AI workforce for Hospitality Founders & Executives

AI agents for founders and executives in hospitality

Actionist is an AI automation tool whose agents run the apps hospitality founders and executives already use, from chasing managers for numbers to a flash report that builds itself.

Hospitality founders and GMs get back the hours lost to flash reports, owner packs, and deadline tracking.

Where you spend your time

Why Hospitality Founders & Executives teams switch

We know how your week actually goes

What matters to you
  • A flash you read, not build
Night-audit numbers become a one-page flash before your first coffee, with RevPAR and labour already worked out.
  • Owner packs without the scramble
Variance commentary and the management-company template are drafted by the third working day.
  • Budget season that stays on track
October submissions, the rolling forecast, and capex approvals live in one tracker instead of ten emails.
  • Deadlines nobody has to remember
Covenant tests, brand reports, and insurance renewals surface weeks ahead, with their inputs gathered.
  • Meetings that start prepared
The bank, the asset manager, and the board each get a brief built from your own figures and last meeting's actions.
  • Your time on decisions only you make
Rates, spend, and strategy stay with you. Gathering the numbers behind them does not.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Hospitality Founders & Executives team's day.

The problem

Where the hours go

  • Every morning someone chases four department heads for numbers that already sit in the PMS and the tills, then retypes them into a flash that is stale by the time the briefing starts.

An agent reads the night-audit and outlet reports each morning, works out ADR, RevPAR, covers, and labour percentage, and drafts the flash for you to read before the briefing.

  • The monthly owner pack eats the third working day, with the P&L reformatted into the management company's template and every variance explained by a different head of department.

An agent builds the variance table, drafts commentary against each off-budget line, and leaves the GM to add judgment and approve the owner pack.

  • Budget season and capex requests spread across inboxes, so nobody can say how much of the yearly capital envelope is left or which quote the owner is waiting to see.

An agent keeps one budget and capex tracker current, lines up quotes side by side, and drafts the approval summary for the owner to decide.

  • Covenant tests, brand fee statements, and insurance renewals are remembered by whoever has the best memory, and a missed date turns into an uncomfortable call with the lender or the brand.

An agent keeps an obligations calendar, gathers each report's inputs two weeks ahead, and flags whatever is still missing so the deadline is never a surprise.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenThe morning night-audit report is postedfires within about a minute
The agent automatically

Within about a minute of the night-audit statistics landing in the PMS or the inbox, the agent reads occupancy, ADR, and rooms sold, works out RevPAR and the month-to-date position against budget, and posts a one-page flash draft to Slack for the GM to read.

Trust & control

You stay in control

An agent that reads your trading figures and prepares owner and lender material earns its place only if you stay in charge. Actionist keeps spend, strategy, and every external send with you, and shows you everything it touched.

Owner and lender material waits for you

Reports to owners, asset managers, banks, and the brand are drafted and queued for your approval. Nothing goes out unless you widen that autonomy yourself.

Figures are read, spend stays with you

The agent reads accounting and PMS data and prepares comparisons. Approving capex, rates, and budgets stays a human decision.

A trail for every number it touched

Each flash, variance table, and draft is logged with the source report it came from, so you can trace any figure when an owner asks.

Your trading data stays yours

Revenue, covenant, and ownership details are encrypted and never used to train any model, which matters when the data is commercially sensitive.

FAQ

Frequently asked questions

Do founders and executives need to be technical to use Actionist?
No. You describe the flash, the owner pack, or the deadline list in plain language, connect the systems you already use, and the agent builds it. Most hospitality leadership teams start with the daily flash because the source numbers already exist and nothing has to be configured through an API.
How do we get started with an executive agent for our property?
Start with one report you build by hand every week, usually the daily flash or the owner pack. Book a demo, connect the PMS, accounting system, and spreadsheet, and the agent drafts the first version for you to review. Add the next job once that one feels right.
How do I make customised AI agents for how our group is actually run?
Tell Actionist which role the agent plays, which systems it reads, and when it must stop for your approval. A group with three properties and one asset manager might build an agent that rolls up the flash by property and drafts a separate pack for each owner. You change the rules as the way you work changes.
How quickly can we set the executive agents up?
Many leadership teams have a daily flash drafted within a day or two, because the work is connecting your PMS, accounting system, and a template. Owner packs and the obligations calendar take a little longer, as they depend on how your management company formats its reports.
Where does our trading, owner, and lender data live, and is it used to train AI models?
Your data stays in the systems it already lives in. Actionist reads what it needs to prepare a report, encrypts what it stores, and never uses your content to train a model. Revenue, covenant, and ownership details are commercially sensitive, so the audit trail shows exactly what each agent read.
Our PMS and brand portals have no API we can use. Will an agent still work?
Often yes. The agent operates the screen the way a person would, so it can read a report from a PMS, a brand extranet, or a bank portal that has no integration. A portal that changes its layout may need the agent to be adjusted, and anything that touches money still waits for you.
Will it send an owner pack or a lender email without me seeing it first?
No. Anything addressed to an owner, an asset manager, a bank, or the brand is drafted and held for your approval. You can widen that through Approval Modes later for a routine item, but destructive or external actions keep an approval step, and every draft shows which figures it came from.
Can it decide on capex, rates, or a bid for us?
No, and it is built not to. The agent prepares the quotes comparison, the rate ladder, or the research note, then a person decides. It reads accounting and PMS data and does not approve spend, change a rate, or accept a management contract.
What happens in our busiest weeks, with festive trading and a full house?
The agents work from the same schedule, so the flash, the pace check, and the action list keep arriving while your team is stretched. A festive trading check can be added for peak dates, and anything that needs a decision is queued so the GM can approve it in a spare minute from Telegram or Slack.
