AI workforce for Nonprofits Finance

AI agents for finance teams in nonprofits

Actionist is an AI automation tool whose agents operate the apps your nonprofit finance team already uses, from keying gifts by hand to books that arrive coded to the right fund, ready for review.

Nonprofit finance teams get back the hours lost to gift coding, payout matching, and funder-report rebuilds.

Where you spend your time

Why Nonprofits Finance teams switch

We know how your week actually goes

What matters to you
  • Every gift coded to the right fund
Restricted, unrestricted, and designated gifts reach the ledger with the correct fund, ready for you to review.
  • Payouts match the bank, no detective work
Processor deposits, fees, refunds, and donor-advised fund payments are matched, and only true exceptions reach you.
  • Acknowledgments carry the right wording
Gift letters over the threshold are checked for the required language and drafted for your approval, never sent unseen.
  • Grant budgets tracked against what is spent
Each grant shows spend against budget and restricted balance, so the funder report is a review, not a rebuild.
  • Expenses coded with a receipt attached
Card and bill lines are coded with their receipts and a proposed program, management, or fundraising tag.
  • Audit and 990 answers come from the file
Schedules, support documents, and the board pack are assembled as you go instead of in the weeks before.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Nonprofits Finance team's day.

The problem

Where the hours go

  • Gifts arrive through Stripe, PayPal, Givebutter, mailed checks, and donor-advised fund transfers, and someone re-keys each one into the ledger, deciding by hand whether it belongs in a restricted fund, then spends Friday finding why the payouts do not match the bank.

An agent reads each channel's gifts every weekday, drafts the ledger entries coded to the right fund, matches payouts to bank deposits, and brings only the true exceptions to you, so the books reflect the week without a Friday hunt.

  • Each funder wants its own financial report in its own template, and costs sit in a ledger that does not map to the grant budget, so the finance manager rebuilds the same numbers in a new layout every quarter and hopes the restricted balance is right.

An agent keeps spend against each grant budget current, tracks restricted balances and releases, and drafts the funder report from the ledger, leaving you to check the narrative and confirm the figures before it is sent.

  • January brings a rush of acknowledgment letters and giving statements, and nobody is sure every gift over the threshold has a letter with the right wording, or that the event-ticket letters state only the part that was a gift.

An agent checks every gift against the acknowledgment log through the year, flags those missing a letter or the required statement, and drafts the letters and statements for your approval, so January is a review, not a build.

  • Receipts live in inboxes and pockets, card lines sit uncoded until month-end, and the auditors arrive asking for a document list that the team assembles in a panic from five shared drives.

An agent codes each card line with its receipt as it appears, proposes the program, management, or fundraising tag, chases only the receipts still missing, and keeps the audit file built as you go.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA processor payout posts to the bank feedfires within about a minute
The agent automatically

When a Stripe, PayPal, or Givebutter payout appears in the bank feed, the agent matches it within about a minute against the gifts, fees, and refunds that make up the total. A payout that does not add up goes to the finance channel with the likely cause, such as a fee or a refund, and the rest are cleared quietly.

Trust & control

You stay in control

An agent working in your ledger, your bank feeds, and your funder reports only earns trust if you stay in control. Actionist lets you see everything it prepared, approve what posts or leaves, and own every judgment.

Nothing posts or goes out without your approval

Ledger entries, payment runs, acknowledgment letters, and funder reports are drafted and held for review. Moving money and posting to the books wait for you unless you widen the agent's autonomy.

Tax, valuation, and restriction calls stay human

The agent organizes the paperwork and flags questions. Whether a gift is restricted, what an in-kind item is worth, and how something is treated for tax stay with you and your accountant.

A trail behind every figure

Each entry, match, and draft shows the source gift, payout, or receipt behind it, so an auditor or a board treasurer can follow a number back to where it came from.

Financial and donor data stays yours

Your books and donor records stay in the systems you already use. You choose which apps the agent opens, and you can switch its access off at any time.

FAQ

Frequently asked questions

Does my nonprofit finance team need to be technical to use Actionist?
No. Actionist is built for bookkeepers and finance managers, not developers. You describe how gifts, grants, and expenses flow through your books in plain language, connect the accounting and payment apps you already use, and the agent prepares the entries and reports. Most steps need no code, because the agent works the apps the way a person would.
How do I get started with a finance agent for our books?
Book a free demo. An Actionist team member will start with the job that costs you the most time, whether that is gift posting, payout matching, or the funder reports, and set up a working example you can test against your own data. You then add agents one job at a time, starting in review mode.
How do I make customised AI agents for the way our finance team works?
Describe the job in plain language: where the numbers come from, what a correct result looks like, and what a person must approve. You can start from a starter agent such as the Operations Assistant and shape it for your fund structure and funders. The agents shown here are examples, and you can build a custom one for any finance job.
How quickly can I set a finance agent up?
A first agent, such as the daily payout matcher, can usually be connected and running within a day of the demo. Agents that touch grant budgets and funder templates take longer because they depend on how your chart of accounts maps to each award. Starting in Suggest mode, you review every draft before anything is posted.
Where does our financial and donor data live, and is it used to train AI models?
Your financial and donor data stays yours. Everything the agent reads and writes is encrypted, and none of it is used to train any AI model. Every entry it drafts is logged in an audit trail. If you need everything on your own infrastructure, you can self-host Actionist on a VPS, which some boards and funders prefer.
Our accounting or donor system has no API. Can an agent still work with it?
Often yes. Using computer use on Actionist's cloud machine, the agent opens the screens you would, reads what is there, and enters or exports what you need, even where a system such as Sage Intacct, Raiser's Edge, or a bank portal offers no integration. For reliability we suggest a scheduled export where one exists and the screen where it does not.
Will the agent post entries or send letters without my approval?
Not unless you decide it should. By default every ledger entry, payment run, acknowledgment letter, and funder report is drafted and held for your review. Approval Modes let you choose how much freedom the agent has, from Suggest to Full auto, and anything that moves money or deletes a record always needs your approval.
Does the agent make decisions about restrictions, in-kind values, or tax treatment?
No. The agent organizes the evidence and proposes, for example a fund for a designated gift, but whether a gift is restricted, what an in-kind item is worth, and how anything is treated for tax stay with you and your accountant. It does not give tax advice, and every proposal shows the source it relied on.
We are a very small team. Is this worth it for a one- or two-person finance function?
It tends to suit small teams best, because the repetitive work, such as keying gifts, matching payouts, and rebuilding reports, is where one person's week disappears. The ROI calculator on this page lets you test your own hours and rates, and you can begin with a single job before deciding whether to add more.
