AI workforce for Cleaning Services Finance

AI agents for finance teams in cleaning services

Actionist is an AI automation tool whose agents operate the apps your cleaning finance team already uses, from rebuilding each invoice by hand to an agent drafting it the day the visit closes.

Cleaning finance teams get back the hours lost to invoice building, card recovery, PO chasing, and the weekly crew pay run.

Where you spend your time

Why Cleaning Services Finance teams switch

We know how your week actually goes

What matters to you
  • An invoice for every clean, same day
A visit finished on Tuesday and billed the next Friday is how cash flow slips in a crew-run business.
  • Declined cards found before the next visit
A failed recurring charge spotted on Friday means a free clean has already happened.
  • Office contracts paid against the PO
Facilities managers' accounts teams pay to purchase order numbers, and a missing one parks the invoice.
  • Takings that tie back to the jobs done
Payouts, door-collected cash and tips should match visits, not a best guess at month-end.
  • Crew pay that is right the first time
Hours, per-job rates and mileage checked before the pay run, not corrected after a cleaner queries it.
  • Margin you can see by contract
Supplies, crew hours and fuel set against each contract show which ones actually earn.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Cleaning Services Finance team's day.

The problem

Where the hours go

  • Invoices wait for a Friday sit-down: someone reads the week's completed visits in Jobber, hunts for the extras the crews noted, and rebuilds each bill by hand.

An agent drafts each invoice the day the visit closes, adds the logged extras and any approved credit, and queues it for the owner to approve.

  • A recurring card fails on the nightly run and nobody notices until a Friday review, by which time the next clean has already been done for free.

An agent checks Stripe, Square and GoCardless each morning, lists the declines with the reason, and drafts the card-update request for approval.

  • An office client's accounts team will not pay without a purchase order number, and the invoice sits ageing while someone works out what is missing.

An agent builds each facilities manager's statement with PO numbers, lists the invoices with none, and drafts the request to the accounts contact for approval.

  • The crew pay run means three exports, a spreadsheet of per-job rates and a mileage log, and a cleaner who queries it on Monday.

An agent matches clocked hours to jobs, applies the per-job rates, adds mileage, flags overruns, and hands you a summary to check and approve.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA visit is marked complete in the booking toolfires within about a minute
The agent automatically

When Jobber or Housecall Pro shows a visit as complete, the agent picks it up within about a minute, builds the invoice with the booked rate, the extras the crew logged and any approved credit, and queues it for the owner to approve before it is released.

Trust & control

You stay in control

An agent that sees invoices, payouts and what each cleaner earns has to be easy to supervise. Actionist keeps every payment decision, every client-facing message and all of the money data under your control.

Invoices and reminders wait for your approval

Invoices, card-update requests, statements and final notices are drafted and held for your sign-off. Nothing reaches a household or an office client unless you widen that yourself.

Pay, credits and write-offs stay with you

The agent prepares the pay summary and suggests where margin leaked. What each person is paid, which credit is given and which balance is written off are always your decisions.

Payment and pay details stay encrypted

Bank lines, payout figures and crew pay information are encrypted and never used to train any model. Self-host on a VPS if the data must stay on your own infrastructure.

A trail for every figure it touches

Each invoice drafted, payment matched and amount flagged is logged with a timestamp, so your accountant can follow what changed and who approved it.

FAQ

Frequently asked questions

Does my cleaning finance team need to be technical to use Actionist?
No. Actionist is built for cleaning company finance admins and owners, not developers. You describe how invoicing, collections and the pay run work in plain language, connect the apps you already use, and the agent does the drafting and matching. Most tools need no API setup, because the agent operates the app the way a person would.
How do I get started with a finance agent for my cleaning business?
Book a free demo and an Actionist team member will go through your biggest finance headache, whether that is invoicing after visits, failed cards or the weekly pay run, and set up a working example you can test on your own visit and billing data. Most teams have a first agent running within a day of the demo.
How do I make customised AI agents for how my cleaning finance team works?
In Actionist you set the agent's role, the apps it works in, and an approval rule for each kind of action. For invoicing you set the rates and what counts as an extra, and for collections you set how many days before a reminder. The agent applies those rules each run, and you adjust them as your pricing changes.
How quickly can I set up a finance agent for a cleaning company?
A basic agent that lists declined Stripe charges each morning and drafts the card-update request can be running within hours of the demo. Agents that span several tools, such as a pay run summary pulling from Connecteam, Jobber and Sheets, usually take one to three days to tune. You test against a copy of your data first.
Where do our bank, payout and crew pay details live, and are they used to train models?
Your financial data stays yours. Bank lines, payout figures and crew pay information are encrypted, only used for the task you set, and never used to train any model. Every action is logged in a timestamped audit trail. If it must stay on your own infrastructure, you can self-host Actionist on a VPS.
We use Jobber, Xero or QuickBooks. How does an agent work in them without a connection?
The agent uses computer use in the cloud: it opens Jobber, Xero or QuickBooks the way your finance admin does, reads the screen, and clicks through the entry. That means it can draft an invoice or match a bank line even where no public connection exists, because it operates the real interface.
Will the agent send invoices or reminders to clients without me seeing them?
No, not unless you choose to allow it. Invoices, card-update requests, statements and final notices are drafted and held for your approval in Slack or Telegram. You can widen autonomy for routine steps you trust through Approval Modes, but anything that reaches a client or touches a payment starts with a person.
Does the agent pay my cleaners or move money?
No. The agent prepares the pay run summary, with hours, per-job pay and mileage, and flags anything odd. You check it, adjust it and approve what each person is owed, and the payment itself is made by you. The same goes for credits and write-offs, which are always your decision.
Can an agent handle VAT or sales tax for a cleaning company?
It can prepare the workings. At quarter end the agent pulls the sales and purchase lines together, lists anything that looks miscoded, and formats the pack for your accountant. It does not decide tax treatment or file a return. Your accountant makes those calls with cleaner inputs.
