AI workforce for Healthcare Practices Customer Support

AI agents for customer support teams in healthcare practices

Actionist is an AI automation tool whose agents operate the apps your healthcare practice customer support already uses, from sorting every inbox by hand to agents that route, log and draft replies for approval.

Practice support staff get back the hours lost to inbox sorting, billing look-ups, and chasing complaint deadlines.

Where you spend your time

Why Healthcare Practices Customer Support teams switch

We know how your week actually goes

What matters to you
  • One owner for every patient message
Email, chat and Messenger threads become one ticket with a named owner, so two people never answer the same question.
  • Health messages reach clinicians untouched
A message describing how someone feels goes to the practitioner as written and is logged. The agent never judges it.
  • Billing questions answered with the figures
Invoice lines, balances and claim status are looked up first, so the reply says what was charged and why.
  • Complaints acknowledged and tracked
Each complaint is logged, an acknowledgement is drafted, and the response window is watched until it closes.
  • Records and letter requests kept moving
Every request gets its form and a deadline, so none sits in a drawer while the patient asks for an update.
  • Built around how your practice answers
These are examples of what a practice support agent can do. Build a custom agent for whatever your front office repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Healthcare Practices Customer Support team's day.

The problem

Where the hours go

  • Patients write by email, then chat, then Messenger about the same thing, and two people on the desk reply to different threads while a third message sits unseen.

An agent turns every inbound message into one ticket with a named owner, merges the duplicates, and shows you a single list instead of four inboxes.

  • After year-end statements the desk spends whole mornings opening Xero, the booking system and the claim portal side by side just to explain one invoice line to one patient.

An agent looks up the invoice, the payments and the appointment behind the charge and drafts a reply with the figures, so your billing person checks a draft instead of researching.

  • A complaint arrives in the shared inbox, gets forwarded twice, and nobody notices the practice's response window closing until the patient writes a second, angrier message.

An agent logs every complaint, drafts the acknowledgement for approval, watches the response deadline, and puts the facts in one pack for the manager.

  • Records and letter requests sit with whoever opened the email first, and the patient's third message asking for an update is how the practice learns the form was never returned.

An agent opens a ticket for each request with the right form and deadline, checks returned forms for gaps, and drafts the progress notes so nothing waits in silence.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA patient writes again on a second channel about the same issuefires within about a minute
The agent automatically

When a patient follows an email with a chat message or a Messenger note, the Inbox Sorting Agent matches the name and the subject, merges the threads into one Zendesk ticket within about a minute, and tells the current owner in Slack. The patient gets one coherent reply, drafted for approval, instead of two conflicting ones.

With Actionist

What your agent runs for you

  • Inbox
    150 min / week
Reading four inboxes to find who owns what

Someone opens email, web chat, Messenger and the text inbox in turn, forwards messages by hand, and still misses the patient who wrote on two channels.

    Inbox Agent
    0 min
Agent makes one ticket per issue with an owner

An agent turns every inbound message into a ticket with a suggested owner, merges duplicates, and gives the desk one sorted list each morning.

  • Billing queries
    110 min / week
Researching one invoice across three systems

The desk opens Xero, the booking system and the claim portal side by side to work out why a patient was charged, then types a reply from memory.

    Billing queries Agent
    0 min
Agent drafts the reply with the figures

An agent looks up the invoice, payments and appointment and saves a draft quoting each line. A person checks it and decides on any adjustment.

  • Complaints
    60 min / week
Watching a response window by memory

A complaint is forwarded twice, nobody owns it, and the practice learns the response window has closed when the patient writes a second time.

    Complaints Agent
    0 min
Agent logs, drafts and counts down

An agent adds each complaint to the register, drafts the acknowledgement for approval, and lists the ones due this week in Slack every Monday.

  • Records requests
    70 min / week
Chasing a form nobody remembers sending

A patient asks for an update on a records request and the desk searches sent mail to find out whether the form was ever returned or the identity check was done.

    Records requests Agent
    0 min
Agent tracks every request to its deadline

An agent opens a ticket per request, checks returned forms for gaps, and flags the ones close to their response date with the owner named.

  • Reporting
    60 min / week
Building the Monday numbers from scratch

The practice manager exports ticket lists, counts by hand and guesses at reply times, so the review meeting runs on a rough memory of the week.

    Reporting Agent

Agent assembles the weekly support report

An agent counts tickets by topic and owner, works out time to first reply from the records, and saves the report for the Monday review.

Trust & control

You stay in control

An agent that reads patient messages and billing records only earns trust if you stay in control. Actionist is built so you see everything it touched, approve anything that reaches a patient, and keep every record it creates.

Patient replies wait for your approval

Every reply, acknowledgement and reminder is drafted on the ticket and held for a person to read. Nothing reaches a patient on its own unless you widen that autonomy through Approval Modes.

Health messages pass through untouched

A message describing symptoms or how someone feels goes to the practitioner exactly as written. The agent is a front-office tool, does not judge urgency, and never replies to the content.

Refunds, waivers and outcomes stay with people

Refunds, waivers, payment plans, complaint outcomes and what a record release contains are decided by your team. The agent gathers the figures and the facts, drafts the wording, and stops.

Full audit trail, and the data stays yours

Every ticket created, draft written and hand-off made is logged with a timestamp. Your patient contact and billing data stays yours and is not used to train any AI model.

FAQ

Frequently asked questions

Does our front-office team need to be technical to use Actionist?
No. Actionist is built for the people who run a practice's front office, not for developers. You describe how patient messages, billing questions and complaints are handled in plain words, connect the tools you already use, and set which steps need your approval. Most tools need no API, because the agent operates them the way a person would.
How do I get started with Actionist at our practice?
Book a free demo and bring the support job that eats most of your week, such as sorting the inbox or answering billing questions. We show an agent doing it in your own tools, you decide the approval rules, and you start with that one job. Most practices add the next job once the first one has earned their trust.
How do I make customised AI agents for how our support desk really works?
Tell Actionist what the agent is for, which apps it works in and which actions need your sign-off. For billing, that might be reading the invoice in Xero and drafting a reply with the figures. For complaints, it might be watching your response window. The agents on this page are examples of what a support agent can do, not the limit.
How quickly can we set up a customer support agent?
A single job, such as sorting the inbox into tickets or drafting replies to billing questions, can usually be running within a day of the demo. Jobs that cross several tools, like assembling a complaint fact pack, take a few days of testing against a copy of your records. Nothing touches live patient tickets until you are happy with how it behaves.
What happens to patient messages and billing details? Is any of it used to train AI?
Your patient contact and billing data stays yours. What the agent reads and writes is encrypted, none of it is used to train any AI model, and every action is logged in an audit trail you can read. Actionist is a front-office tool and makes no decisions about care. If you need everything on your own infrastructure, it can be self-hosted on a VPS.
Our help desk and patient portal do not all have a real API. Can the agent still work with them?
Yes. When a tool offers no useful API, the agent works the screen like a person, opening the ticket, reading its fields and completing the next step. That suits older portals and billing screens. A person approves anything that changes what is on file for a patient or goes outside the practice.
Will the agent ever reply to a patient without someone seeing it first?
Not unless you decide it should. Replies, acknowledgements and follow-ups are drafted on the ticket and held for approval by default. You can widen that for low-risk replies through Approval Modes, such as sending a fresh form link, while anything about money, a complaint or a record release always waits for a person.
What does the agent do when a patient describes symptoms or how they feel?
It does nothing with the content. The message is passed to the named practitioner exactly as written, the hand-off is logged, and the practice manager is told in Slack. The agent never triages urgency, never suggests what the patient should do, and never replies to the health content. Those decisions stay with your clinicians.
Does the agent answer our phone line?
No. Actionist does not answer, make or listen to calls. It can read call logs and voicemail transcripts produced by a phone app you already use, such as RingCentral, JustCall or Dialpad, and turn the ones that need follow-up into tickets. The conversation itself stays with a person on your team.
