AI workforce for Hospitality Customer Support

AI agents for customer support teams in hospitality

Actionist is an AI automation tool whose agents operate the apps your hospitality support team already uses, from sweeping three OTA inboxes by hand to drafts waiting for your approval each morning.

Hospitality support teams get back the hours lost to inbox sweeps, review replies, and complaint write-ups.

Where you spend your time

Why Hospitality Customer Support teams switch

We know how your week actually goes

What matters to you
  • Every OTA and email message has a draft
Booking.com, Expedia, Airbnb, and email questions arrive matched to the booking with a reply ready to approve.
  • Every review answered in your voice
New TripAdvisor, Google, and Booking.com reviews get a draft reply that names what the guest actually said.
  • In-stay requests reach the right department
A request for towels or a late turn-down is routed with the room number, not lost in a chat thread.
  • Complaints reach the duty manager prepared
Severity, timeline, and recovery options are on the page before the manager speaks to the guest.
  • Receipts and billing queries sorted fast
Folio copies and invoice details are found and drafted for approval, with refunds left to a person.
  • A weekly picture of what guests say
Complaint themes, review trends, and reply times are gathered for the Monday meeting.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Hospitality Customer Support team's day.

The problem

Where the hours go

  • Guest messages are scattered across Booking.com, Expedia, Airbnb, and the shared mailbox, so the first hour of every shift goes on opening each one, finding the booking, and typing the same parking and check-in answers again.

An agent sweeps each inbox on a schedule, matches every message to its booking, and drafts the reply from your answer sheet, so you start the shift editing instead of searching.

  • Reviews pile up across TripAdvisor, Google, and Booking.com, and replies are either rushed templates or skipped, which tells the next guest that nobody is reading.

An agent watches each platform, drafts a reply that names what the reviewer wrote, and queues critical reviews for the general manager to approve before anything is posted.

  • A complaint lands and the duty manager has to piece together what happened from the booking notes, the messages, and the staff log before they can say anything to the guest.

An agent sorts the complaint by severity, assembles the timeline, lists the gestures used before, and drafts a measured acknowledgement, so the manager walks in prepared.

  • After checkout the questions keep coming: a receipt for expenses, a company invoice, an unexplained charge, a lost phone charger, and each one needs someone to find the folio first.

An agent finds the folio, drafts the explanation or the receipt reply, collects the company details finance needs, and passes lost property to housekeeping, with refunds left to a person.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA new guest message arrives on an OTA or by emailfires within about a minute
The agent automatically

When a message appears in the shared inbox or an OTA tab, the agent picks it up within about a minute, finds the reservation in the PMS, reads the guest question, and drafts a reply from your answer sheet. The draft waits in the approval queue and is never sent on its own.

Trust & control

You stay in control

An agent that reads guest messages and sees booking details has to earn trust. Actionist is built so you see what it drafted, approve what reaches a guest, and decide anything that involves money or judgement.

Guest replies wait for your approval

Replies, review responses, and mid-stay messages are drafted and queued. Nothing reaches a guest or a review site unless you approve it or widen that autonomy yourself.

Refunds and gestures stay with a person

The agent lists options used in past cases but never offers a refund, upgrade, or credit. The duty manager or general manager decides.

Complaints are passed on untouched

Anything about safety or a serious incident is flagged to the duty manager with the facts attached, and the agent does not judge how serious it is.

Your guest data stays yours

Guest details are encrypted and never used to train a model. You can self-host if your group has strict rules, and every draft and routing step is logged.

FAQ

Frequently asked questions

Does my hospitality support team need to be technical to use Actionist?
No. You describe how your guest inbox, reviews, and complaints work in plain words, connect the tools you already use, and the agent handles the repetitive steps. Front office managers and guest relations teams set up their first agent without any technical help.
How do I get started with a support agent for my hotel or restaurant?
Book a free demo and an Actionist team member will choose the heaviest part of your guest inbox, such as the morning OTA sweep or review replies, and set up a working example with sample messages. You test it before it touches a real guest thread.
How do I make customised AI agents for the way our guest relations team works?
You describe the agent role, the apps it uses, and the approval rules for each action. For example, you can tell it your tone of voice, which words to avoid, and which complaint types always go to the duty manager. You change the rules as your standards change.
How quickly can I set a guest support agent up?
A simple agent, such as one that drafts replies to new reviews, can be running within a day of the demo. An agent that spans your PMS, three OTA inboxes, and the shared mailbox usually takes a few days of testing before you trust the drafts.
Where does guest data live, and is it used to train AI models?
Guest details stay in your own tools and in an encrypted workspace, and they are never used to train a model. The agent reads only what it needs to match a message to a booking, and a self-hosted option is available for groups with strict data rules.
Booking.com and Expedia extranets have no useful API. Will the agent still read them?
Yes. The agent operates those screens the way a person would, so it can read the Booking.com message tab or Expedia Partner Central even without an integration. Where an app does offer an integration, it uses that first.
Will it reply to a guest or post a review response without me seeing it?
No. Replies, review responses, and texts are drafted and queued for your approval. You can allow more autonomy for low-risk replies through Approval Modes, but a new setup always begins with a person approving each one.
Can it answer our front desk phone line?
No. Actionist does not handle voice or phone conversations. What it can read is the written output of a connected phone app, such as call logs or voicemail transcripts from RingCentral or CallRail, and turn them into follow-up drafts for your team.
What about messages that arrive when nobody is at the desk?
Agents run on the schedule you set, and drafts wait in the queue until a person approves them. Your agents keep working while your laptop is shut, on your organisation's Actionist cloud machine.
