01

Where you spend your time

Why Event Planning Finance teams switch

We know how your week actually goes

Event money moves in awkward shapes: staged deposits, ticket payouts that never match the bank, caterer bills built on a guaranteed number, and freelance crew paid after load-out.

Actionist builds AI agents for event finance that read the contract, the bank feed, and the supplier inbox, then draft the invoice or the check. A person approves every client invoice and every payment.

What matters to you
  • Instalments billed to the contract
Each stage payment is drafted from the signed schedule and the event date, then waits for approval.
  • Balances chased before load-in
Unpaid balances are listed by event date so no client arrives on site owing the final amount.
  • Ticket payouts that tie to the bank
Platform payouts are matched to deposits, with fees, refunds, and codes explained line by line.
  • Supplier bills checked against the quote
Caterer, venue, and AV invoices are compared with the signed quote and agreed numbers before approval.
  • A budget that is current, not remembered
Actuals and change orders post to the live budget so margin is known before the event closes.
  • Built around your finance stack
These are examples of what an event finance agent can do. Build a custom agent for any check you repeat.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Event Planning Finance team's day.

The problem

Where the hours go

  • Stage payments live in contracts, so someone reads each schedule, works out dates against the event, and keys every deposit and instalment by hand, then watches the calendar to chase whatever is late.

An agent reads the signed schedule, drafts each instalment invoice for approval, and lists balances by days to the event so nothing slips into load-in unpaid.

  • Supplier bills arrive built on numbers that moved, a caterer billing above the guaranteed head count or a venue minimum missed, and checking each against its quote is slow work nobody finds time for.

An agent compares each bill with the signed quote and agreed numbers, marks the differences, and prepares the payment run for a person to approve.

  • Ticket platform payouts never match the bank, because fees, refunds, and codes land at different times, so reconciling takes an evening and still leaves a gap.

An agent matches each payout to the deposit, explains the fees and refunds line by line, and lists only the real differences for you to look at.

  • The event budget is rebuilt from invoices once it is nearly over, so margin is a surprise at close instead of something watched while change orders are still being agreed.

An agent posts each approved invoice and change order to the live budget, flags lines running over, and builds the margin report when the event closes.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

The agent automatically

When a milestone date comes up, the agent drafts the matching invoice within about a minute with the contract reference and payment link attached. It waits in the approval queue; nothing reaches the client until you confirm.

Trust & control

You stay in control

An agent near invoices, supplier bills, and payouts only earns trust if you stay in control. Actionist is built so every client invoice and payment waits for your approval and every figure leaves a record.

Client invoices wait for your approval

An instalment invoice, a reminder, or a final invoice is drafted and queued for sign-off. Nothing reaches a client unless you widen that autonomy.

Payments are prepared, never released

The agent prepares the payment run and the refund batch. A person approves and releases every payment, and decides tax treatment.

A full audit trail of every figure

Each match, check, and draft is logged with a timestamp, so you can see exactly what the agent compared and why.

Your financial data stays yours

Contracts, bank matches, and supplier terms are encrypted and never used to train any model. Self-host on a VPS if they must stay on your infrastructure.

FAQ

Frequently asked questions

Does my event finance team need to be technical to use Actionist?
No. Actionist is built for event finance teams, not developers. You describe how your invoices, supplier bills, and payouts work in plain language, connect the apps you already use, and the agent handles the rest. Most tools need no code and no API because the agent operates the app the way a person would.
How do I get started with a finance agent for my event business?
Book a free demo and an Actionist team member will walk through your heaviest finance job, whether that is instalment billing, payout matching, or supplier bill checks, and set up a working example you can test against a real event. Most teams have a first agent running within a day.
How do I make a customised AI agent for how our events are billed?
Tell Actionist what the agent is for, which apps it should use, and when a person must approve. For supplier bills you tell it which quote and guaranteed numbers count; for balances you set the reminder schedule. The agent applies those rules on every run and you adjust them as your contracts change.
How quickly can I set an event finance agent up?
A basic agent that reads your supplier inbox, compares bills with a quote sheet, and lists differences can run within hours of your demo. Setups spanning the accounts, the ticketing platform, and the budget sheet usually take one to three days. You test it against a copy of your data first.
Where does our financial data live, and is it used to train AI models?
Your contracts, invoices, and bank matches stay yours. Everything the agent reads and writes is encrypted and none of it is used to train any model. Each check, match, and draft is recorded in an audit trail. If everything must stay on your infrastructure, you can self-host Actionist on a VPS.
Our ticketing and accounting tools have no public API. Will it still work?
Yes. The agent uses computer use in the cloud: it opens the ticketing platform, accounting package, or venue portal the way you do, reads what is on screen, and clicks through the task like a person. That means it works with tools that have no supported integration.
Will it send an invoice or reminder to a client without me seeing it?
By default, no. Every invoice, reminder, and final invoice is drafted and queued for your approval, and the agent sends only once you confirm. You can widen that autonomy for steps you trust through Approval Modes, but anything that reaches a client asks first unless you change it.
Will it pay suppliers or decide tax treatment?
No. The agent prepares the payment run and the refund batch, and a person approves and releases every payment. Tax and VAT treatment by event location is collected for the accountant to rule on. The agent checks and drafts; the decisions stay with you and your adviser.
Is this replacing our bookkeeper or finance lead?
No. It takes the repeat checking and keying, such as matching payouts and comparing bills with quotes, so your finance person spends time on judgement: which bills to query, which balances to chase, and what the margin means. Everything it prepares is reviewed and approved by a person before it counts.
