AI workforce for Healthcare Practices Founders & Executives

AI agents for healthcare practice founders and executives

Actionist is an AI automation tool whose agents operate the apps founders and principals already use, from assembling the partners' pack by hand to a brief, minutes and scorecard drafted for your approval.

Founders lose evenings to partner packs, complaint deadlines and a monthly scorecard. Agents take that assembly.

Where you spend your time

Why Healthcare Practices Founders & Executives teams switch

We know how your week actually goes

What matters to you
  • A morning brief before the first clinic
Your diary, the messages that need you and what moved overnight arrive on one page before the first patient.
  • Partners' meetings that start prepared
The pack, agenda and last meeting's open actions are assembled before the partners sit down, not during.
  • A scorecard you can trust each month
Revenue by service line, utilisation and patient trend land in one sheet with a first draft of the commentary.
  • No complaint or notice misses its deadline
Each complaint and regulator notice is logged with its response date and routed untouched to the person who decides.
  • Strategic projects keep a pulse
A new room, a second site or a system change has an owner, a status and a next step you can read in a minute.
  • Built around how you lead the practice
These are examples of what an executive agent can do. Build a custom agent for any leadership job you repeat.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Healthcare Practices Founders & Executives team's day.

The problem

Where the hours go

  • The principal's inbox fills during a morning of back-to-back clinics, so decisions wait while a lender, a landlord and a partner each assume their message is the one being read first.

An agent sorts the inbox each morning into decide, delegate and file, drafts replies to the routine items for approval, and puts the three messages that need you at the top of a one-page brief.

  • The partners' pack is assembled the night before from four spreadsheets and a scattering of emails, and the meeting ends without anyone writing down who owns which action.

An agent assembles the pack and agenda from the shared drive, drafts minutes from the meeting transcript, and chases every owner for their action, so the meeting produces decisions on record.

  • A complaint arrives by email, sits unanswered while the principal is with patients, and the response deadline passes because nobody was tracking it in one place.

An agent logs each complaint with its response date, routes it untouched to the person who decides, and nudges the owner before the deadline, so nothing ages out in a forwarded thread.

  • Monthly figures live in the accounts, the booking system and a hand-built spreadsheet, so the scorecard arrives late and the partners debate whose numbers are right.

An agent pulls revenue, utilisation and new-patient counts into one scorecard against plan and drafts the commentary, leaving you to add the judgement and decide what to do about it.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA complaint arrives by email or the website formfires within about a minute
The agent automatically

When a complaint lands in the shared inbox or through the website form, the agent logs the sender, date and response deadline within about a minute and forwards it exactly as received to the person who decides. It does not read for judgement or draft a reply to the complainant, and it reminds the owner as the date approaches.

With Actionist

What your agent runs for you

  • Inbox and diary
    210 min / week
Clearing the inbox in clinic gaps

The principal opens a crowded inbox between sessions, decides which message matters, and loses the lunch break answering invitations that could have been declined.

Agent briefs and drafts replies for approval

An agent sorts the inbox each morning, drafts routine replies and puts the three decisions at the top of a one-page brief, held for the principal's approval.

An agent pulls the three sources into one scorecard against plan, flags any service line behind target and drafts the commentary for the principal to finish.

  • Complaints and notices

    Tracking deadlines in forwarded threads

A complaint is forwarded twice, the response date lives in someone's head and a regulator notice sits unread in a crowded inbox.

    Agent logs, routes and reminds

An agent logs every complaint with its response date, routes it untouched to the person who decides, and summarises regulator notices for the principal.

Trust & control

You stay in control

An agent that sits close to the principal's inbox and the practice's figures has to earn that access. Actionist drafts and assembles, you decide, and everything it writes for another person waits for your approval first.

Anything sent on your behalf waits for approval

A reply, a minute, a partner update or a lender pack is drafted and held in Slack or Telegram until you approve it. Nothing goes to a partner, lender or patient on its own.

Complaints and health matters go to a person

The agent logs a complaint, tracks its deadline and routes it exactly as received to whoever decides. It does not judge the substance, urgency or outcome of anything touching patient care.

Decisions stay with you and the partners

The agent assembles figures, options and drafts. Strategy, spending, hiring, contracts and anything legal or financial remain a human decision, and the work arrives labelled as a draft.

Your practice data stays under your control

The agent works inside your inbox, drive and accounts without copying records elsewhere, and every action is logged in an audit trail you can read.

FAQ

Frequently asked questions

Do we need to be technical to use Actionist as the practice principal or manager?
No. Actionist is built for founders, principals and practice managers, not developers. You describe in plain language how your briefs, partner meetings and complaint handling work, connect the apps you already use, and the agent does the assembling. Most tools need no API setup, because the agent operates them like a person.
How do we get started with an executive-office agent for our practice?
Book a free demo and tell us which task costs you the most evenings, often the morning brief, the partners' pack or the monthly scorecard. We build a first agent around that one job and you approve its drafts for a week before adding anything else.
How do I make customised AI agents for how our practice is actually led?
You can build a custom agent for any leadership job you repeat. The pages here show examples, not the limit. Common custom builds include a lender-specific update pack, a quarterly commissioner report, or a briefing tuned to how your partners like to read.
How quickly can we set an executive agent up?
A first agent on a single job, such as the morning brief or the minutes from a meeting transcript, can usually be running the same day because it connects to the inbox, calendar and drive you already use. More jobs are added one at a time as you grow comfortable with the drafts.
Where does our practice and partner data live, and is it used to train AI models?
The agent works inside your inbox, drive and accounts rather than copying records elsewhere, and every action is written to an audit trail you can read. Memory is encrypted on your own machine, with a self-host option for stricter policies. Your data is not used to train AI models.
Our accounts portal and regulator site have no real API. Can the agent still work with them?
Yes. The agent works in the cloud by looking at the screen and using the mouse and keyboard, so a portal with no API, such as an accountancy or regulator site, can still be read and updated. Where a system does offer an integration, such as email, calendar or sheets, the agent connects to it directly instead.
Will an agent ever send something on my behalf without me seeing it?
No. Replies, minutes, partner updates and lender packs are all drafted and posted to Slack or Telegram for approval before they go. You can approve with one tap, edit or reject. Anything that reaches someone outside the practice keeps that approval step unless you deliberately widen the agent's autonomy.
Can the agent handle complaints, or decide how to respond to one?
No. It logs each complaint, notes the response date, routes it untouched to the person who decides and reminds the owner before the deadline. It does not judge the substance, urgency or outcome of anything touching patient care, and it does not reply to the complainant.
Is this meant to replace our practice manager or chief of staff?
No. The agent takes the assembling: the brief, the pack, the scorecard, the trackers and the reminders. Your practice manager still handles judgement, relationships and anything that needs a human decision. The aim is more time for the work only the principal and manager can do.
