AI workforce for Healthcare Practices HR & People

AI agents for HR teams in healthcare practices

Actionist is an AI automation tool whose agents operate the apps your healthcare practice already uses for hiring and staff records, from chasing contracts and training by hand to agents that keep every starter on track.

Practice managers doing HR between patients get back the hours lost to applications, paperwork, and training chasers.

Where you spend your time

Why Healthcare Practices HR & People teams switch

We know how your week actually goes

What matters to you
  • Applications read while the clinic runs
Each CV is checked against the role's must-haves and summarised, so shortlisting is not squeezed in after clinic.
  • Interviews booked around clinic sessions
Panel diaries are checked first, so a candidate is offered slots that do not pull a clinician out of a full list.
  • Paperwork finished before day one
Contracts, eligibility documents and handbook sign-offs are chased in order, not discovered missing on the start date.
  • Mandatory training never quietly lapses
Infection control, fire safety, safeguarding and data protection completions are checked weekly against the staff list.
  • Appraisals and probation reviews on time
Forms go out, packs are assembled, and review dates are diarised from each start date without anyone keeping a list.
  • Built around how your practice hires
These are examples of what a practice HR agent can do. Build a custom agent for whatever your people work repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Healthcare Practices HR & People team's day.

The problem

Where the hours go

  • Applications stack up in the inbox while the practice manager is in back-to-back sessions, so a good hygienist or nurse waits a week for a reply and takes another offer.

An agent reads each new application against the job brief, writes a short evidence summary, and queues the shortlist for your decision, so no strong candidate waits on a free afternoon.

  • The chain from verbal yes to first day is a dozen small chases: the contract nobody signed, the right-to-work document that never arrived, the handbook acknowledgement that sits unopened.

An agent works the paperwork list for every incoming starter in order, nudges the missing items, and shows you one page of what is still open before the start date.

  • Mandatory training and appraisals depend on someone remembering, and the gap only shows when an inspector or insurer asks for the infection control record and half the team has none.

An agent checks completion against the staff list every week, chases the overdue modules, files the certificates, and builds each appraisal pack before the meeting.

  • Absence, leave and leavers are tracked in three spreadsheets, so balances drift, return-to-work forms get skipped, and payroll inputs are rebuilt from scratch at month end.

An agent keeps balances and absence records current as decisions are made, drafts the return-to-work and leaver paperwork, and assembles the payroll inputs sheet for your check.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA new application arrives for an open practice rolefires within about a minute
The agent automatically

When a CV lands in Recruitee for a nurse, hygienist or front-desk vacancy, the Applicant Pipeline Agent opens it, checks the shifts, qualification and registration the role needs, and writes a short note of what is evidenced and what is missing. The note joins the shortlist sheet within about a minute. A person decides who progresses.

What your agent runs for you

  • Recruitment
    120 min / week
Reading applications after the last patient

The practice manager opens a dozen CVs at 6pm, tries to remember each role's must-haves, and the good hygienist has accepted another offer by Thursday.

    Recruitment Agent

Agent summarises each CV the day it lands

An agent checks each application against the job brief and adds an evidence note to the shortlist sheet, so the manager decides who to interview from a one-page table.

  • Interviews
    75 min / week
Juggling panel diaries and clinic sessions

Three people's calendars are compared by hand, one slot is offered, the clinic overruns, and the whole exchange starts again with the candidate waiting.

    Interviews Agent
    0 min
Agent offers three slots that suit the panel

An agent finds times that miss the full lists, drafts the invitation for approval, and reworks the slot if a clinic overruns.

  • Contracts
    55 min / week
Chasing a contract nobody has signed

The start date is Monday, the envelope has been open for nine days, and the practice manager finds out on Friday afternoon while reconciling the rota.

    Contracts Agent
    0 min
Agent lists open envelopes by start date

An agent sorts every unsigned contract by how close the start date is, drafts the nudge, and posts the list to Slack on Thursday morning.

  • Training
    70 min / week
Discovering lapsed training at an audit

Someone exports the training report once a quarter, scrolls through names, and finds that two people never completed infection control the week an inspector visits.

    Training Agent
    0 min
    Agent checks completion every week

An agent matches the completion report to the staff list weekly, drafts reminders naming the exact module, and files each certificate when it arrives.

  • Absence and payroll
    90 min / week
Rebuilding the payroll inputs from scratch

At month end hours, absence and leavers are pulled from three spreadsheets and an inbox, and a single mismatch means starting the sheet again.

Trust & control

You stay in control

An agent that touches candidate details, contracts and staff records only earns trust if you stay in control. Actionist is built so you see everything it touched, approve anything that reaches a candidate or a colleague, and keep every record it creates.

Candidate and staff messages wait for approval

Interview invitations, decline notes, reminders and welcome packs are drafted first and held for a person to read. Nothing reaches a candidate or a colleague on its own unless you widen that autonomy yourself.

People decisions stay with people

Who is interviewed, who is offered the job, what anyone is paid, and how a probation or appraisal ends are decided by you. The agent prepares the facts, drafts the paperwork, and stops.

Personal detail passes through untouched

When a staff member explains an absence or a personal circumstance, the message goes to the practice manager exactly as written. The agent records the dates and the category given and never interprets what it reads.

Full audit trail on every staff record

Every form filed, reminder drafted and balance updated is logged with a timestamp, so you can see what changed and why. Staff data stays yours and is not used to train any AI model.

FAQ

Frequently asked questions

Does the person who runs HR at our practice need to be technical?
No. Most practice HR is handled by a practice manager alongside everything else, and Actionist is built for that person, not a developer. You describe how your hiring and staff paperwork works in plain words, connect the tools you already use, and agree which steps need your approval. Most tools need no API, because the agent operates them the way a person would.
How do I get started with Actionist at my practice?
Book a free demo and bring one piece of HR work that eats your week, such as application reading or training chasers. We show an agent doing it with your tools, you pick the approval rules, and you start with that single job. Most practices add the next job once the first one feels trustworthy.
How do I make customised AI agents for how my practice handles people work?
You describe the agent's role, the apps it uses and the approval rule for each action. For hiring, that might be reading each Recruitee application against your must-haves and drafting nothing without your say. For training, it might be checking the platform every Monday. The agents shown on this page are examples, not the limit.
How quickly can we set up an HR agent for our practice?
A single job, such as reading new applications or chasing overdue training, can usually be running within a day of the demo. Jobs that cross several tools, like building a starter's whole paperwork bundle, take a few days of testing against a copy of your records first. Nothing touches live staff files until you are happy with how it behaves.
What happens to staff and candidate data? Does the agent store it or train on it?
Your staff and candidate data stays yours. What the agent reads and writes is encrypted, it is not used to train any AI model, and every action is logged in an audit trail you can read. If you need everything on your own infrastructure, Actionist can be self-hosted on a VPS.
Our applicant tracker and job boards do not all have a real API. Can the agent still work with them?
Yes. Where a tool has no useful API, the agent operates the screen the way a person would, opening the application, reading the fields and filling the next step. That suits job boards and older HR systems. A person approves anything that writes to a candidate record or goes outside the practice.
Will the agent ever message a candidate or a colleague without someone seeing it first?
Not unless you decide it should. Invitations, decline notes, reminders and welcome packs are drafted and held for approval by default. You can widen that for low-risk messages through Approval Modes, such as a training reminder to the same person, while offers and anything about pay always wait for you.
Does this decide who we hire or replace our practice manager?
No. The agent reads, files, chases and drafts, and it does not rank people or decide outcomes. Who is interviewed, who is offered the job, what they are paid and how an appraisal ends stay with you. The aim is to give a practice manager back the evenings spent on paperwork.
Our practice is small and HR is one part of one person's job. Is it worth it?
A small practice often benefits most, because the same person is hiring, running the rota and covering the front desk. Agents take the repeated parts: reading applications, chasing signatures and training, filing forms and assembling the payroll sheet. You can start with one job and see the hours it returns before adding more.
