AI workforce for Retail Operations

AI agents for operations teams in retail

Actionist is an AI automation tool whose agents operate the apps your retail operations team already uses, from checking size runs and delivery notes by hand to an agent that drafts the reorder before the shelf empties.

Retail operations teams get back the hours lost to reorder checks, goods-in matching, count variances, and reset paperwork.

Where you spend your time

Why Retail Operations teams switch

We know how your week actually goes

A retail operations team lives between the buyer and the shop floor. Every week the same loop runs: spot what is running low, chase what has not arrived, reconcile what is actually on the shelf, and tell forty stores what to move.

Actionist agents work through that loop in the stock, supplier, and store tools you already use, so planners spend the week on buying decisions and store problems that need a person.

What matters to you
  • Size runs and bestsellers stay on shelf
A core line down to two sizes is caught and reordered before the weekend trade, not after it.
  • Goods-in matches the purchase order
Every delivery note is read against its PO, so a short or over delivery is flagged on the day it lands.
  • Counts that agree with the system
Cycle count variances are ranked by value, so the stockroom checks the lines that cost money first.
  • Resets land the same way in every store
Each store gets its own reset pack, shelf-edge ticket list, and photo check against the planogram.
  • Damage and shortages claimed back
Evidence is assembled for each supplier claim, so credit is chased with paperwork, not memory.
  • Built around your supply chain
These are examples. Build a custom agent for any stock or store job your team repeats.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Retail Operations team's day.

The problem

Where the hours go

  • A core line is down to two sizes by Thursday, and nobody saw it because the reorder check means exporting till sales, comparing them with stock, and scanning hundreds of lines by hand while the weekend rush approaches.

An agent reads sell-through against stock and open purchase orders each morning, flags lines with a broken size run or short cover, and drafts the top-up order for the planner to approve.

  • A supplier delivery note says 120 units, the PO says 144, and the difference only surfaces when the stockroom cannot find the missing cartons weeks later, long after the supplier will accept a claim.

An agent reads each delivery note against its purchase order the day the goods arrive, logs every short, over, or substituted line, and queues the supplier query for approval with the evidence attached.

  • Cycle counts get sent to stores, sheets come back late, and someone spends a Tuesday matching them against the system to find which variances are real losses and which are mislabelled bays.

An agent builds the count sheets, compares each returned sheet with system stock, and ranks the variances by value so the stockroom rechecks the costly lines first.

  • A reset goes out as a long email, thirty stores read it thirty ways, and the area manager only learns a bay is wrong when a photo turns up days after the deadline.

An agent turns each planogram change into a store specific task list, chases the checklist, and compares the photos against the plan so the exceptions reach the merchandiser, not the whole chain.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA core line is down to two sizes or fewerfires within about a minute
The agent automatically

When the cover check finds a footwear, denim, or knitwear line with only two sizes left across the chain, the agent flags it within about a minute. It names the missing sizes, shows the stock by store, and drafts a top-up request to the supplier that waits for the buyer approval.

What your agent runs for you

  • Replenishment
    200 min / week
Exporting sales and scanning for low stock

A planner exports yesterday sales, lines them up against stock in a spreadsheet, and scrolls through hundreds of products looking for anything that might run out before the next delivery.

    Replenishment Agent
    0 min
Agent ranks lines by cover each morning

An agent reads sales, stock, and open POs at 07:30 and puts the lines under a week of cover, with suggested quantities, at the top of the reorder sheet.

  • Inbound
    160 min / week
Checking delivery notes against purchase orders

The stockroom lead reads a delivery note, finds the PO, ticks off each line, and writes the differences on a notepad that gets lost before it reaches the buyer.

    Inbound Agent
    0 min
Agent matches every note on the day it lands

An agent extracts the quantities, compares them with the PO, and writes each short, over, or substituted line to the exceptions sheet for the buyer.

  • Stock accuracy
    150 min / week
Matching count sheets to the system

Someone retypes the returned count sheets, subtracts them from system stock, and decides which variances to chase by scrolling a long list in no particular order.

    Stock accuracy Agent
    0 min
    Agent ranks variances by value

An agent compares each sheet with the ledger, prices every variance at cost, and lists the costly ones first, with repeats from last month marked.

  • Merchandising
    180 min / week
Briefing stores on a planogram reset

The merchandiser writes one long email about the reset, answers questions from thirty stores, then reviews photos in a folder days after the deadline.

    Merchandising Agent
    0 min
Agent writes each store its own pack

An agent builds a task list per store from the planogram changes and compares returned photos with the plan, sending only the exceptions to the merchandiser.

  • Vendor claims
    120 min / week
Building supplier damage and shortage claims

A buyer hunts for the delivery note, the photos, and the PO in three places before writing a claim, often after the supplier claim window has already closed.

    Vendor claims Agent
    0 min
Agent assembles the claim with evidence

An agent gathers the delivery note, photos, and PO into one claim draft with the value at cost, ready for the buyer to approve and send.

Trust & control

You stay in control

An agent that reads your stock ledger and drafts supplier orders only earns trust if you can see everything it touched. Actionist keeps buying decisions, supplier messages, and stock adjustments with a person, and records every step it takes.

Purchase orders wait for the planner

The agent builds the shortlist and the draft order. Nothing is sent to a supplier until a planner approves the quantity, unless you widen that autonomy yourself through Approval Modes.

Supplier claims and chases are drafts first

Damage claims, late delivery chases, and credit reminders are written and held for the buyer to approve, so supplier relationships stay in human hands.

Every stock change leaves a record

Count adjustments, transfers, and logged exceptions are time stamped with the source document, so an auditor or a regional manager can see what changed and why.

Your trading and supplier data stays yours

Sales, stock, and supplier terms are encrypted and are never used to train a model. Self-host on your own server if the figures need to stay inside your network.

FAQ

Frequently asked questions

Does my retail operations team need to be technical to use Actionist?
No. You describe how your team handles a reorder, a goods-in check, or a reset in plain language, and connect the stock and store apps you already use. There is no code to write. Planners and stockroom leads set up and adjust their own agents the way they would brief a new starter.
How do I get started with an operations agent for my stores?
Book a free demo and pick the job that eats the most time, whether that is the morning reorder check, delivery note matching, or reset packs. You will see an agent run against sample or real data from your own tools, and you decide what it is allowed to do before anything touches live stock.
How do I make customised AI agents for how my retail operations actually run?
You tell the agent its role, the apps it may use, and the rules for your business: the cover threshold per department, the tolerance for a count variance, the claim window for each supplier. It applies those rules on every run, and you change them as ranges, seasons, and suppliers change. The agents shown here are examples, not limits.
How quickly can I set up a retail operations agent?
A simple agent, such as a morning cover check that posts low lines to Slack, can be running within hours. Jobs that span the point of sale, the stock ledger, and supplier email usually take a few days of testing against your own data, and you review its output before it drafts anything for approval.
Where does our sales, stock, and supplier data live, and is it used to train AI models?
Your trading, stock, and supplier data stays yours. It is encrypted, never used to train a model, and every action the agent takes is logged. If supplier prices and terms must stay inside your own network, you can self-host Actionist on a server you control.
How does an agent work with an older stock system or EPOS that has no API?
Actionist uses computer use in the cloud, so the agent operates the stock system or EPOS screen the way a planner does: it opens the report, reads the numbers, and clicks through the entry. That means a back-office tool with no integration can still feed the reorder check, though screen automation is slower than a direct connection.
Will the agent email a supplier or change a stock level without my approval?
By default it will not. Purchase orders, claims, chases, and transfer instructions are drafted and held in your approval queue, and a stock adjustment waits for a person to confirm it. You can allow routine steps to run on their own later, and anything that spends money or reaches a supplier is the last thing you would loosen.
Can it keep up with Black Friday and the Christmas trading peak?
The scheduled checks run on the same rhythm in a peak week as in a quiet one, so the reorder sweep, the goods-in matching, and the readiness checks keep working while volume rises. What changes is how many lines they flag, so plan for your team to review more exceptions and tighten the cover thresholds before the season starts.
What happens when the agent is unsure, for example a delivery note it cannot read?
It does not guess. A note it cannot read, a product code it cannot match, or a count that looks wrong is put in the exceptions list with the reason, and a person decides. That keeps a misread scan from changing a stock level or supporting a claim.
