AI workforce for Restaurants HR & People

AI agents for HR teams in restaurants

Actionist is an AI automation tool whose agents operate the apps your restaurant HR team already uses, from drafting the weekly rota to chasing a starter's right-to-work evidence and getting hours ready before payroll.

Restaurant managers get back the hours lost to rotas, swaps, starter paperwork, and the Monday hours chase.

Where you spend your time

Why Restaurants HR & People teams switch

We know how your week actually goes

A restaurant people team is often one general manager and a head chef with a phone. The rota changes on Thursday, a swap lands in the group chat at 11pm, and a new commis starts Monday with no paperwork back.

Actionist builds agents that do the repeat people admin in the apps you already use, and put every decision about hiring, pay, and conduct in front of a person.

What matters to you
  • A rota that is ready by Thursday
Availability, holiday, and the booking forecast checked together, so the draft is not built from memory.
  • Swaps that never go missing
A swap asked for in the group chat gets logged and checked, not lost under forty messages.
  • Starters who are properly set up
Right-to-work evidence, contract, and till login chased before the first shift, not after.
  • Hours that match what was worked
Clock-ins and the rota compared, so Monday's pay prep is not a hunt through screenshots.
  • Certificates that never lapse
A food hygiene or allergen certificate close to expiry is flagged weeks before a visit.
  • Leavers closed out cleanly
Keys, uniform, till access, and final pay details tracked, so nothing stays open.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Restaurants HR & People team's day.

The problem

Where the hours go

  • The rota gets built on Thursday night from half-remembered availability and a quick scroll through the group chat, so a Saturday gap is only noticed when someone texts to say they cannot make it.

An agent reads stated availability, holiday requests, and the booking forecast, drafts the rota in Connecteam, and lists the gaps for the manager to approve before anything is published.

  • A new commis starts on Monday and nobody has their right-to-work evidence, bank details, or till login, so the first shift is spent on forms instead of learning the pass.

From the day an offer is accepted, an agent tracks each document and login on the starter checklist and drafts the chase for the manager to approve, so the first shift is a working one.

  • Payroll prep is a Monday scramble through till timecards, screenshots of swaps, and a tronc spreadsheet, and a missed clock-out is only found when someone queries their pay.

An agent totals clock-ins against the rota, flags the odd entries, and lays out the tronc sheet, so a person reviews prepared figures before running pay.

  • Food hygiene and allergen certificates sit in a drawer or a phone gallery, and an expired one is found on the day an officer asks to see the file.

An agent keeps a live list of who holds which certificate, flags expiries ahead of time, and prepares the reminder for the manager to approve.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

The agent automatically

When a swap request appears in the swap thread, the agent reads it within about a minute, checks both people's hours and roles against the rota, and queues a clear yes-or-no for the manager. The swap is only confirmed once the manager approves it.

Trust & control

You stay in control

An agent working with staff records, pay figures, and candidate details only earns trust if you stay in control. Actionist is built so you approve what reaches your team, see what it touched, and keep every decision about people.

Staff messages wait for a manager

Rota messages, offers, regrets, and reminders are drafted and held for approval before they reach a candidate or an employee, unless you widen autonomy through Approval Modes.

People decisions stay with people

The agent prepares the picture for hiring, pay, holiday, and conduct, and a person decides. It never runs payroll or approves a pay change.

Sensitive records stay yours

Right-to-work evidence, sickness details, and pay data are used only for the task you set. Every action is logged so you can see exactly what it read.

Check the source behind every figure

Hours, tronc, and holiday balances link back to the timecards and rota they came from, so a manager can verify them before anything is used.

FAQ

Frequently asked questions

Does my restaurant HR team need to be technical to use Actionist?
No. You describe how you build the rota, handle swaps, and onboard starters in plain language, connect the apps you already use, and the agent follows that. There is no code to write, and a general manager can set it up.
How do I get started with an HR agent for my restaurant?
Start small. Connect your rota app and the availability sheet, ask the agent to draft one week's rota without publishing it, and compare it with what you would have built. Book a free demo, and add starter paperwork or hours prep once the first draft looks right.
Can I build a custom agent for how my restaurant handles staff?
Yes. Start from the Operations Assistant or build a custom agent for your own routine, such as a seasonal staff pack, a stagiaire programme, or a probation tracker. Telegram and Slack are the chat channels your agents report to.
How quickly can I get a rota agent running?
Most teams connect the rota app and availability sheet in a short session, so the first draft rota can be ready the same week. Scheduled tasks run on the times you choose, and triggered ones, like a new swap request, are picked up within about a minute.
My rota app has no connection to anything else. How does the agent use it?
The agent uses computer use: it opens your rota app, till timecards, or spreadsheet and reads and drafts the way a manager would, on the screen. That means it works with software that has no integration, and it needs no developer.
Will it message my staff or candidates without my approval?
Not by default. Everything addressed to a candidate or an employee is drafted and waits for a manager to approve it. Approval Modes let you widen autonomy on routine reminders once it has earned that, and anything sensitive keeps asking first.
Who decides on hiring, pay, and conduct matters?
You do. The agent prepares the facts, such as a shortlist, an hours sheet, or a timeline of rota and shift notes, and a person decides. It never makes an offer, sets pay, runs payroll, or makes a conduct decision.
Is my staff data safe, and is it used to train models?
Your records stay yours and are not used to train any AI model. Staff documents, sickness notes, and pay data are only used for the tasks you set, and every action is logged. If you need everything on your own infrastructure, you can self-host on a VPS.
Can it handle seasonal staff, agency workers, and several sites?
Yes. Seasonal and agency staff can have their own tracker with start and end dates and a lighter checklist, and a multi-site group can keep one agent per site or one across sites. Each site's manager still approves what goes to their own team.
