AI workforce for Mortgage Brokers Founders & Executives

AI agents for founders and executives at mortgage brokers

Actionist is an AI automation tool whose agents operate the apps a mortgage brokerage principal already uses, from stitching Monday's pipeline together by hand to a morning brief and decision packs ready first.

Founders and principals get back the hours lost to status pings, spreadsheet pulls, and chasing the paperwork behind each approval.

Where you spend your time

Why Mortgage Brokers Founders & Executives teams switch

We know how your week actually goes

What matters to you
  • A pipeline picture before the first meeting
The brief lands before 08:00 with locks expiring, files slipping, and month-to-date funded volume on one page.
  • Decisions arrive ready to make
A lock extension or pricing exception reaches you as a pack with the numbers attached, not a thread of texts.
  • Lenders judged on evidence, not memory
A scorecard shows which lenders clear files fast and which ones price you out, so approvals follow the data.
  • Referral partners never quietly drift off
Referrals per realtor, CPA, and builder are tallied, so a partner who went quiet gets a check-in you approve.
  • Licences, bond, and exam requests covered
Company licence, bond, and insurance dates are watched, and an examiner request starts with the files gathered.
  • Built around how your brokerage runs
These are examples. Build a custom agent for any pack, report, or follow-up you repeat every week.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Mortgage Brokers Founders & Executives team's day.

The problem

Where the hours go

  • Monday starts with the principal asking three people for a pipeline number and getting three different answers, because the loan origination system exports a flat file and every loan officer remembers their own files differently.

An agent reads the morning export, counts the locks expiring and the files past their projected close date, and drafts one brief the principal reads before the first meeting.

  • Lock extension and pricing exception requests arrive as texts, emails, and hallway asks, and the principal decides with half the facts because nobody had time to gather the competing quote and the margin impact.

An agent builds each request into a one page pack with the scenario, the rate sheet price, and the cost, and queues it for the principal, who makes the call.

  • Lender and referral partner decisions run on feel. Nobody has the turn times or the referral counts to hand, so a lender who keeps losing deals stays on the shelf and a realtor who went quiet in spring is noticed in autumn.

An agent keeps a lender scorecard and a partner tally current, and drafts the check-in notes for the principal to approve before anything reaches a partner.

  • Company licence, bond, and insurance dates live in the principal's head, and a state examiner's information request arrives with a short deadline and a scramble to find the sample files.

An agent watches the renewal dates and, when a request lands, lays out the requested files against the letter so the principal reviews what is gathered instead of hunting.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA loan officer asks for a lock extensionfires within about a minute
The agent automatically

When a request for more lock time shows up in Slack or email, the agent notes it within about a minute, reads the lock date and expiry from the file, adds the lender's extension cost, and posts a pack. The principal decides, and the loan officer hears nothing from the agent.

With Actionist

What your agent runs for you

  • Principal desk
    150 min / week
Working the principal's morning inbox and meeting prep

The principal opens the mail at 7am, scrolls past rate sheets and partner chatter to find two urgent threads, then digs through old emails to prepare for a lender meeting.

    Principal desk Agent
    0 min
Agent sorts mail and writes the brief

An agent sorts the inbox into four piles, drafts routine replies for approval, and writes a meeting brief with turn times and the last thread, so the principal opens a prepared day.

  • Production
    180 min / week
Building the pipeline picture each morning

A processor exports the LOS report, pastes it into a sheet, and counts locks and funded loans by hand, then the principal still asks which files are in trouble.

    Production Agent
    0 min
Agent reads the export and writes the brief

An agent reads the export before the day starts, counts the locks expiring and the files past their date, and writes one page that names the files needing a decision.

  • Approvals
    130 min / week
Deciding lock extensions and pricing exceptions

Requests arrive as texts and hallway asks. The principal replies yes or no with half the facts because gathering the competing quote and the cost takes more time than the decision.

    Approvals Agent
    0 min
Agent builds the pack and the principal decides

An agent builds a one page pack for each request with the dates, the cost, and the competing quote, so the principal approves or declines with the full picture in front of them.

  • Lenders and partners
    110 min / week
    Judging lenders and referral partners

Lender choices rest on memory and the last bad experience, and a realtor who stopped referring in spring is noticed when someone happens to mention their name in autumn.

    Lenders and partners Agent
    0 min
Agent keeps the scorecard and the tally current

An agent updates a lender scorecard and a partner tally every week, and drafts check-in notes for quiet partners that wait for the principal's approval.

  • Licences and exams
    120 min / week
    Surviving renewals and examiner requests

Renewal dates live in a notebook, and when a regulator's letter arrives with a deadline, someone spends two days hunting for sample files and policies.

    Licences and exams Agent
    0 min
Agent watches the dates and lays out the files

An agent keeps company renewal dates in one list with ninety day warnings, and when a request arrives it matches each item to a file so a person reviews what was gathered.

Trust & control

You stay in control

An agent preparing decisions for a brokerage principal only earns trust if the principal stays the decision maker. Actionist is built so you see every pack, approve everything that leaves the building, and own every record it creates.

Credit and pricing calls stay with you

The agent assembles the pack behind a lock extension, a pricing exception, or a fee waiver. Approving or declining is always the principal's decision, never the agent's.

Notes to lenders and partners wait for you

A check-in note, an owner update, or a regulator response is drafted and held for your approval. Nothing goes to a lender, partner, or examiner on its own unless you widen that autonomy.

A record of every pack and brief it built

Each brief, scorecard, and exception pack is stored with the time it was made and the sources it read, so you can see what the agent looked at.

Borrower and company data stays yours

Loan files, partner lists, and licence records are encrypted and are not used to train a model. Self-host on a VPS if the data has to stay on your own infrastructure.

FAQ

Frequently asked questions

Does a mortgage brokerage principal need to be technical to use Actionist?
No. You describe what you want in plain words, such as the morning brief you read or the pack you want for a lock extension, connect the apps you already use, and the agent builds it. There is no code to write, and the agent operates your tools the way a person would.
How do I get started with an executive agent for my brokerage?
Book a free demo and an Actionist team member walks through the work that eats your week, whether that is the pipeline brief, exception packs, or lender scorecards. They set up a working example you can test against your own files, and most principals have a first agent running within a day.
Can I build a custom agent for how our brokerage runs?
Yes. The agents and jobs on this page are examples, not the limit. You can build a custom agent for any report, pack, or follow-up your brokerage repeats, such as a wholesale lender review, a partner event list, or a scorecard shaped around your own targets.
How quickly can I have the morning brief running?
Most brokerages see a first brief within a day of the demo. You point the agent at the report you already export from your loan system, review the draft, and adjust it. The agent then rebuilds it on a schedule, and triggers fire within about a minute of an event.
Our loan system only exports files and has no API. Can the agent still build the brief?
Yes. Actionist agents operate the screen the way a person does, so they can run the report in the loan origination system, open the export, and read it. Encompass, Arive, Calyx Point, and lender portals are all handled by operating the screen. Screen automation runs in the cloud.
Will the agent approve a lock extension or pricing exception on its own?
No. The agent prepares the case pack with the dates, the cost, and the competing quote, and the principal decides. Credit and pricing decisions stay with a person, and the agent never tells a loan officer or a borrower the outcome.
Will it send anything to lenders, partners, or regulators without me seeing it?
Not by default. Every note to a lender, partner, owner, or examiner is drafted and waits for your approval. You can widen autonomy for low risk items through Approval Modes, and anything destructive always needs your sign off.
Where does our data live, and is it used to train AI models?
Loan files, partner lists, and licence records are encrypted, owned by you, and are not used to train any model. If everything must stay on your own infrastructure, you can self-host Actionist on a server you control.
Does this replace the people who run the brokerage with me?
No. It takes over the preparing: the brief, the pack, the scorecard, the tally. Your operations manager and loan officers still decide and still talk to borrowers, lenders, and partners, with more time to spend on the work that needs them.
