AI workforce for Consulting Finance & Accounting

AI agents for finance teams in consulting firms

Actionist is an AI automation tool whose agents operate the apps your consulting finance team already uses, from rebuilding the WIP sheet and chasing client AP by hand to schedules that arrive ready for the controller.

Milestones billed on time, client AP chased, and the month-end WIP schedule built before the partners ask.

Where you spend your time

Why Consulting Finance & Accounting teams switch

We know how your week actually goes

What matters to you
  • Invoices match the SOW fee schedule
Each milestone, retainer and time-and-materials invoice is drafted against the agreed fee, with the client PO on it.
  • Client AP gets chased, not forgotten
Every open invoice is tracked by sponsor and AP contact, with a reminder drafted when terms lapse.
  • Expenses reconcile before they reach a bill
Receipts, per-diems and rebillable travel are checked against client policy ahead of invoicing.
  • Associates are paid against agreed day rates
Associate invoices are matched to days worked and rate, with tax forms on file, before a batch is proposed.
  • WIP and realisation stay visible
Unbilled time and fixed-fee progress are summarised for the controller each month, so write-downs are not a surprise.
  • Spend your hours on the judgement calls
The controller decides what to bill, hold, or write off. The agent prepares the evidence.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Consulting Finance & Accounting team's day.

The problem

Where the hours go

  • Invoices go out late or get bounced because the PO number is missing, the fee does not match the SOW, or the client portal wants a different layout. Billing becomes a hunt through old emails at month-end.

An agent drafts each milestone, retainer or time-and-materials invoice against the SOW fee schedule with the PO on it, then queues it for the controller to approve before it reaches the client.

  • Client AP is chased from memory. Nobody remembers which sponsor promised payment by Friday or who actually processes invoices at the client, so the partner ends up making the awkward ask.

An agent tracks every open invoice by sponsor and AP contact, logs promised dates from replies, and drafts a graded reminder once terms lapse, held for your approval.

  • Expense reports arrive in a pile at month-end with missing receipts, mixed currencies and rebillable lines tangled with internal costs, so the client rebill pack is rebuilt by hand.

An agent checks each claim against its receipt and the client travel policy, tags the rebillable lines to the right engagement, and flags what is missing before invoicing.

  • WIP and realisation are discovered at month-end. Unbilled time sits for weeks, fixed-fee progress is guessed, and partners learn about a write-down after the books close.

An agent builds the WIP, percent-complete and realisation schedule each month and lists the write-down candidates, so the controller decides with the evidence already in front of them.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA client's AP rejects an invoice for a missing POfires within about a minute
The agent automatically

When a rejection notice lands in the billing inbox, the agent reads the reason, looks for the purchase order in the signed SOW and the original sponsor email, and drafts the corrected invoice in the accounting system. The reissue waits in the controller's approval queue and is not resent to the client's AP until a person has approved it.

Trust & control

You stay in control

An agent working in your ledger and your client billing only earns trust if you control every figure that leaves the firm. Actionist is built so you see what it touched, approve what reaches a client, and keep the final say on every number.

Client-facing invoices wait for approval

Invoices, reminders and rebill packs are drafted and queued for the controller. Nothing reaches a client's AP unless you widen that autonomy yourself.

Payments are proposed, never released

Associate and supplier payment batches are prepared as drafts. A person approves and releases every payment from your bank or payments tool.

Judgement calls stay with your people

Write-offs, credit notes, revenue recognition and tax treatment are decided by the controller or partner. The agent gathers the evidence.

Every action is logged and reversible

You can see what the agent read, drafted and posted, and your engagement data stays inside your own accounting and file systems.

FAQ

Frequently asked questions

Does our consulting finance team need to be technical to use Actionist?
No. Actionist is built for finance teams, not developers. You describe how your billing, collections and close work in plain language, connect the apps you already use, and coach the agent the way you would coach a new finance analyst. There is no code to write, and most tools are operated the way a person would operate them, so no integration project is needed.
How do we get started with an agent for billing or collections?
Book a free demo and an Actionist team member will work through one real pain point with you, such as drafting a milestone invoice from a SOW or building the AR ageing by sponsor. Start with a single job, review the drafts it produces, and add more once you trust the output.
Can we build a custom agent for how our firm bills?
Yes. The agents shown here are examples. You can build a custom agent around your own fee structures, such as capped time-and-materials, success fees or blended day rates, and your own client portals and approval steps. Describe the job and the agent works with the apps you already have.
How quickly can we set it up for a new engagement?
A single job, such as the daily ageing summary or the expense report check, can usually be running within a day of connecting the accounting and time-tracking apps. Setting up a new engagement's fee schedule and client portal rules is a short conversation, and the schedule builds from the signed SOW.
Will it send an invoice or reminder to a client without the controller seeing it?
No. Invoices, reminders, rebill packs and any message to a client are drafted and wait for approval. The agent prepares and a person decides. You can widen that autonomy through Approval Modes later, but the default is that nothing reaches a client's AP until the controller has approved it.
Some clients make us submit invoices through a procurement portal with no API. Can it cope?
Yes. Actionist agents operate apps the way a person would, so a client's portal such as Coupa or Ariba can be handled by preparing the invoice data in the layout it requires. Because portals are client-owned, submission is a step the controller approves, and computer use runs in the cloud.
Our engagement financials are confidential. How is that data handled?
Your figures stay in your own accounting, time-tracking and file systems, and the agent works inside them under the permissions you grant. Every action is logged so you can see what it read and drafted. Check your client contracts and NDAs, and bring your own data-handling requirements to the demo.
Who decides on write-offs, credit notes and revenue recognition?
Your people do. The agent builds the WIP schedule, percent-complete figures and the write-down candidate list with the evidence behind each line, but the controller or partner decides what is billed, held, credited or recognised. Tax treatment stays with the controller and your adviser.
Is this meant to replace our controller or finance analyst?
No. It takes over the repetitive preparation: drafting invoices, tracking client AP, checking receipts and assembling schedules. Your controller keeps the judgement, the client relationships and the approvals, with more time for the commercial questions partners actually ask.
