01

Where you spend your time

Why Financial Advisors HR & People teams switch

We know how your week actually goes

A small advisory firm hires slowly and carefully, because one regulated adviser carries a client book and the firm's reputation with the FCA. That makes every vacancy a pile of qualification checks, reference requests, and paperwork on top of the interviewing.

Actionist agents prepare that pile: shortlists, check trackers, starter packs, and renewal reminders. Every draft waits for the hiring partner or compliance officer. The agent prepares, a person decides.

What matters to you
  • Shortlists built against your adviser bar
CVs read against Level 4 Diploma, chartered status, and book experience, with the gaps noted for you.
  • Regulatory references chased to the end
Each request tracked until the former employer replies, so no hire starts with a missing reference.
  • Starters ready before day one
Right-to-work, contract, access, and supervision plan tracked as one checklist per joiner.
  • CPD and renewal dates never a surprise
Hours logged against the annual target and membership renewals flagged weeks before they fall due.
  • Probation and appraisal dates kept
Review dates surfaced to managers with the notes already gathered, so reviews are not skipped at year-end.
  • Leavers closed out cleanly
Access, equipment, handover, and leaver references tracked from notice to last day.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Financial Advisors HR & People team's day.

The problem

Where the hours go

  • Each adviser vacancy buries the hiring partner in CVs that have to be checked one at a time for the diploma, chartered status, and book transferability, so shortlists arrive late and good candidates accept elsewhere.

An agent reads every application against the bar you set, looks the candidate up on the FCA Register, and drafts a ranked shortlist with the gaps noted, so the partner meets candidates rather than sorts the inbox.

  • Regulatory references and right-to-work documents trickle back over weeks, and nobody is sure which hire is still missing which piece when the start date approaches.

An agent keeps one tracker per candidate, drafts each chaser for approval, and flags any hire whose checks are incomplete as the start date nears, so nobody starts with a gap in their file.

  • Joiner paperwork repeats every time: contract, logins, compliance system login, supervision plan, and a welcome diary, each a separate email that someone has to remember to send.

An agent builds the joiner checklist when the offer is signed, drafts the access requests and welcome pack for your review, and posts the countdown to the people channel until day one.

  • CPD hours, SPS renewals, and annual certification dates live in a spreadsheet nobody updates until the deadline is a fortnight away, and a lapsed membership becomes the compliance officer's emergency.

An agent keeps the CPD and renewal sheet current from the certificates it finds, flags every date sixty days out, and assembles the annual certification pack for the compliance officer to review and sign.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenAn adviser application arrives from a job board or recruiterfires within about a minute
The agent automatically

When an application lands in Recruitee or the careers inbox, the agent reads the CV, checks it against the diploma, chartered status, and experience bar the partner set, and logs the applicant with a fit note within about a minute. Borderline CVs are flagged for a person, and no reply goes to the candidate until you approve it.

Trust & control

You stay in control

An agent working with candidate and staff records only earns trust if you stay in control. Configure it so you approve anything that reaches a candidate or colleague, and so you can see what it touched.

Candidate and staff messages wait for you

Use Ask each time for anything addressed to a candidate, referee, or colleague. Chasers, offer drafts, and welcome packs stay as drafts until you approve them.

The agent prepares, a person decides

Hiring, pay, offers, probation outcomes, and fit and proper judgements stay with the partners and the compliance officer. A tracker showing complete is not a regulatory sign-off.

Destructive actions always ask first

Removing access, closing a starter record, or marking a leaver complete stops for explicit approval, whatever autonomy you have granted elsewhere.

A full audit trail and your own data

Every record the agent read and every draft it made is logged. Staff data is encrypted, never used to train AI models, and can be self-hosted on your own VPS.

FAQ

Frequently asked questions

Does my HR team need to be technical to use Actionist?
No. The office manager or HR lead describes the job in plain English, such as read the new adviser CVs against our bar and log them in the tracker, and Actionist builds the agent. You pick the apps and the approval level. Nobody writes code or sets up an integration.
How do I get started with an HR agent for my advisory firm?
Start with the job that costs the most hours, usually CV screening or the reference chase. Describe it, connect the apps you already use such as Recruitee, BambooHR, and Gmail, and begin in Ask each time mode so every draft waits for you. Widen the agent's scope later, task by task.
How do I make a customised AI agent for how my firm actually hires and onboards?
Describe your own process: your qualification bar for advisers, your reference wording, your joiner checklist, your CPD target. Actionist builds a custom agent around it using the apps you already use. The agents shown here are examples, and you can build one for any job your HR team repeats.
How quickly can I set up an HR agent for my practice?
A first agent can be running the same day: describe the job, connect your recruitment and HR apps, and test it on a real batch of CVs in Suggest mode. Most firms refine the wording over the first week or two, and the agent follows your corrections the way a new office junior would.
Where does our candidate and staff data live, and is it used to train AI models?
Candidate and staff records stay in the systems you already use. Actionist encrypts what it handles and does not use your data to train AI models. If you need everything on your own infrastructure, you can self-host on a VPS, and every record the agent read is in the audit trail.
How does an agent work with an HR system or portal that has no API?
In the cloud, it uses computer use to operate the screen the way you would: opening the careers inbox, an HR platform, or a former employer's reference portal, reading what is there, and filling in the form. If you can open it in a browser or an app, an agent can usually work it.
Will the agent email a candidate or a former employer without me seeing it first?
Not by default. Anything addressed to a candidate, a referee, or a colleague is a draft that waits for your approval in Ask each time mode. You can widen that on specific low-risk tasks if you choose, but offers, rejections, and anything with a regulatory implication should stay approval-first.
Could an agent make a regulatory mistake, such as passing a bad reference?
The agent prepares evidence and trackers, and it does not judge fitness or propriety. It files the reference and summarises it, and the compliance officer decides whether it is satisfactory. Hiring, offers, pay, and certification decisions stay with your partners and compliance officer, so their accountability is unchanged.
Is this replacing our office manager or HR lead?
No. It takes the repetitive part of the job: screening trackers, chasers, checklists, and renewal spreadsheets. The judgement calls stay with people, such as who to hire, how to handle a difficult conversation, and what a reference really tells you. The aim is more time for those, not fewer people.
