AI workforce for Hospitality Admin and Office

AI agents for admin and office teams in hospitality

Actionist is an AI automation tool whose agents operate the apps your hospitality back office already uses, from sorting one overflowing mailbox and renewal diary by hand to drafts waiting for you.

Hotel back-office teams get back the hours lost to mailbox sorting, renewal chasing, and records upkeep.

Where you spend your time

Why Hospitality Admin and Office teams switch

We know how your week actually goes

What matters to you
  • One mailbox, sorted by what needs a person
Supplier, authority and general mail is routed each morning, and guest complaint letters are passed on untouched.
  • No contract renews by accident
Auto-renewing service contracts, insurance and music licences are tracked against their notice windows well in advance.
  • Records ready when someone asks
Data requests, CCTV requests and guest registration records are logged against their deadlines and retention limits.
  • Contractors cleared before they arrive
Insurance certificates, method statements and vendor forms are checked before a contractor is on site.
  • Keys, supplies and equipment accounted for
Stationery, key-card stock and the master key register are checked, so shortages show before the desk runs out.
  • Built around your back office
These are examples of what a hospitality office agent can do. Build a custom agent for whatever your team repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Hospitality Admin and Office team's day.

The problem

Where the hours go

  • The general mailbox collects supplier mail, council letters, courier notices and the occasional complaint in one pile, and the one that mattered is found three days late.

An agent sorts the mailbox each morning, highlights anything with a deadline, and routes complaint letters untouched to the general manager.

  • Service contracts, insurance and music licences renew on dates nobody tracks, so a pest control or waste agreement rolls over for another year before anyone reads the notice clause.

An agent watches every notice window and drafts a summary of each contract ninety days before it renews, so you decide in time.

  • A subject access request or CCTV request arrives by email, and the clock starts while someone works out who should handle it and where the records sit.

An agent logs each request, calculates the deadline, gathers the likely records for review, and drafts an acknowledgement for the responsible manager.

  • Contractors turn up with an expired insurance certificate or no method statement, and the office finds out at the gate or after the work has started.

An agent checks certificates and paperwork against the works diary and drafts a request to each contractor before their visit.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

The agent automatically

When official correspondence reaches the mailbox or scan folder, the agent reads it within about a minute, finds any deadline, fee or inspection date, and drafts a plain-language summary and calendar reminder. The general manager decides the response.

Trust & control

You stay in control

Back-office work handles contracts, guest records and official letters, so control matters more than speed. Actionist is built so every external message waits for a person, and every legal or commercial decision stays with your managers.

Drafts wait for your approval

Supplier replies, contractor requests and data request acknowledgements are drafted and queued. Nothing leaves the property until a named person approves and sends it.

People decide the legal calls

Whether to disclose records, release CCTV, cancel a contract or accept an insurance quote is your manager's decision. The agent prepares the file and the evidence, nothing more.

Destructive actions always ask first

Deleting a record, deactivating a key card, or cancelling a subscription stops for explicit approval, whatever autonomy you have granted elsewhere.

Records stay yours and logged

Guest and contract data are encrypted, never used to train models, and every read and write is in an audit trail. Self-hosting on your own VPS is available if you need it.

FAQ

Frequently asked questions

Does my hospitality admin team need to be technical to use Actionist?
No. You describe the office job in plain words, such as sorting the general mailbox and flagging deadlines, and the agent does it in the apps you already use. There is no code. Most back offices start with one register, like the contracts renewal list, and add more as they trust the drafts.
How do I get started with an office agent for my property?
Book a free demo, connect the shared mailbox and the shared drive, and pick one job from the examples, such as the Monday renewal summary. The agent drafts and your manager approves, so you see it working on real mail before you widen what it does.
How do I make customised AI agents for how our back office works?
Describe the job, the registers and your naming rules, and build a custom agent for it. The agents and jobs shown here are examples, not limits. Coach it like a new office junior: show it a few finished examples and correct its first drafts until they match your house style.
How quickly can we set up an admin agent?
A first job like the morning mailbox sort can be running the same day once the mailbox is connected. Registers for contracts or keys take longer because the agent needs your existing spreadsheets and naming. It is usually days rather than weeks.
Is guest and contract data safe, and is it used to train AI models?
Your contracts, guest records and correspondence stay in your own systems and are encrypted. They are not used to train models, and an audit trail logs every read and write. If your compliance team needs it, Actionist can be self-hosted on your own VPS.
Our registers are in an old property system and paper logs. Will it work with those?
Often yes. Actionist can operate the screen like a person, so it can read and update software with no API, and read scanned paper logs that reception saves to a folder. Screen automation runs in the cloud, and where a clean connection exists, the agent uses that.
Will it reply to a supplier, contractor or authority without a person checking first?
Not unless you widen its autonomy. By default every reply, contractor request and acknowledgement is drafted and waits for approval. Approval Modes let you move from suggest to ask each time to guarded auto, and anything external or destructive still asks first.
Can the agent decide whether to release CCTV footage or guest records?
No. It logs the request, calculates the deadline and prepares the file, but a named person decides what is disclosed or released. Legal, privacy and release decisions stay with your managers or counsel.
What happens during a busy season when the office is stretched?
It helps most then. The agent keeps sorting mail, watching renewal dates and logging requests while your team is covering the front of house. A person still approves each external message and every legal or commercial decision, so the review is shorter, not skipped.
