AI workforce for Restaurants Customer Support

AI agents for customer support teams in restaurants

Actionist is an AI automation tool whose agents work the apps your restaurant customer support team already uses, from answering every booking DM and review by hand to drafting each reply for your sign-off.

Restaurant front-of-house teams get back the hours lost to enquiry threads, review replies, and complaint admin.

01

Where you spend your time

Why Restaurants Customer Support teams switch

We know how your week actually goes

What matters to you
  • Every table enquiry gets a drafted answer
DMs, WhatsApp Business and web forms are checked against the bookings sheet, and a reply waits for your nod.
  • Allergy answers come from the chef's matrix
Replies quote the approved allergen sheet only. Anything off the sheet goes to the chef untouched.
  • No review sits unanswered for a week
New Google, TripAdvisor and Facebook reviews get a drafted reply, with 1 and 2 star ones flagged to the manager.
  • Complaints arrive as a finished case card
The check, the tickets and the server on shift are pulled together before the duty manager opens the thread.
  • Delivery partner problems stop being lost
Missing items and cold-food claims are logged with the order, so platform refunds are claimed with evidence.
  • Built around your front of house
These are examples. Build a custom agent for any guest job you repeat, from lost property to birthday notes.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Restaurants Customer Support team's day.

The problem

Where the hours go

  • Booking requests arrive in four places at once, an Instagram message, a WhatsApp Business note, an email and a web form, and the host answers them between seating tables, so the 20-cover enquiry gets a reply at 6pm.

An agent reads all four, checks the covers sheet, and has a reply drafted for each by the time you look, so you approve instead of typing.

  • An allergy question comes in and the answer lives in the chef's head, or a laminated sheet from last season, so someone guesses or the guest waits until Friday.

An agent answers only from the chef-approved allergen matrix and sends anything off the sheet to the chef with the guest's words untouched.

  • Reviews pile up unanswered, and when a bad one lands nobody can tell which table or shift it was, so the manager replies to a ghost.

An agent drafts a reply to every new review and matches the 1 and 2 star ones to the booking and POS visit, so the manager knows who to reach.

  • A cold-food complaint, a missing item on a delivery order and a voucher promised on a Tuesday end up scattered across email, Slack and the pass.

An agent opens one case card per problem with the check, the order and the vouchers already logged, and holds the reply for the duty manager to approve.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA table enquiry lands in the inbox or a DMfires within about a minute
The agent automatically

Whether it arrives by Gmail, WhatsApp Business or an Instagram message, the agent checks the covers sheet for that date and party size, offers the best free times, and copies any allergy note onto the draft. The reply sits in Slack for a one-pass approval, within about a minute of the message arriving.

Your benefits

Manual vs agent

Where the time goes back

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Booking enquiries
    240 min / week
    Answering table requests by hand

The host reads Gmail, WhatsApp and Instagram between seatings, checks the covers sheet for each one, and types the same availability reply again and again, so the large-party request waits until evening.

    Booking enquiries Agent
    0 min
    Agent drafts each reply

An agent reads every enquiry, checks the covers sheet, and drafts a reply with real free times that waits in Slack for the host's approval.

  • Allergen questions
    120 min / week
Chasing the chef for an allergen answer

A guest asks whether the sauce has nuts, the host walks to the pass at a bad moment, and the answer is a guess from memory or a laminated sheet from last season.

    Allergen questions Agent
    0 min
    Agent answers from the matrix

An agent quotes the chef-approved matrix entry and sends anything not on the sheet to the chef untouched, with a draft that waits for the chef's sign-off.

  • Reviews
    150 min / week
Replying to reviews when someone remembers

The manager scrolls Google and TripAdvisor on a Sunday night, writes a few replies, skips the awkward ones, and never works out which table the 1 star review was about.

    Reviews Agent
    0 min
Agent drafts and matches the visit

An agent drafts a reply to each new review and matches the low ones to the booking and POS visit, so the manager approves with the context in hand.

  • Complaints
    135 min / week
    Reconstructing a complained visit

The duty manager reads a complaint, hunts for the check in the POS, asks the server what happened, and promises a voucher that nobody writes down.

    Complaints Agent
    0 min
    Agent builds the case card

An agent opens a case with the check, tickets and server attached, drafts the apology and remedy options, and logs the voucher the manager approves.

  • Delivery and takeaway
    100 min / week
Handling platform problems one at a time

A missing item is noticed in an email, the order is dug out of the POS later, and the platform refund claim is filed weeks after the window or never.

    Delivery and takeaway Agent
    0 min
Agent logs and drafts the claim

An agent logs each flagged order with the ticket and pack times and drafts the claim text, so the manager decides which to pursue within the platform's window.

Trust & control

You stay in control

A guest-facing agent only earns its place if you stay in charge of what the guest sees. Actionist is built so every message waits for you, every allergen answer traces to the chef, and every refund stays a manager's call.

Guest messages wait for your approval

Booking replies, review replies and complaint apologies are drafted and queued. Nothing reaches a guest or your listing unless you widen that autonomy yourself.

Allergen answers trace to your chef

The agent quotes the approved matrix and never invents an answer. Anything it cannot find goes to the chef untouched, and the chef signs off the reply.

Refunds and vouchers stay a manager's call

The agent builds the case, with the check and tickets, and drafts options. A person chooses the remedy and approves it before anything is promised.

Guest data stays yours

Contact details, allergy notes and visit history are encrypted and never used to train any model, and every action is logged. Self-host on a VPS if you need it.

FAQ

Frequently asked questions

Does my restaurant front of house team need to be technical to use Actionist?
No. You describe the job in plain words, such as answer table enquiries from the covers sheet and queue the reply for my nod, and give the agent a few examples of replies you like. Hosts and duty managers set it up, not developers.
How do I get started with an agent for guest enquiries and reviews?
Pick one job, usually table enquiries or review replies, connect Gmail, your covers sheet and Slack, and start in a mode where every draft waits for approval. Once the drafts sound like you, add the allergen and complaint jobs one at a time.
How do I make a customised AI agent for how our restaurant handles guests?
The agents and jobs on this page are examples, not the limit. Describe your own routine, such as how you thank a private dining booker or word a deposit reminder, attach your sheets and tone notes, and build a custom agent around it.
How quickly can I set up a guest support agent for my restaurant?
A first agent that drafts booking replies can be running in a single afternoon, because it reads the apps you already use rather than needing a new system. Allergen and complaint jobs take a little longer, since the chef-approved matrix has to be in one sheet first.
Where do guest contact details and allergy notes live, and are they used to train AI models?
Your guest records, allergy notes and visit history stay in your own apps and are encrypted in transit. They are never used to train any model. Every action the agent takes is logged, and you can self-host on a VPS if the data has to stay on your own infrastructure.
Our booking system has no API we can use. Can the agent still read it and draft from it?
Often yes. Actionist can operate the screen the way a person does, so a booking platform such as OpenTable, Resy or SevenRooms can be read even without an API. Computer use runs in the cloud, and the agent still only drafts for your approval.
Will the agent message a guest or reply to a review without me seeing it first?
Not unless you widen its autonomy. By default every booking reply, review reply and complaint apology is a draft that waits in Slack for your approval. During a busy Saturday the queue is simply waiting for a one-pass approval, and nothing reaches a guest until a person agrees.
Can the agent answer allergy questions on its own?
No, and it should not. It only quotes the chef-approved allergen matrix word for word. If a dish, a sauce or a cross-contact question is not on the sheet, the guest's message goes to the chef untouched, and the chef signs off the reply. Allergy safety stays a human responsibility.
Can the agent answer our restaurant phone?
No. The agent does not take or make calls or listen to audio. What it can do is read missed-call logs and voicemail transcripts produced by a connected phone app such as JustCall, then draft the follow-up message for a person to approve.
