AI workforce for Retail HR & People

AI agents for HR and people teams in retail

Actionist is an AI automation tool whose agents operate the apps your retail HR team already uses, from chasing starter paperwork by hand to checklists that fill themselves for you to review.

Retail HR teams get back the hours lost to seasonal hiring admin, starter packs, holiday checks, and leaver paperwork.

Where you spend your time

Why Retail HR & People teams switch

We know how your week actually goes

What matters to you
  • Seasonal hiring that keeps pace
Applications sorted and interview slots offered while peak headcount targets are still reachable.
  • Starters ready before day one
Contract, right-to-work evidence, uniform, and till login checked so no one arrives to a blank desk.
  • Holiday and absence kept honest
Requests checked against peak blackout weeks and absences logged the same morning they are reported.
  • Hours and holiday balances that add up
Clock-in gaps and holiday balances reviewed before payroll prep, not after a payslip query.
  • Training that never quietly lapses
Restricted-sales and safety certificates tracked, with refreshers scheduled before the expiry date.
  • Built around your store team
These are examples of what a retail HR agent can do. Build a custom agent for any people job you repeat.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Retail HR & People team's day.

The problem

Where the hours go

  • Seasonal hiring starts late because applications sit in an inbox, each store manager wants a different shortlist, and every interview slot is arranged by message while the shop is busy.

An agent sorts applications by store, builds each manager's shortlist sheet, and drafts interview offers around the rota, so you decide who to meet while headcount targets are still reachable.

  • New starters arrive and something is missing: no signed contract, no right-to-work evidence on file, no till login, a uniform in the wrong size. Each gap is found on day one, in front of the customer.

An agent runs a checklist for every accepted offer, chases missing documents before the first shift, and tells the manager exactly what is not ready, leaving you to approve the contract pack and confirm checks.

  • Holiday requests, absences, and shift swaps arrive by text and chat. Someone reads them all, keeps a sheet, and still misses a swap that breaks the rest rules or a holiday in a blackout week.

An agent logs every absence the morning it is reported, checks requests against blackout weeks and rest gaps, and marks each one ready for the manager to decide, so the paperwork is right when the rota is published.

  • Training certificates and probation dates live in different sheets. A restricted-sales refresher lapses unnoticed, a probation review is missed, and a leaver still has a till login a week later.

An agent watches expiry and review dates, schedules refreshers and reviews before they are due, and runs the leaver checklist item by item, so lapses are caught early and nothing is left switched on.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA new application arrives for a store vacancyfires within about a minute
The agent automatically

When a candidate applies through the hiring system, the agent reads the application within about a minute, adds a row to the right store's shortlist sheet with availability and experience, and posts a count to the people channel. Whether anyone is invited to interview is decided by the manager and HR.

An agent checks each upcoming starter's checklist every morning and tells the manager and HR exactly what is missing before the first shift.

    Absences logged and swaps checked

An agent logs each report the same morning, checks holiday against blackout weeks, and marks swaps fine or lists the rule they would break.

  • Hours and pay prep
    110 min / week
Hunting for clock gaps before payroll

Before each pay run someone goes through the time system for forgotten clock-outs and recalculates holiday balances in a spreadsheet.

Trust & control

You stay in control

An agent touching applications, contracts, and staff records only earns trust if you stay in control. Actionist is built so you see what it prepared, decide every people matter yourself, and approve anything that reaches a candidate or an employee.

People decisions stay with people

The agent prepares shortlists, packs, and checks. Hiring, pay, probation outcomes, and discipline are decided by HR and managers, never by the agent.

Candidate and staff messages wait for approval

Interview offers, reminders, and replies are drafted and held for HR. Nothing goes to a candidate or employee unless you widen that autonomy yourself.

Sensitive reports passed on untouched

Anything about health, conduct, or personal circumstances is routed to HR as written, without the agent interpreting it, so the right person reads the original.

Staff data stays yours

Personnel records, absence data, and applications are encrypted and never used to train a model. A full audit trail records what was read and drafted, and you can self-host on a VPS.

FAQ

Frequently asked questions

Does my retail HR team need to be technical to use Actionist?
No. Actionist is built for HR and people teams, not developers. You describe what you want in plain language, connect the apps you already use, and the agent does the rest. There is no code to write, and for most tools nothing to set up through an API, because the agent operates them the way a person would.
How do I get started with AI agents for my retail HR team?
Book a free demo and an Actionist team member will walk through the HR job that costs you the most time, whether that is seasonal applications, starter paperwork, or holiday checks, and set up a working example you can test with your own sheets. Most teams have a first agent running within a day of the demo.
How do I make customised AI agents for how my retail HR team works?
Tell it the task in plain words, name the tools it should work in, and say which steps need your sign-off. For a new starter file you list the documents required; for a shift swap you set minimum rest and weekly hours. Edit those rules whenever store policy changes.
How quickly can I set up an HR agent for my retail business?
A simple agent, such as one that logs absence reports onto your sheet and posts the gaps to Slack, can be running within hours of the demo. Agents that cross several tools, like the starter checklist or payroll pack, usually take one to three days of iteration. You test against a copy of your data first.
Where does our staff and applicant data live, and is it used to train AI models?
Your personnel records, applications, and absence data stay yours. Everything the agent reads and writes is encrypted, and none of it is used to train any model. Every record opened and every draft created is logged in an audit trail. If you need everything on your own infrastructure, you can self-host Actionist on a VPS.
Will the agent decide who to hire, reject a candidate, or change anyone's pay?
No. The agent sorts, summarises, and prepares. Shortlists are for managers to choose from, contracts wait for HR to approve, and pay and probation outcomes are decided by a person. The agent does not reject applicants and does not change a pay band or a rota without an approval.
Can it work with our rota and time system if it has no API?
Yes. Actionist's agent uses computer use: it opens Connecteam, a time system, or your HR portal the way you do, reads what is on screen, and copies the figures where they need to go. A tool with no integration can still feed your absence sheet, as long as the agent can sign in.
What happens to seasonal hiring when applications spike before Christmas?
The scheduled sweeps run on the same cadence as in a quiet month, so the morning application sort and the Monday hiring tracker keep working. What changes is how many applications flow through them. Stores falling behind their headcount target are marked in the tracker earlier, while there is still time to recruit.
Will the agent email candidates or message staff without me seeing it?
By default, no. Interview offers, reminders, and replies are drafted and queued in Gmail or Slack for HR to approve, and only then sent. Reports about health, conduct, or personal matters are passed to you untouched. You can widen autonomy for low-risk steps, but messages to candidates and staff are best left on ask first.
