AI agents for founders and executives in education

Actionist is an AI automation tool whose agents operate the apps your school or provider already runs on, from rebuilding the Monday scorecard by hand to a drafted pack ready before the leadership meeting.

Where you spend your time

Why Education Founders & Executives teams switch

We know how your week actually goes

What matters to you
  • One scorecard every Monday
Enrolments against target, withdrawals, and income in one page, not five spreadsheets.
  • Inspection evidence kept current
Quality evidence filed against the framework all year, not rebuilt the week before a visit.
  • Governors briefed in good time
A board pack that is drafted, checked and circulated before anyone has to ask.
  • A principal's inbox you can trust
Funding letters, parent escalations and awarding body notices surfaced with a deadline.
  • Stakeholders who hear from you
Staff, parents and employer partners get a steady, honest update in your own voice.
  • Intake planned against real demand
Seats, applications and budget side by side before the next term fills or fails.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Education Founders & Executives team's day.

The problem

Where the hours go

  • Every Monday someone rebuilds the enrolment scorecard from the CRM, the admissions sheet and the accounts, and by the time it reaches the leadership meeting the numbers are already a week old.

An agent pulls the figures on a schedule, sets each programme against its seat target and drafts the one-page scorecard before the meeting, with the gaps flagged.

  • Inspection evidence lives in six folders and four heads, so the week before a visit becomes a scramble to find the observation notes, the survey results and the policy that was last reviewed in 2022.

An agent files evidence against the framework headings as it appears, keeps the self-assessment draft current, and flags any policy or action that has slipped.

  • The governor pack is assembled from a dozen reports that arrive late, then minuted from handwriting and chased for weeks, so trustees get papers the night before and actions quietly vanish.

An agent chases the reports, assembles the pack, drafts minutes from the transcript and tracks every action, so governors have the papers days earlier and nothing is lost.

  • The principal's inbox mixes funding body letters, parent escalations and supplier mail, and the one with a response deadline is buried under thirty that can wait.

An agent sorts the inbox each morning, logs every official deadline and holds careful drafts for the two or three messages that actually need you.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA programme's enrolments fall behind its seat targetfires within about a minute
The agent automatically

When the scheduled weekly check finds a programme under its pace-to-target line, the agent posts within about a minute to the leadership channel with the gap in seats, the applications still open and which offers are unaccepted. It drafts nothing outward; the decision to extend a deadline, add an open day or adjust a fee stays with you.

Where the time goes back

With Actionist

What your agent runs for you

  • Leadership reporting
    150 min / week
Rebuilding the Monday scorecard by hand

Someone copies counts from the CRM, the admissions sheet and the accounts into a slide, so the leadership meeting opens with numbers that are a week stale.

    Leadership reporting Agent
    0 min
A scorecard drafted before the meeting

An agent pulls the figures on a schedule, sets each programme against its seat target and drafts the page for you to approve and post to the leadership channel.

  • Quality and inspection
    90 min / week
Scrambling for evidence before a visit

Observation notes, survey results and policy reviews sit in separate folders, so the fortnight before a visit is spent finding and dating them.

    Quality and inspection Agent
    0 min
Evidence filed against the framework all year

An agent files each piece under its framework heading, keeps an index of dates and owners, and flags the policies and actions that have slipped.

  • Governance
    120 min / week
Assembling the pack and chasing the minutes

A dozen reports arrive late, the pack is formatted at midnight and the minutes are typed up from handwriting a fortnight later.

    Governance Agent
    0 min
Pack, minutes and actions drafted for the clerk

An agent chases the reports, assembles the pack, drafts minutes from the transcript and tracks every action, with the clerk approving before anything circulates.

  • Principal's office
    270 min / week
Wading through the inbox to find the deadline

Funding letters, parent escalations and supplier mail share one inbox, and the response date for the one that matters is buried in paragraph four.

    Principal's office Agent
    0 min
    Sorted inbox with deadlines logged

An agent sorts mail each morning, logs every official deadline and holds careful drafts for the few messages that need you.

  • Intake and strategy
    100 min / week
Guessing whether the next intake will fill

Capacity sits in one sheet, applications in the CRM and offers in the inbox, so nobody sees an unfilled programme until the term is close.

    Intake and strategy Agent
    0 min
Seats, applications and offers side by side

An agent lines up capacity against applications weekly and flags the programmes that will go unfilled, so you decide on open days and places with the facts.

Trust & control

You stay in control

An agent that sees enrolment numbers, governor papers and parent correspondence has to earn trust by showing its work. You see everything it touched, you approve anything that leaves the building, and the records stay yours.

Parents and governors only get drafts

Letters, replies and board papers are written and held for your approval. Nothing reaches a parent, governor or funder on its own unless you widen that yourself in Approval Modes.

You make the leadership calls

The agent prepares the scorecard, the minutes and the options. Strategy, budget, admissions, exclusions and complaint outcomes stay with a person.

Welfare matters go straight to a person

Anything touching safeguarding or a learner's wellbeing is routed untouched to the designated lead. The agent never judges, summarises or triages it.

A full record of what it did

Every document it read, every figure it pulled and every draft it wrote is logged, so a governor or inspector can see exactly where a number came from.

FAQ

Frequently asked questions

Does our leadership team need to be technical to use Actionist?
No. If you can describe how the Monday scorecard or the governor pack is put together, you can set up the agent. You write the steps in plain language, connect the apps your office already uses, and approve what it drafts, with no code and no API work for most tools.
How do we get started with an agent for our school or training provider?
Book a free demo. We connect an agent to your admissions sheet, accounts and inbox, then show it building a real scorecard and sorting a real principal's inbox so you can judge it on your own data before you commit to anything.
How do we make a customised agent for how our senior team actually works?
Everything shown here is an example. You can build a custom agent for any routine your leadership repeats, whether that is a house-format board pack, a specific funder report or a half-termly parent letter, and shape its steps and approvals yourself.
How quickly can we set Actionist up for leadership work?
Most leadership teams can have a first agent running within a day. A scorecard or inbox briefing needs only the apps it reads and a short description of the format. Add more agents for governors, quality evidence and intake planning as you gain confidence.
How can an agent read our admissions system or funding portal without an API?
The agent operates the app on screen the way a person does, by reading screens and filling fields. If your admissions or funding portal has no connector, the agent can still read the figures you check by hand and put them in the scorecard.
Will it send a letter to parents or papers to governors without us checking?
No. Anything that reaches a parent, governor, funder or partner is written as a draft and held for your approval. You can widen that autonomy yourself through Approval Modes, but nothing leaves on its own by default and destructive actions always ask first.
Who owns our data, and is it used to train AI models?
Your records stay yours. Actionist does not use your learner, staff or governor data to train AI models, and the agent works only inside the apps and folders you connect. Every document it reads or drafts is logged so you can show where a figure came from.
Does it make decisions about admissions, exclusions or complaints?
No. It prepares the scorecard, the draft reply or the minutes, and a person decides. Anything that touches safeguarding or a learner's welfare is routed untouched to your designated lead, and the agent never triages or judges it.
Is it useful if our leadership team is just two or three people?
Yes, and often more so. Small teams lose a larger share of their week to scorecards, governor papers and inbox triage. A single agent covering the Monday digest and the principal's inbox can give back a half day to someone who leads and teaches.
