AI agents for HR teams in architecture firms

Actionist is an AI automation tool whose agents operate the apps your practice already uses, from sifting portfolios and chasing PEDR entries by hand to people admin that keeps itself current.

Practice managers lose Fridays to CPD logs, placement paperwork, and leave clashes before a stage deadline.

Where you spend your time

Why Architecture Firms HR & People teams switch

We know how your week actually goes

In a practice, the person who runs HR is often the office manager or an associate with a day job. Portfolios, placement files and CPD certificates pile up beside live projects.

Actionist builds AI agents for HR teams in architecture firms that prepare the paperwork, so the person decides who to hire, who to back for Part 3, and who needs support.

What matters to you
  • Portfolios read against the brief
A Part 2 or technologist shortlist ranked on the skills the role names, ready before the studio meeting.
  • Year-out and Part 3 files kept clean
PEDR entries and mentor sign-offs chased each month, so a candidate's experience log is never found empty at submission.
  • CPD and ARB renewals never discovered late
Each architect's certificates and registration dates tracked, so a gap shows up in March, not December.
  • Starters productive on day one
Contract pack, software seats and CDM induction queued from the signed offer, not assembled the Friday before.
  • Leave cover planned around stage deadlines
Holiday requests checked against live submission dates and TOIL logged after competition weekends.
  • Built around your practice
These are examples of what an HR agent can do. Build a custom agent for any people job you repeat.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Architecture Firms HR & People team's day.

The problem

Where the hours go

  • Portfolio PDFs arrive in the inbox for every vacancy, and sifting forty of them for Revit fluency and sector experience takes a weekend nobody has, so good Part 2 candidates wait while the studio is busy on a competition.

An agent reads each portfolio and CV against the vacancy brief, ranks the shortlist with the reasons beside each name, and leaves the principals to decide who to interview.

  • Placement students forget to log their month in the PEDR and Part 3 candidates reach submission with an empty experience record, because chasing every mentor and student by email is the job that slips each month.

An agent checks each PEDR entry and mentor meeting on schedule, drafts the reminder for the person to approve, and flags the files that are falling behind.

  • CPD certificates sit in email attachments and ARB or RIBA renewal dates live in one person's head, so a lapsing registration or a short CPD record is discovered in December instead of March.

An agent files each certificate against the right architect, totals the hours, and posts a gap report and renewal calendar so no one is surprised at year end.

  • A new technologist starts on Monday and the contract, the Revit seat, the CDM induction and the right-to-work file are still four separate emails, and a leaver's folder access is still open a month later.

An agent builds the starter pack and seat requests from the signed offer and works down the leaver checklist, leaving a person to approve each pack and verify each document.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA portfolio arrives through the careers formfires within about a minute
The agent automatically

When a CV and portfolio link come in through the careers form or a LinkedIn message, the agent reads them within about a minute, checks the Revit or Rhino skills and sector work the vacancy names, and logs the applicant in the tracker with a note. A principal decides whether the applicant is invited to interview.

Trust & control

You stay in control

An agent touching staff records, candidate portfolios and registration data only earns trust if you stay in control. Actionist is built so you see everything it touched, approve anything that reaches a person, and keep every record it creates.

Candidate and staff messages wait for approval

A reference request, a PEDR reminder or a starter pack is drafted and queued for your sign-off. Nothing reaches a candidate or colleague unless you widen that autonomy yourself.

The agent prepares, a person decides

Who is interviewed, who is hired, who passes probation and what anyone is paid stay with your principals. The agent builds the shortlist and the pack, not the verdict.

Every record the agent touched is logged

Each CPD entry, checklist tick and drafted message is saved with a timestamp, so you can see what changed in a personnel file and why.

Staff data stays yours

Salary bands, absence records and portfolios are encrypted and never used to train a model. Self-host on your own server if files must stay inside the practice.

FAQ

Frequently asked questions

Does my practice need to be technical to use AI agents for HR teams?
No. Actionist is built for practice managers and office leads, not developers. You describe how recruitment, placements, CPD and leave work in your studio in plain language, connect the apps you already use, and the agent does the rest. For tools with no integration, it operates the screen the way a person would.
How do I get started with an HR agent in an architecture firm?
Book a free demo and an Actionist team member will walk through your biggest people-admin job, whether that is portfolio screening, PEDR chasing or the CPD log, and set up a working example you can test against your own files. Most practices have a first agent running within a day of the demo.
How do I make customised AI agents for how my practice handles people admin?
You describe the agent's role, the apps it uses, and the approval rules for each action. For CPD you say which certificates count and what a gap looks like, and for placements you say who the mentors are. The agent applies your rules on every run, and you adjust them as your practice changes.
How quickly can I set up an HR agent for my studio?
A first agent, such as one that files CPD certificates and posts a monthly gap report, can be running within hours of the demo. A multi-step workflow like the starter pack usually takes a day or two of tuning. You test it against a copy of your records before it touches the live personnel files.
Where are our staff and candidate records kept, and are they used to train models?
Your staff, candidate and absence data stays yours. It is encrypted, and none of it is used to train any AI model. Every action the agent takes, from a filed certificate to a drafted pack, is recorded in an audit trail. If files must stay inside the practice, you can self-host Actionist on your own server.
Can it work with an HR or timesheet system that has no API?
Yes. Many practices run an older HR tool or a project accounting system nothing else connects to. The agent works in the cloud: it opens the screen the way you do, reads what is on it, and clicks through the entry or export, so a missing integration is not the end of the plan.
Will the agent email a candidate, a student or a colleague without me seeing it first?
By default, anything that reaches a candidate, placement student, referee or colleague is drafted and waits for your approval. You can review and approve from Telegram or Slack. You can widen that autonomy for low-risk routine reminders, but sensitive messages about pay, performance or absence always ask first.
Who decides who gets shortlisted or hired, the agent or us?
You do. The agent reads portfolios against the brief and ranks them with its reasons visible, so you can check the logic and overrule it. Interviews, offers, probation outcomes and pay stay with your principals. Treat the ranking as a first sort for a person to review, never as the decision.
Can the agent tell me whether an architect's ARB registration or CPD record is compliant?
It keeps the record and flags the gaps, but it does not certify compliance. The agent files certificates, totals hours and reminds people of renewal dates, and a person checks the ARB register and RIBA requirements. Compliance sign-off stays with the architect and the practice.
