AI workforce for Auto Dealer Customer Support

AI agents for customer support teams at auto dealers

Actionist is an AI automation tool whose agents operate the apps your service and customer support team already uses, from texting status updates car by car to drafts and bay slots waiting for an advisor's approval.

Dealership customer support teams get back the hours lost to booking, status updates and estimate chasing.

Where you spend your time

Why Auto Dealer Customer Support teams switch

We know how your week actually goes

What matters to you
  • Every service request matched to a bay
Web, text and email requests are matched to open bay time and technician skill, then drafted back to the customer.
  • Due dates and recalls reach the right owner
Maintenance due and open recalls are worked vehicle by vehicle, in plain English, not left in the DMS list.
  • Customers know where their car is
Status updates, slipping promise times and ready-for-pickup messages are drafted from each open repair order.
  • Estimates answered before the lift sits idle
Inspection findings go out with photos for approval, and unanswered ones are chased the next morning.
  • Delays and complaints handled with care
Parts slips and coverage questions are prepared for the manager, and low survey scores get a fast follow-up.
  • Built around how your service drive works
These are examples of what a dealership support agent can do. Build a custom agent for any job you repeat.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Auto Dealer Customer Support team's day.

The problem

Where the hours go

  • The advisor is writing up one customer while three text messages and a web booking request wait, so slots get fixed late and a customer asking is my car ready is answered after they have already driven over.

An agent reads each service request, matches it to open bay time and technician skill, drafts the confirmation, and keeps status answers ready from the open repair orders for the advisor to approve.

  • Maintenance-due lists and recall matches sit in the DMS because nobody has an hour to check mileage vehicle by vehicle, so owners learn about an open recall from a letter or not at all.

An agent works down the due list by vehicle, matches customer VINs to the manufacturer's open recalls, and drafts a plain-English reminder with two open slots for the advisor to approve.

  • An inspection finds extra work, the estimate goes out in the afternoon, and by next morning the car is still on the lift because the customer never saw it.

An agent writes up the findings with photos, drafts the estimate from the labour guide and parts quote, and chases the unanswered ones, while the advisor decides what goes to the customer.

  • A parts delay, a warranty question and an unhappy survey score all land on the same overloaded desk, and the complaint that mattered is the one nobody read until the manager heard about it from the manufacturer.

An agent flags slipping promise times, looks up coverage by VIN, and sorts low survey scores so the service manager sees the complaint, the history and a draft reply together.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA customer submits an online service requestfires within about a minute
The agent automatically

When a service request arrives through the website form or the shared inbox, the agent reads it within about a minute, finds the vehicle's last visit and any open recall, matches the preferred day to an open bay and a technician with the right skill, and drafts a confirmation that names the work. The draft waits in Slack for the advisor to approve before the customer sees it.

What your agent runs for you

  • Booking
    240 min / week
Matching requests to bay slots by hand

  • Estimates
    220 min / week
Writing up findings and chasing replies

Inspection findings are retyped into customer words, estimates are keyed in by hand, and unanswered ones are chased by the next free person, often the day after.

    Estimates Agent

Trust & control

You stay in control

A support agent that sees your customers, repair orders and estimates only earns its place if you stay in control. Actionist is built so you see everything it touched, approve whatever reaches a customer, and keep the calls that belong to your people.

Customer messages wait for an advisor's approval

A confirmation, a status update, an estimate or a recall notice is drafted and queued for an advisor to approve. Nothing goes to a customer unless you widen that autonomy yourself through Approval Modes.

Estimates and goodwill stay with your team

The agent drafts the estimate and gathers the coverage and history. The advisor decides what the customer is quoted, and the service manager decides any warranty or goodwill request.

An audit trail of every record it touches

Each message drafted, ticket created or order note changed by the agent is logged with a timestamp, so a manager can see what happened and when.

Customer and vehicle data stays yours

Customer details, repair histories and inspection photos are encrypted and are not used to train any model. If it must stay on your own infrastructure, you can self-host Actionist on a VPS.

FAQ

Frequently asked questions

Does my service and customer support team need to be technical to use Actionist?
No. You describe how your service drive handles bookings, status updates and estimates in plain language, connect the apps you already use, and the agent does the clicking. Most tools need no API because the agent operates the screen the way an advisor would, so nobody on the team writes code.
How do I get started with an agent for our service drive?
Book a free demo and an Actionist team member will pick one real pain, such as the next-day confirmations or the unanswered estimates, and set up a working example against your own scheduler. You run it with approvals on, then add the next job when you trust the first.
How do I make customised AI agents for how our service department works?
You describe the agent's role, the apps it can use and the approval rule for each action. An estimate agent, for example, is told which labour guide to use and which findings always need a photo. The examples here are starting points, not limits, and you can build a custom agent for any job your team repeats.
How quickly can I set up a dealership customer support agent?
A single job such as drafting next-day confirmations can be running within a day of the demo. Jobs that span several tools, like estimate drafts or recall matching, usually take a few days of tuning against real repair orders. You test on your own data with approvals on before anything reaches a customer.
Will it text a customer without an advisor seeing it first?
No, not by default. Every confirmation, reminder, status update and estimate is drafted and held for approval in Slack or Telegram. The agent sends only what a person approves, and you can widen that for steps you trust through Approval Modes, though customer messages ask first unless you change it.
Our DMS and scheduler are old and have no API, can it still work?
Yes. The agent uses computer use: it opens the DMS, the manufacturer portal or the scheduler the way an advisor does, reads what is on screen and clicks through the entry. That means older tools can be operated without a custom integration, as long as the software account stays signed in.
Can it decide whether a repair is covered, approve an estimate or grant goodwill?
No. The agent looks up coverage by VIN, drafts the estimate and gathers the history, but the advisor decides what the customer is quoted and the service manager decides coverage exceptions and goodwill. The customer decides whether to approve the estimate.
Is our customer and repair data safe, and is it used to train AI models?
Customer details, repair histories and photos are encrypted and never used to train an AI model. Every record the agent touches is logged in an audit trail. If your group needs everything on its own infrastructure, Actionist can be self-hosted on a VPS.
What happens when a customer phones or leaves a voicemail?
The agent does not answer or place calls, so your phone system and your advisors keep doing that. It can read call logs and voicemail transcripts from RingCentral, Dialpad, JustCall or CallRail, then draft a booking or a reply for an advisor to approve.
