AI workforce for IT Services Finance

AI agents for finance teams in IT services

Actionist is an AI automation tool whose agents operate the apps your MSP finance team already uses, from keying user counts and chasing timesheets by hand to a billing run that assembles itself.

MSP finance teams get back the days lost to billing runs, distributor reconciliation, and late-payer chasing.

Where you spend your time

Why IT Services Finance teams switch

We know how your week actually goes

A managed services business bills on counts that move every week: users added, devices retired, licences bought through a distributor, hours logged against a block. Finance is where every one of those changes either turns into revenue or quietly leaks.

Actionist agents work the PSA, the accounting system, and the distributor portals alongside your finance lead, so the invoice matches the delivery and the margin is visible before the month closes.

What matters to you
  • Invoices that match what you delivered
User counts, devices, hours and extras agree with the agreement before any invoice is released.
  • Every billable hour lands on an invoice
Approved time reaches a bill instead of ending up in the month-end write-off pile.
  • Cash collected on terms
A failed direct debit or a late payer is picked up the same morning, not found at month-end.
  • Resale margin you can see
Distributor cost and client price line up for every licence, subscription and hardware order.
  • A month-end close without the scramble
Bank matches, deferred revenue and accruals are ready before the close meeting starts.
  • Your hours go to the calls that count
Time saved goes to pricing, cash forecasting and margin decisions, not re-keying.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your IT Services Finance team's day.

The problem

Where the hours go

  • The monthly billing run starts with someone opening the PSA, reading every agreement's user and device count, and typing adjustments into the invoice, then finding on the 3rd that a client's extra five users were never billed.

An agent reads the agreement quantities from the PSA on the last working day, drafts every recurring invoice with pro rata lines and true-ups, and lists the variances against last month for you to approve.

  • Engineers log time late or not at all, so billable hours surface only when the week has closed, and the small entries nobody could face chasing end up written off at month-end.

An agent checks timesheets each afternoon, drafts the nudge to the engineer with the missing days named, and builds the unbilled report so every approved hour reaches an invoice or a deliberate write-off.

  • The distributor invoice arrives as a long list of licence lines that never quite match what clients are billed, so margin leaks on licences you pay for and forget to resell.

An agent reads each distributor invoice line, matches it to the client resale line, and hands you the short list of mismatches and thin margins instead of a spreadsheet to eyeball.

  • A failed direct debit sits unnoticed for a week, a lump-sum payment cannot be matched to its invoices, and the chasing email gets written at 6pm on the last day of the month.

An agent checks payment results every morning, drafts the follow-up for each failure, and proposes the invoice match for each bank receipt, with every client-facing message waiting for your approval.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA client's direct debit fails or is reversedfires within about a minute
The agent automatically

When GoCardless or Stripe reports a failed or reversed collection, the agent reads the failure within about a minute, finds the invoice it belonged to, and drafts a polite follow-up with the amount, reason code and a proposed retry date. The message waits in your approval queue in Slack; nothing reaches the client until you confirm, and the failure is logged in the receivables sheet.

What your agent runs for you

  • Agreement billing
    240 min / week
    Keying the monthly agreement invoices

Someone opens the PSA, reads each agreement's user and device counts, and types pro rata adjustments and true-ups into every invoice, usually with the cut-off hours away.

    Agreement billing Agent
    0 min
    Agent drafts every recurring invoice

An agent reads the agreement quantities, drafts each invoice with adjustment lines in QuickBooks Online, and lists the variances against last month for approval.

  • Time and project billing
    150 min / week
Chasing timesheets and hunting unbilled hours

The finance lead messages engineers one by one, then scans three exports to find approved hours that never reached an invoice.

    Time and project billing Agent
    0 min
Agent chases and builds the unbilled report

An agent names the blank days, drafts the nudge for the team lead to approve, and lists every approved entry not yet billed by client and age.

  • Distributor reconciliation
    180 min / week
Checking the distributor invoice against client billing

Someone reads hundreds of licence lines in the Microsoft CSP or Pax8 invoice and ticks them against each client's billed licences, a day of work that still misses lines.

    Distributor reconciliation Agent
    0 min
    Agent matches every licence line

An agent reads each line, matches it to the client resale charge, and hands you the short list of unbilled licences and thin margins.

  • Collections and cash
    150 min / week
Finding failed payments and matching receipts

Failures surface when someone remembers to check GoCardless, and lump-sum receipts are matched to invoices by trial and error on a spare afternoon.

    Collections and cash Agent
    0 min
Agent checks daily and proposes matches

An agent reads payment results each morning, drafts the follow-up for each failure, and proposes the invoice allocation for every bank receipt.

  • Profitability and close
    120 min / week
Building the margin view and the month-end workings

Revenue sits in the accounts, hours sit in the PSA, and costs sit in a spreadsheet, so margin per client is assembled once a quarter, if at all.

    Profitability and close Agent
    0 min
Agent assembles margin and workings on schedule

An agent joins revenue, hours and cost into margin per agreement weekly and builds the accruals and deferred revenue workings ready for review.

Trust & control

You stay in control

Finance work carries your clients' money and your own margin, so the agent only earns a place if you can see everything it did. Every invoice, reminder and credit request is a draft until you approve it, and every action is logged.

Nothing reaches a client unapproved

Invoices, payment reminders, uplift letters and distributor requests are drafted and queued for your approval. They go out only when you confirm, unless you deliberately widen that autonomy.

You decide the money questions

Write-offs, price uplifts, credit holds and tax treatment stay with your finance lead. The agent prepares the figures, the history and the options, then waits for your call.

Approve from Telegram or Slack

Approval requests land in Telegram or Slack with the draft attached. One tap approves or rejects, so month-end does not wait for you to be at your desk.

Every step is logged and your data stays yours

Each run records what the agent read and drafted, with screenshots. Billing and bank data stay encrypted, are never used to train models, and you can self-host for full isolation.

FAQ

Frequently asked questions

Does my IT services finance team need to be technical to use Actionist?
No. Actionist is built for finance people, not developers. You describe how your billing run, collections and month-end close work in plain language, connect the apps you already use, and the agent follows that process. There is no code to write, and for tools with no integration the agent operates the screen the way a person would.
How do I get started with a finance agent for my MSP?
Book a free demo and an Actionist team member will walk through the finance job that costs you most, whether that is the monthly billing run, distributor reconciliation or failed payment chasing. You test a working agent against your own PSA and accounting data before you decide anything.
How do I make customised AI agents for how our billing actually works?
You describe the agent's role, the apps it uses, and the approval rule for each action. For agreement billing you explain how your contracts price users, devices and extras; for distributor checks you give it the margin target. The agent applies those rules on every run and you adjust them as your pricing changes.
How quickly can I set Actionist up for finance?
A single agent, such as the morning payment check that drafts follow-ups for failed direct debits, can be running within hours of your demo. A multi-tool run like the monthly billing batch from PSA to QuickBooks usually takes a few days of testing against a copy of last month's data before you trust it.
Is client billing, contract and bank data safe with Actionist?
Your billing, contract and bank data stays yours. It is encrypted, none of it is used to train AI models, and every action the agent takes is logged in an audit trail you can review. If you need everything on your own infrastructure, you can self-host Actionist on a VPS.
Our PSA billing screens and distributor portals have no API. Can an agent still use them?
Yes. Using computer use in the cloud, the agent opens the PSA, the Pax8 or Ingram Micro portal and the accounting system the way your finance lead does, reads what is on screen and enters data field by field. That is how it works with tools that expose no API, and it runs in the cloud where those tools are already signed in.
Will the agent send an invoice or a reminder to a client without me seeing it first?
No. Invoices, reminders, uplift letters and distributor requests are drafted and queued for your approval, in Slack or Telegram. They send only after you confirm, and you can widen that autonomy for low-risk steps once you trust them. Anything touching a client relationship asks first.
Can the agent write off time, hold a client's service, or change a price on its own?
No. Those are your calls. The agent prepares the write-off candidates, the 60-day debtor summary or the uplift calculation, and presents them with the history. Your finance lead or managing director decides, and the agent records the decision and drafts whatever follows.
Distributor invoices all look different. Can the agent read them?
It reads each invoice the way a person does, line by line, whether it is a PDF from Microsoft CSP, a Pax8 export or a hardware reseller statement. You show it the layout once and it maps the columns. If a new layout appears it flags the lines it is unsure of instead of guessing.
