automation tool whose agents operate the ERP and accounting apps your plant already runs, from rekeying supplier bills by hand to an agent matching each one to its PO for your approval.

Manufacturing finance teams get back the hours lost to invoice matching, deduction hunting, and variance spreadsheets.

Where you spend your time

Why Manufacturing Finance teams switch

We know how your week actually goes

A plant buys steel, resin, and components on net terms, ships on the customer's schedule, and gets paid when a distributor's own system says so. Finance sits in the gap, matching three documents per bill and rebuilding the same spreadsheets each month.

Actionist agents work the ERP, the shared AP mailbox, and the close pack the way a clerk would, and hand the exceptions to your controller.

What matters to you
  • Supplier bills matched to PO and receipt
Price, quantity, and freight differences are listed before a bill reaches the payment run.
  • Distributor ageing worked every week
Overdue accounts are ranked by balance and age, with a reminder drafted for each, waiting on you.
  • Deductions explained, not discovered
Each short-pay is traced to the shipment and reason code so your team can dispute or accept it.
  • Variances ready before the plant review
Purchase price, usage, and labour variances are assembled against standard cost each month.
  • Capex and tooling tracked end to end
Requests, quotes, in-service dates, and depreciation rows stay in one register.
  • Built around your own ERP and close
These are examples of what a manufacturing finance agent can do. Build a custom agent for any job your office repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Manufacturing Finance team's day.

The problem

Where the hours go

  • Supplier bills arrive as PDFs from forty vendors, and each one has to be checked against a PO and a goods receipt in the ERP. A steel price that crept up two cents a kilo gets paid because nobody had time to open the third record.

An agent reads each bill in the AP mailbox, pulls the PO and receipt from the ERP, and lists every price, quantity, and freight difference above your tolerance. Matched bills are drafted for your approval and the mismatches go to the buyer.

  • A distributor pays $41,300 against a $43,800 invoice with a remittance note that says only 'chargeback'. Someone spends an afternoon working out which shipment, which price break, and which damaged pallet the short-pay refers to.

An agent reads the remittance, finds the shipment and price agreement behind each deduction, logs the reason, and gives your credit controller a one-line summary per short-pay to dispute or accept.

  • Standard cost variances are discovered at month end, when the controller exports work order costs, reshapes them in Excel, and finds that a resin price change in week one has been distorting margin for a month.

An agent compares actual and standard cost by work order every week, flags the lines that moved beyond your threshold, and drafts the commentary for the plant manager to read before the review.

  • Goods are received but the bill has not arrived, duty and freight are billed by a forwarder three weeks later, and the close slips while someone rebuilds the accrual list from receiving reports and customs entries.

An agent lists goods received but not invoiced, matches forwarder and duty bills to the shipments, and drafts the accrual and landed cost entries for your controller to review before the close.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA supplier invoice lands in the AP mailboxfires within about a minute
The agent automatically

When a PDF arrives in the shared AP inbox, the agent picks it up within about a minute, extracts the PO number and lines with Parseur, and opens the purchase order and receipt in NetSuite. The match result is posted for your AP lead, and a bill with no readable PO number is listed rather than guessed.

Trust & control

You stay in control

An agent that reads supplier bills and customer ledgers only earns trust if you stay in control. Actionist shows you everything it touched, holds anything that reaches a customer or a supplier for approval, and leaves every money decision with a person.

Customer and supplier notes wait for approval

Reminders, remittance queries, and price disputes are drafted and queued. Nothing is sent to a distributor or vendor unless you widen that autonomy yourself.

Payment, credit, and tax calls stay human

The agent prepares the payment run, the credit hold list, and the duty figures. Releasing funds, holding a customer, and filing a return are decided by your controller.

Every ledger touch is logged

Each match, draft bill, and queued reminder is recorded with a timestamp and the source document, so an auditor can trace it.

Your cost and customer data stays yours

Standard costs, pricing, and ledgers are encrypted and never used to train a model. Self-host on a VPS if the data must stay on your infrastructure.

FAQ

Frequently asked questions

Does our finance team need to be technical to use Actionist?
No. Actionist is built for controllers, AP and AR clerks, and cost accountants, not developers. You describe how your three-way match, deduction log, and close checklist work in plain language, connect the apps you already use, and the agent follows your steps. There is no code to write, and for most tools nothing to configure through an API.
How do we get started with a finance agent at our plant?
Book a free demo and an Actionist team member will walk through your most painful finance job, whether that is matching supplier bills, working the distributor ageing, or the variance pack, and set up a working example you can test against your own figures. Most teams have a first agent running within a day of the demo.
How do we make a custom agent for how our finance team really works?
Tell the agent what its job is, which systems it works in, and which actions need an approver. For example, set your price tolerance, flag vendors with special terms, and name the deductions that always go to the sales manager. Adjust any of it later, and when it gets something wrong, coach it the way you would a new AP clerk.
How quickly can we set up a manufacturing finance agent?
A first agent, such as the invoice match or the ageing refresh, can usually be connected and tested in a day. You connect your ERP or accounting system, the AP mailbox, and one spreadsheet, and the agent works against a sample of your own bills first. Wider coverage across the close is built up week by week.
Where do our cost and customer ledgers live, and are they used to train AI?
Standard costs, price agreements, and ledgers stay in your systems and are encrypted in transit. They are never used to train any model. If the data must stay on your own infrastructure, Actionist can be self-hosted on a VPS. Every action the agent takes is logged so an auditor can trace what it read and drafted.
Our ERP is older and our distributors use their own payment portals. Will an agent still work?
Yes. The agent operates screens the way a clerk would, so it can read an ERP with no API and a distributor portal that only offers a web page. It is slower than a direct integration, so for the heaviest jobs we recommend a connected app where one exists.
Will the agent send a reminder or a vendor query on its own?
No, not unless you widen its autonomy yourself. Reminders to distributors, remittance notes, and queries to vendors are drafted and wait in your mailbox for approval. Approval Modes let you choose Suggest, Ask each time, or Guarded auto for each task, and anything destructive always needs a person.
Can it keep up at month end when everything arrives at once?
Yes. The agent works through a larger pile of bills, remittances, and close tasks in the same way it handles a normal day, and it lists the exceptions in priority order. Your team still decides on the exceptions, so month end becomes review time instead of retyping time.
Does it decide who gets paid, who gets a credit hold, or how tax is filed?
No. The agent prepares the payment run, the credit hold list, and the tax data, and it explains the figures. Releasing funds, holding a customer's shipments, accepting a deduction, and filing a return are decisions for your controller and tax adviser.
