AI workforce for Salons & Spas Finance

AI agents for finance teams in salons and spas

Actionist is an AI automation tool whose agents operate the apps your salon finance team already uses, from matching card payouts by hand to an agent reconciling the till and drafting the exceptions.

Salon and spa finance teams get back the hours lost to till reconciling, commission sums, chair-rent chasing, and month-end packs.

01

Where you spend your time

Why Salons & Spas Finance teams switch

We know how your week actually goes

What matters to you
  • The till and the bank agree every day
Z read, card payouts and the cash count are compared daily, so a mismatch is found while it is still traceable.
  • Money owed is chased, in your words
No-show fees, failed memberships and late rent are lined up with drafted messages for you to approve.
  • Commission statements are ready for payroll
Sales by stylist, tiers, retail bonus and deductions are worked out and shown line by line for your check.
  • Chair rent is invoiced on time
Each self-employed renter's invoice is raised on schedule, and arrears are listed with how long each has run.
  • Supplier bills are keyed and coded
Colour house and skincare invoices are read into your books as drafts, with duplicates caught before the payment run.
  • The accountant gets one clean pack
Takings, payouts, vouchers owed, rents and bills are gathered at month-end, so nothing is chased in January.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Salons & Spas Finance team's day.

The problem

Where the hours go

  • The Z read says one number, the card terminal another and the cash drawer a third, and by the time someone matches them on Friday the stylist who split a bill is on holiday and nobody can say where the money went.

An agent compares the till report, the processor payouts and the cash count your closing team enters each evening, lists any difference by tender and by stylist, and leaves you the exceptions to investigate.

  • A card on a spa membership declines, a no-show is never charged because nobody checked the policy was accepted, and a deposit that never landed turns up a week later as a mystery gap in the bank.

An agent lines up deposits against bookings, no-show fees against your policy, and failed memberships against their due dates, and drafts the message for each one, with the fee and the retry waiting for your approval.

  • Commission takes a day every fortnight because service sales, retail credit, tiers, staff product and advances sit in different places, and one wrong figure means a stylist asking why the number is lower.

An agent pulls each stylist's sales, applies your tiers and deductions, and prepares a statement with every line shown, so you check and approve the figure before it goes to payroll.

  • Chair-rental invoices are raised from memory, a renter two weeks behind goes unnoticed, and the rent reminder gets written in a hurry on the one evening the salon is quiet.

An agent raises each renter's invoice on schedule, lists arrears by days overdue, and drafts the reminder in your tone, so you decide which ones go and when.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA card payout lands short of the days it coversfires within about a minute
The agent automatically

When the scheduled payout check finds a processor payout lower than the card sales for the days it covers, after allowing for fees and timing, the agent posts the gap in Slack within about a minute, naming the days and the tenders involved. It does not contact the processor, and what to raise is your decision.

Trust & control

You stay in control

An agent that sees your takings, payouts and pay figures only earns trust if you stay in control. Actionist is built so you see everything it read and prepared, approve anything that charges a client or reaches a supplier, and keep every pay decision yourself.

No money moves without your approval

Fees, refunds, payment runs and renter invoices are drafted and held for approval. The agent prepares the figures and the messages, and approval modes set how much it may do alone.

Client and renter messages are drafts

A no-show fee message, a membership reminder or a rent reminder is written in your tone and waits for your approval, so nothing reaches a client or a renter on its own.

Pay and tax stay human decisions

The agent works out commission and tax inputs from your rules and shows every line. What a stylist is paid, how a voucher is accounted for, and what is filed are decisions for you and your accountant.

A record of every figure it touched

Every comparison, statement and draft is logged with a time, so you can see what was read and what changed. Your records stay in your own apps, and you can self-host if they must stay on your infrastructure.

FAQ

Frequently asked questions

Does my salon finance team need to be technical to use Actionist?
No. Actionist is built for the people who run a salon or spa, not for developers. You describe how you reconcile the till, work out commission and chase rent in plain language, connect the apps you already use, and the agent follows that. There is no code to write, and most tools need no API.
How do I get started with a finance agent for my salon or spa?
Book a free demo. An Actionist team member will look at your most painful money job, whether that is the nightly till check, commission or chair rent, and build a working example against your own till export or booking data. You approve everything it drafts from the first day.
How do I make customised AI agents for how our salon handles money?
You describe the agent's job, the apps it reads and the approval rule for each action. For commission, you give it your tiers and deductions. For no-show fees, you give it your policy. The agent follows those rules every run, shows its working, and you adjust the rules as your salon changes.
How quickly can I set a salon finance agent up?
A simple agent, such as one that compares the till report with the drawer count each evening, can be running within hours of the demo. A fuller one that prepares commission statements or the month-end pack usually takes a few days of tuning, tested on a copy of your data before it touches anything live.
Where do our payment, payroll and client records live, and is it used to train AI?
Whatever you connect stays in your own apps and sheets. What the agent reads is encrypted and is not used to train any model, and a full log shows what it read and drafted. If everything must stay on your own infrastructure, you can self-host Actionist.
Our till and booking system have no API. Can an agent still reconcile takings?
In most cases, yes. Actionist works your tools like a person would, reading the screen and clicking in the cloud, so it reaches a till or booking system with no open connection. Where an app has a clean integration it uses that, and where it does not, it works the screen and asks for approval on anything that changes a record.
Will the agent charge a no-show fee or issue a refund without me?
No. A fee line is prepared with the booking, the policy and the card on file, and it waits in an approval queue. Refunds, charges and payment runs always need a person, and approval modes let you widen the agent's autonomy only for steps you choose, never for anything that moves money.
Can it work out commission and pay my stylists?
It can prepare the figures, but it does not decide pay. The agent pulls each stylist's sales, applies the tiers and deductions you set, and shows every line, then you check and approve the statement before it goes to payroll. A pay change or a disputed figure is always a conversation for you.
Does it replace my bookkeeper or accountant?
No. It prepares the draft bills, the reconciliations and the month-end pack so your bookkeeper or accountant starts from a clean set of figures. Tax advice, filing, accounting treatments such as gift vouchers, and sign-off remain theirs and yours, and the agent says so wherever it hands over a figure.
