AI workforce for Education HR & People

AI agents for HR teams in education

Actionist is an AI automation tool whose agents operate the apps your school or college HR team already uses, from chasing DBS renewals by spreadsheet to an agent that flags each expiry weeks ahead.

Education HR teams get back the hours lost to screening, compliance chasing, and September starter paperwork.

Where you spend your time

Why Education HR & People teams switch

We know how your week actually goes

What matters to you
  • Applications read against the vacancy
Subject, level and qualification checked on every CV, so the shortlist is ready when panels are.
  • Safer recruitment, fully evidenced
DBS, right to work and references tracked per hire, with the single central record kept current.
  • September starters ready on day one
Accounts, induction, handbook and mentor sorted before the new term and the new cohort arrive.
  • Training that never silently lapses
Safeguarding, first aid and CPD expiry dates caught weeks ahead, not at an inspection.
  • Absence recorded the same day
Return-to-work paperwork and absence history kept tidy, with patterns visible to the HR lead.
  • Leavers handled cleanly
Notice dates, access removal and exit feedback tracked against the term-time deadlines.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Education HR & People team's day.

The problem

Where the hours go

  • Teaching vacancies cluster around term dates, so a head of department waits weeks for a shortlist while applications pile up in the inbox, and a good candidate accepts another school's offer first.

An agent reads each application against the vacancy criteria as it arrives and drafts the fit notes, so the shortlist is ready for the panel before the closing date.

  • The single central record is updated by hand from DBS emails, reference letters and ID photocopies, and one missing date can stand out in an inspection months after the person started.

An agent tracks each pre-employment check per hire, drafts the chasers, and flags any row with a gap, so the record is complete the day the person starts.

  • September brings a cohort of new teachers who each need accounts, a mentor, a handbook and a safeguarding session, and the paperwork is assembled in the last frantic week of August.

An agent builds each starter's induction checklist from the offer, flags what is missing two weeks ahead, and drafts the welcome pack for approval.

  • Safeguarding certificates, first aid cards and CPD hours all expire at different times, and the matrix is only checked when someone remembers or an inspector asks.

An agent reads the training matrix on a schedule, flags every expiry weeks ahead, and drafts the rebooking requests so nothing lapses without HR knowing.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA teaching or tutor application arrives for an open vacancyfires within about a minute
The agent automatically

When a new application lands in the recruitment inbox or Recruitee, the agent reads the CV and covering letter against the subject, level and qualification criteria within about a minute and logs a fit note. It never rejects anyone: the shortlist and every reply to a candidate are drafted and wait for the HR lead's approval.

With Actionist

What your agent runs for you

  • Recruitment
    240 min / week
Reading every application before the panel can meet

The HR officer opens each teaching application by hand, scores it against a printed criteria sheet and builds the shortlist late on a Thursday.

    Recruitment Agent
    0 min
Fit notes and shortlist drafted as applications arrive

An agent reads each application against the vacancy criteria and logs a fit note, so the shortlist pack is with the department head well before the closing date.

  • Safer recruitment
    120 min / week
Updating the single central record by hand

DBS emails, reference letters and ID copies are typed into the register one at a time, and the gaps only show up in a spot check months later.

    Safer recruitment Agent
    0 min
Checks tracked per hire with gaps flagged

An agent tracks every pre-employment check, drafts the chasers for approval and flags any blank in the record before the person starts.

  • Induction
    100 min / week
Setting up the September cohort in one frantic week

New teachers need accounts, handbooks, mentors and a safeguarding session, and the HR lead assembles them from scratch in the last week of August.

    Induction Agent
    0 min
Starter checklists built from the offer

An agent opens each starter's checklist at offer and flags what is missing two weeks before the start date, with the welcome pack drafted for approval.

  • Compliance and CPD
    110 min / week
Remembering to check the training matrix

Safeguarding, first aid and CPD records live in one spreadsheet that gets checked when someone remembers, so certificates lapse without anyone noticing.

    Compliance and CPD Agent
    0 min
    Expiries flagged weeks ahead

An agent reads the matrix on a schedule, lists every certificate due to lapse, and drafts the rebooking requests for HR to approve.

  • Absence and leavers
    130 min / week
Chasing absence forms and leaver checklists

Absence reasons arrive by text, email and form, return-to-work forms are forgotten, and leaver tasks sit across three people's inboxes.

    Absence and leavers Agent
    0 min
One record for absence and one list per leaver

An agent logs each absence the same morning, drafts the return-to-work form and tracks every leaver task, with HR making the decisions.

Trust & control

You stay in control

An agent working with staff files, safeguarding records and candidate details has to earn trust before it is allowed near them. You see everything it touched, you approve anything that reaches a candidate or colleague, and every decision stays with a person.

Candidates and staff only get approved drafts

Replies to applicants, reference requests and reminders to colleagues are written and held for your sign-off. Nothing goes out on its own unless you widen that yourself in Approval Modes.

You make every people decision

The agent screens, schedules and chases. Who is shortlisted, hired, cleared to start, disciplined or let go is a decision for a person, never the agent.

Safeguarding and health stay with HR

Anything touching a safeguarding concern, a health condition or a welfare issue is routed untouched to the designated lead. The agent does not summarise, judge or triage it.

A record of every file it opened

Every record it read, every field it updated and every draft it wrote is logged, so an inspector asking how the single central record was kept can be shown exactly what happened.

FAQ

Frequently asked questions

Does our HR team need to be technical to use Actionist?
No. If you can describe how a teaching vacancy goes from advert to offer, you can set up the agent. You write the steps in plain language, connect the apps your office already uses, and approve what it drafts, with no code and no API work for most tools.
How do we get started with an HR agent for our school or college?
Book a free demo. We connect an agent to your recruitment inbox, training matrix and personnel records, then show it reading a real application and flagging a real expiry, so you can judge it on your own data before you commit to anything.
How do we make a customised agent for how our HR team works?
The recruitment, induction and compliance jobs shown are examples. You can build a custom agent for any routine your people team repeats, such as your own pre-employment checklist, a trust-wide induction format or a half-termly CPD return.
How quickly can we set Actionist up for HR work?
Most HR teams can have a first agent running within a day. A training-expiry check or an application screen needs only the apps it reads and a short description of your criteria. Add induction, absence and leaver agents as you gain confidence.
Our HR system or applicant tracker has no API. Will it still work?
Yes. The agent operates the app on screen the way a person does, reading screens and filling fields. If your personnel system or the local authority's portal has no connector, the agent can still read the figures you check by hand and keep the record current.
Will it reject a candidate or contact someone without HR checking?
No. It reads, scores and drafts, and a person decides. Every message to a candidate, referee or colleague is a draft that waits for your approval, and nothing about hiring, clearance to start or discipline is decided by the agent. Destructive actions always ask first.
Who owns our staff data, and is it used to train AI models?
Your records stay yours. Actionist does not use your staff or candidate data to train AI models, and the agent works only inside the apps and folders you connect. Every record it opens is logged, so you can show how the single central record was maintained.
What happens with safeguarding concerns or health information?
They are routed untouched to your designated lead or HR. The agent does not summarise, judge or triage a safeguarding or health matter. It files what a person wrote as written and notifies the right person, and any decision remains entirely with your staff.
Can it keep up during peak recruitment season or the start of term?
Yes, within about a minute of each scheduled check. When applications cluster before a closing date or a cohort of new teachers arrives, the agent reads and files each one the same way, with HR approving the drafts that matter.
