AI workforce for Retail Founders & Executives

AI agents for founders and executives in retail

Actionist is an AI automation tool whose agents operate the apps retail founders and executives already use, from rebuilding the Monday trading flash by hand to a draft waiting before the meeting.

Retail founders and executives get back the hours lost to trading packs, lease diaries, and chasing store managers for sign-offs.

Where you spend your time

Why Retail Founders & Executives teams switch

We know how your week actually goes

What matters to you
  • A trading flash before Monday's meeting
Every store and the website compared with plan and last year before the leadership team sits down.
  • Store visits planned around real rotas
A tour route, agendas, and invites drafted so a visit is never wasted on a day the manager is off.
  • Sign-offs that arrive as a one-page pack
Markdowns, shop-fit quotes, and range changes land with margin impact worked out, ready to approve or refuse.
  • Lease dates that never sneak up
Rent reviews, break clauses, and renewals sit in one diary that warns you months ahead, not weeks.
  • Peak season run from a checklist
Black Friday to the January sale tracked against the plan, with slippage flagged while there is time to act.
  • Built around your leadership team
These are examples of what a retail executive office agent can do. Build a custom agent for any job you repeat.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Retail Founders & Executives team's day.

The problem

Where the hours go

  • The Monday trading flash is rebuilt from scratch every week. Someone exports Square and Shopify, lines up last year, shades the stores behind plan, and by the time it lands the meeting has half started.

An agent pulls each store and the website, works out like-for-like against last year, and drafts the flash before the meeting, so you open it and start the conversation about the stores that need you.

  • Decisions pile up in the inbox: markdown proposals, shop-fit quotes, discount exceptions, new range requests. Each one needs numbers worked out before you can say yes, so they wait until Friday and stores wait with them.

An agent collects every request waiting on you, works out the margin and cost impact, and lays each one out on a page, leaving you to approve or refuse rather than do the sums.

  • Lease dates live in a drawer, a folder, and one person's memory. A rent review or break clause date slips past, and a landlord's letter sits unread until the deadline is close.

An agent keeps one lease diary, reads landlord and agent letters as they arrive, and warns you months before a review, break, or renewal, with the evidence you will need already gathered.

  • Peak trading is run from a spreadsheet nobody trusts. Temporary staff, extra stock, and sale dates are all tracked by chasing people, and slippage shows up the week of Black Friday.

An agent tracks each peak task against its date, compares sell-through with the plan weekly, and flags a slipping item early, so there is still time to fix it before the busy weeks arrive.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA store's week-to-date takings fall behind plan by more than your marginfires within about a minute
The agent automatically

When the scheduled Thursday check finds a store trailing the plan by more than the percentage you set, the agent posts the store name, the shortfall, last year's figure for the same days, and any footfall change to the leadership channel within about a minute, so you can ask the right question before the weekend.

What your agent runs for you

  • Trading reports
    90 min / week
Rebuilding the Monday trading flash by hand

Someone exports each store from Square and the website from Shopify, pastes last year's figures in, and shades the stores behind plan while the meeting start time approaches.

    Trading reports Agent
    0 min
The flash is drafted before the meeting

An agent pulls each store and the website, works out like-for-like, and drafts the one-page flash in Google Docs for you to add commentary and post to Slack.

  • Diary and visits
    75 min / week
Planning store tours around rotas by message

You or your assistant check each manager's availability, juggle travel time, and send invites one at a time, often arriving at a store on the manager's day off.

    Diary and visits Agent
    0 min
A tour route arrives with invites drafted

An agent reads rotas and last visit dates, proposes the route, and queues tentative invites with an agenda for your approval.

  • Decision desk
    120 min / week
Doing the sums on every markdown and quote

Requests wait in the inbox until Friday, then each one means working out margin, comparing quotes, and reading old emails to learn what happened last time.

    Decision desk Agent

A one-page pack for every request

An agent works out the margin or cost impact, shows the last time the line was reduced, and lays each request on one page for you to approve or refuse.

  • Property
    45 min / week
Keeping lease dates in a folder and a memory

Rent review and break dates sit in lease PDFs and one person's head, and a landlord's letter with a deadline can sit unread for a fortnight.

    Property Agent
    0 min
One lease diary with early warning

An agent reads landlord letters, keeps the diary current, and posts every milestone 180 days ahead with an evidence folder started.

  • Peak trading
    60 min / week
Chasing the peak checklist by message

Each week someone asks every owner whether their Black Friday task is done and edits the tracker by hand, so slippage surfaces only when it is too late to fix.

    Peak trading Agent
    0 min
The tracker updates and flags itself

An agent reads task status each Friday, marks late items amber or red by owner, and posts the sell-through against plan every Tuesday in season.

Trust & control

You stay in control

An agent touching your trading numbers, leases, and supplier relationships only earns trust if you stay in control. Actionist is built so you see what it prepared, decide everything that matters, and approve anything that goes outside the building.

You make every sign-off decision

The agent prepares markdown, shop-fit, range, and lease packs. Approving a price change, a spend, or a lease step stays with you, and the agent never does it on your behalf.

Messages to landlords and suppliers wait for you

Replies, shareholder letters, and store follow-ups are drafted and held for your approval. Nothing goes outside the business unless you widen that autonomy yourself.

Every figure traced to its source

Board packs and flashes mark where each number came from and list any figure the agent could not find, so you can check the work before you rely on it.

Your trading and lease data stays yours

Trading, lease, and supplier information is encrypted and never used to train a model. A full audit trail records every file read and draft created, and you can self-host on a VPS.

FAQ

Frequently asked questions

Does my retail leadership team need to be technical to use Actionist?
No. Actionist is built for retail leaders and their assistants, not developers. You describe what you want in plain language, connect the apps you already use, and the agent does the rest. There is no code to write, and for most tools nothing to set up through an API, because the agent operates them the way a person would.
How do I get started with AI agents for my retail executive office?
Book a free demo and an Actionist team member will walk through the job that costs you the most time, whether that is the Monday flash, the sign-off queue, or the lease diary, and set up a working example you can test against your own trading sheet. Most teams have a first agent running within a day of the demo.
How do I make customised AI agents for how my retail leadership team works?
You describe the agent's job, the apps it uses, and the approval rules for each kind of action. For a trading flash, you say which sheets hold the plan and last year and what counts as behind plan; for sign-offs, you list what a decision pack must contain. You adjust the rules as your business changes.
How quickly can I set up an executive office agent for my retail business?
A simple agent, such as one that pulls yesterday's takings into your trading sheet and posts a summary to Slack, can be running within hours of the demo. Agents that span several tools, like the board pack or the lease diary, usually take one to three days of iteration. You test against a copy of your data first.
Where does our trading, lease, and supplier data live, and is it used to train AI models?
Your trading figures, leases, and supplier terms stay yours. Everything the agent reads and writes is encrypted, and none of it is used to train any model. Every file opened and every draft created is recorded in an audit trail. If you need everything on your own infrastructure, you can self-host Actionist on a VPS.
Will the agent approve a markdown, a spend, or a lease step for us?
No. The agent prepares the decision pack with the numbers worked out, and you decide. Approving a price change, a shop-fit contract, or any lease action stays with a person. Anything that would go to a landlord, supplier, or shareholder is drafted and waits for your approval before it is sent.
Can it read figures from our tills and Shopify if they only offer a login and no export?
Yes. Actionist's agent uses computer use: it opens Square, Shopify, or a spreadsheet the way you do, reads what is on screen, and copies the figures where they need to go. That means a till system with no integration can still feed the daily trading sheet, as long as the agent can sign in to it.
What happens during Black Friday and the Christmas trading weeks?
The scheduled checks keep their normal cadence, so the Tuesday sell-through comparison and the Friday readiness countdown run the same way they do in a quiet month. What changes is the volume of data flowing through them. Late checklist items and fast sellers are flagged on the same schedule, so you see them earlier, not later.
Could the agent send a letter to a landlord or an email to shareholders without me seeing it?
By default, no. Anything that leaves the business, including landlord replies, supplier emails, and the shareholder letter, is drafted and queued in Gmail or Slack for your approval. You can widen that autonomy for steps you trust, but external messages about leases, money, and ownership are best left on ask first.
