AI workforce for Restaurants Finance

AI agents for finance teams in restaurants

Actionist is an AI automation tool whose agents operate the apps your finance desk uses, from matching the till report to the bank by hand after a long shift, to a cash-up reconciled and variances listed each morning.

Restaurant finance teams get back the hours lost to cash-up checks, platform payout matching, and month-end assembly.

Where you spend your time

Why Restaurants Finance teams switch

We know how your week actually goes

Restaurant finance is rarely a department. It is a general manager, a bookkeeper, and an owner checking the till report at eleven at night, while delivery payouts, tips, payroll, and VAT all arrive on different calendars.

Actionist builds AI agents for the restaurant finance desk that prepare the reconciliations, sheets, and packs, so the people who decide can spend their time on the numbers that need a decision.

What matters to you
  • A cash-up that agrees with the bank
Z read, card batches, and cash banked compared every morning, with the variance and its likely cause listed.
  • Delivery payouts you can explain
Each Deliveroo, Uber Eats, or Just Eat payout traced to its orders, with commission checked against the rate agreed.
  • Tips and payroll ready before cutoff
Hours from the rota, the tronc sheet, and the payroll input built days ahead, not on deadline morning.
  • Bills coded and paid on a rhythm
Every supplier bill coded and routed, with a weekly payment run proposed for someone to approve.
  • A month-end the accountant does not chase
Accruals, bank rec, VAT working, and the site P&L assembled as the month closes, not three weeks later.
  • Built around how you keep the books
These are examples. Build a custom agent for any finance job your restaurant repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Restaurants Finance team's day.

The problem

Where the hours go

  • The cash-up happens at the end of a long shift, the till report is checked against banking by whoever is left, and a variance is only spotted days later when nobody remembers the shift.

An agent compares the Z read, card batches, and cash banked each morning, lists every variance by tender with the voids and comps behind it, and leaves the manager to decide what to investigate.

  • Delivery platform payouts arrive in lumps net of commission, refunds, and adjustments that do not match the order list, so nobody traces them and a wrong commission rate goes uncontested for months.

An agent traces each payout to its orders, checks the commission against the agreed rate, and lists the gaps with the evidence, so the owner decides whether to dispute with the platform.

  • Payroll deadline morning means pulling hours from the rota and clock-ins, splitting tips and service charge in a spreadsheet, and checking casual holiday pay, with a dozen people waiting to be paid.

An agent builds the timesheet, the tronc allocation sheet, and the payroll input from the approved hours days ahead, and flags overtime and gaps for the manager to review.

  • Bills are coded in batches when the accountant starts asking, accruals are forgotten, and the VAT working paper is rebuilt each quarter from scratch, so the month closes three weeks late.

An agent codes and routes bills as they arrive, proposes the weekly payment run, and assembles accruals, bank rec, VAT working, and the site P&L for the finance lead to approve.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

As soon as the end-of-day report is available, the agent reads sales by tender, matches them to the card settlements and the cash banked, and lists any variance with the voids and comps behind it. The finance lead reviews the list and decides what to investigate.

Trust & control

You stay in control

An agent that sees your takings, payouts, and payroll inputs only earns its place if you stay in control. Actionist is built so a person approves every payment and every figure that leaves the building, and every number can be traced to its source.

No payment moves without a person

The agent proposes the payment run and never makes a payment. Approving, releasing, and changing bank details stay with the owner or finance lead.

You decide tax, tips, and pay

The agent prepares VAT working, tronc sheets, and payroll inputs from your policy. Tax treatment, the tips split, and pay decisions are made by a person or your accountant.

Every figure links back to its source

Ask the agent to show the Z read, statement, or bill behind a number, and check those documents before you approve a payment or a return.

Limit what it can see and touch

Give the agent only the till reports, bank feeds, and folders the job needs, preferably read-only. Bank logins and secrets sit in the Credentials Vault.

FAQ

Frequently asked questions

Does my restaurant finance team need to be technical to use Actionist?
No. If you can run a cash-up and a month-end, you can brief an agent. You describe the job in plain words, such as reconciling the Z read to the bank each morning, and the agent works through the apps you already use, leaving drafts for your approval.
How do I get started with a finance agent for my restaurant?
Start with one job, usually the morning cash-up reconciliation or the delivery payout match. Connect the till export and the bank feed, check the first few runs against your own work, and widen it once you trust the results. Book a free demo and we will set up the first agent with you.
How do I make customised AI agents for how our books are kept?
Describe the job and the steps you follow, and Actionist helps you build a custom agent around them: your chart of accounts, your tolerance for a variance, your tronc policy. The jobs on this page are examples, not the limit.
How quickly can I set a restaurant finance agent up?
A first agent, such as the morning reconciliation, can be running within a day once the till export and bank feed are connected. Triggers fire within about a minute of a report or statement arriving. Most teams widen from there over a few weeks.
Where does our banking and payroll data live, and is it used to train AI models?
Give the agent only the till reports, bank feeds, and folders it needs, ideally read-only, and keep logins in the Credentials Vault. Check the terms of the model provider and connected apps before sharing sensitive figures, and consider a self-hosted runtime if you need tighter control.
Will the agent pay a supplier or move money without me?
No. The agent proposes a payment run and prepares the details, but approving and releasing payments is always done by a person, and destructive or irreversible actions always ask first. You approve from Slack or Telegram.
Our till and the delivery platform portals have no API. Can Actionist still work with them?
Yes. Actionist operates the screen the way your team does, reading and clicking like a person in the cloud, so it works with a till back office or a platform's partner portal. Where a platform restricts automated access, check its terms before connecting.
Does the agent do our VAT return or give tax advice?
No. It assembles the VAT working paper from your sales and purchase codes and flags unusual lines, but the treatment and the return itself are decisions for you and your accountant. It prepares the evidence so those decisions are quicker.
Does the agent decide how tips and service charge are split, or run payroll?
No. It builds the tronc sheet and the payroll input from your policy and the approved hours, and flags gaps and overtime. The split, the pay, and the submission to your payroll provider stay with a person.
