AI workforce for Coaching Finance

AI agents for finance teams in coaching

Actionist is an AI automation tool whose agents operate the apps your coaching finance team already uses, from spotting declined cards days late to an agent matching every payout against its invoice.

Coaching finance teams get back the hours lost to dunning, payout matching, and bookkeeper requests.

01

Where you spend your time

Why Coaching Finance teams switch

We know how your week actually goes

Money in a coaching practice arrives in awkward shapes: a deposit, six instalments, a company's purchase order, a retreat balance, a card that expired in March. Each needs its own invoice, reminder, and line in the books.

Actionist agents do the matching and chasing in Stripe, your accounting tool, and your inbox, and prepare each figure. Refunds, credits, and pausing a client stay your decision.

What matters to you
  • A declined card is noticed the same morning
Every failed instalment is logged against its plan, with a reminder drafted for your approval.
  • Every payout matches an invoice
Stripe and PayPal deposits are tied to the charges inside them, with fees booked and oddities listed.
  • Package balances are always known
You can see how many sessions each client has left and which packages expire this month.
  • Sponsor invoices carry the right PO
Corporate engagements are invoiced with their purchase order and the right tax treatment.
  • The bookkeeper stops asking you for things
Income by client, receipts, and tax figures arrive in one tidy pack each month.
  • Built around your practice
These are examples. Build a custom agent for any money job your practice repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Coaching Finance team's day.

The problem

Where the hours go

  • A payment plan fails quietly on the 14th, the processor email sits unread, and you find out in the middle of the month when the client's third session is already booked and the money is two instalments behind.

An agent reads each failed-payment alert within about a minute, logs the miss against the plan, and drafts a no-blame card-update message for your approval, so you handle the account before another instalment fails.

  • Stripe pays out as one deposit that hides thirty charges, fees, and a refund, so matching it to invoices in QuickBooks becomes a Friday-night puzzle that ends with an unexplained difference.

An agent opens each payout, ties every charge to its invoice, books the fees, and lists only the items that do not fit, leaving you a short review instead of a rebuild.

  • Prepaid packages blur together: three sessions used, two left, an expiry nobody noted, and a client who thinks they still have credit when the package ended last month.

An agent counts delivered against sold sessions for every client, flags packages ending soon, and prepares the figure for any exit or extension, with the decision left to you.

  • The bookkeeper asks for income by client, a receipt for a supervision fee, and the sales-tax figures for a quarter, and each request pulls you away from coaching to dig through three tools.

An agent files receipts as they arrive, keeps income by client current, and assembles the monthly and quarterly pack, so you answer questions instead of gathering data.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

The agent automatically

When Stripe or PayPal reports a failed instalment, the agent picks it up within about a minute, records which payment it was, checks the client's earlier history, and drafts a warm card-update message with a secure link. It waits in your queue, and you choose whether this client gets extra time.

Trust & control

You stay in control

Money work only earns trust when you keep the decisions. Actionist agents read and prepare in Stripe, your accounting tool, and your inbox, and you approve anything that reaches a client or changes what a client owes.

Payment messages wait for your approval

A card-update request, an overdue reminder, or a package-expiry notice is drafted and held for you. Nothing reaches a client unless you widen that autonomy yourself.

Refunds, credits, and pauses are always yours

The agent works out the figure and lays out the options. Whether to refund, extend, or pause a client's access is a decision it never makes.

Card details never pass through the agent

It reads payment status, amounts, and dates. Clients update cards through your processor's own secure page, and card numbers are not stored or shown.

A timestamped trail of every figure

Each match, booking, and drafted message is logged with its source, so you or your accountant can trace any number back.

FAQ

Frequently asked questions

Does my coaching finance team need to be technical to use Actionist?
No. Actionist is built for coaches and the people who keep their books, not for developers. You describe a job in plain words, such as matching Stripe payouts to invoices each morning, connect your tools, and the agent follows the steps you describe. Most practices start with one job and add others as they see it handle the routine well.
How do I get started with a finance agent for my coaching practice?
Pick the money job that costs you the most time, usually payout matching or chasing declined cards. Connect Stripe or PayPal, your accounting tool, and Gmail, then walk the agent through your steps. Its first run is a draft for you to check, and you set an Approval Mode so anything a client would read waits for your decision.
How do I make customised AI agents for how my practice handles money?
You brief a custom agent the way you would brief a new bookkeeper: what the job is, which tools it uses, what a good result looks like, and when it should stop and ask you. The agents shown here are examples. A practice with its own package structure, associate-coach splits, or corporate billing terms can have an agent built around them.
How quickly can I set up a finance agent for my coaching practice?
Many practices have a first agent running the same day. Connecting your payment processor, accounting tool, and inbox takes minutes, and describing a job is a short conversation. A first useful result, such as a list of this week's declined instalments with drafted reminders, can be ready within an hour, and tuning it is a normal part of the first weeks.
Where does my financial data live, and is it used to train AI models?
Your data stays in your own accounts: Stripe, your accounting tool, your Drive. The agent reads and writes there the way you would, credentials are held in an encrypted vault, and nothing is used to train a model. Memory the agent keeps stays on your organisation's Actionist cloud machine. If the practice needs everything in-house, Actionist can be self-hosted.
Will it message a client about a payment without me seeing it first?
Not unless you choose to allow it. Each agent has an Approval Mode, from drafting everything for review to handling trusted routine work alone. Most coaches keep every client payment message in an approval queue on Telegram or Slack, and loosen it only for routine reminders once they trust the tone. Irreversible actions always ask first.
Can an agent issue refunds, change a payment plan, or pause a client's access?
It prepares the work and leaves the decision to you. The agent can calculate what was paid and delivered, draft a credit note, and lay out options for a mid-program exit, but whether to refund, extend, or pause is your call. Refunds and any other irreversible action always ask for your approval first, and that cannot be turned off.
Does it give tax advice or file my return?
No. The agent gathers and organises: income by client, expenses by category, and taxable sales by country, ready for you or your accountant. It applies the rules you set and flags cases that need a person. Deciding the treatment, filing a return, and any advice on what you owe stay with you and your accountant.
Which payment and accounting tools does it work with?
It works with the common ones, including Stripe, PayPal, GoCardless, QuickBooks Online, Xero, and FreshBooks, and with checkout tools such as Kajabi and ThriveCart. Where a tool has no clean connection, the agent can operate its screen the way you do. Screen automation runs in the cloud, and anything touching a client waits for your approval.
