AI workforce for Architecture Firms Admin and Office

AI agents for admin and office teams in architecture firms

Actionist is an AI automation tool whose agents operate the apps your practice already uses, from sorting the shared mailbox by hand to an agent routing each message and drafting the replies for approval.

Office teams get back the hours lost to inbox sorting, diary tennis, and renewal dates.

Where you spend your time

Why Architecture Firms Admin and Office teams switch

We know how your week actually goes

What matters to you
  • A mailbox that sorts itself
Every message reaches the person who owns it, and enquiries go straight to whoever logs new work.
  • Meetings booked without email tennis
Consultants, clients and the team find one time that works, with the right link or room.
  • Site visits that run smoothly
Access, induction and PPE are arranged before the architect arrives at the gate.
  • Print and post that arrives on time
Plot runs, tender sets and couriers are ordered and tracked, not chased by the front desk.
  • Licences and certificates never lapse
Licences, insurance and accreditation dates are watched, so a renewal is never a surprise.
  • An office people forget to worry about
The practice runs quietly. These are examples; build any agent your office needs.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Architecture Firms Admin and Office team's day.

The problem

Where the hours go

  • The shared mailbox swallows the front desk's morning, because every message has to be read, judged and forwarded by hand, and the supplier mail buries the one thing a director needed to see.

An agent reads each message, works out who owns it, passes new-project enquiries straight to the enquiry log, and drafts replies for approval, so the desk starts the day with a sorted queue.

  • Booking a structural engineer, a client and two architects turns into a chain of emails that eats an afternoon, and a site visit still falls through because nobody arranged the induction.

An agent finds the slot across every calendar, drafts the invite with the right link or room, and prepares the access and induction request, with each outgoing message waiting for approval.

  • Software licences, insurance certificates and subscriptions renew on dates nobody is watching, so the practice either pays for licences nobody uses or finds out about a lapse the day a client asks.

An agent keeps every renewal date in one sheet, checks licence usage against sign-ins, and drafts the reminder or quote request for a director to decide on well ahead of the date.

  • A tender deadline arrives and the print run, covering letter and courier are all arranged in a rush the afternoon before, by whoever happens to be in the office.

An agent works backwards from the submission date, drafts the print order and courier booking, and checks each item off so the bundle is ready with time to spare.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA message arrives at the practice addressfires within about a minute
The agent automatically

Within about a minute of a message landing in the shared mailbox, the agent reads it, decides whether it belongs to accounts, a project team, HR or a director, and queues the forward. Anything that looks like a new-project enquiry is handed to whoever logs new work. Replies wait for the office manager's approval before they go out.

What your agent runs for you

  • Front desk
    150 min / week
Sorting the shared mailbox by hand

The front desk reads each message, works out who it is for, forwards it, and hopes the one thing a director needed to see was not buried under supplier mail.

    Front desk Agent
    0 min
Agent routes each message and drafts replies

An agent reads every message, matches it to its owner, hands new-project enquiries to the enquiry log, and drafts replies for the office manager's approval.

  • Diary
    100 min / week
Booking a meeting across many diaries

Someone emails four people for their availability, waits for replies in two time zones, then books a room and sends a link once everyone has agreed.

    Diary Agent
    0 min
Agent finds the slot and drafts the invite

An agent compares the diaries, proposes a time with the right link or room, and queues the invite for approval before it goes to anyone outside the practice.

  • Print and post
    90 min / week
Rushing the print run and courier before a deadline

The afternoon before a tender is due, someone orders prints, books a courier and checks the covering letter in a hurry.

    Print and post Agent
    0 min
Agent plans the bundle back from the deadline

An agent works back from the submission date, drafts the print order and courier booking together, and lists anything missing from the project folder.

  • Office systems

Agent watches the dates and the usage

An agent keeps every renewal date in one sheet, compares licences with sign-ins, and drafts the quote request for a director to decide.

Trust & control

You stay in control

An agent that reads the practice mailbox and diary only earns trust if you stay in control. Actionist shows you what it read and did, asks before it writes outside the practice, and keeps every decision with your people.

Outgoing messages wait for approval

Replies, meeting invites to external guests and requests to suppliers are drafted and queued for the office manager. Nothing leaves the practice unless you widen that autonomy yourself.

Routing is a suggestion you can overrule

The agent proposes who should handle each message and shows its reason. When it is unsure, it asks, and your corrections shape how it routes the next one.

Spending and access stay with your people

The agent prepares renewal quotes, account tickets and orders. Whether a licence is bought, a person gets access or an order is placed remains a decision for a director or the office manager.

Every run is on record

Each run is logged step by step with screenshots, and personal data in the mailbox stays under your control, so you can always see what was read and what was changed.

FAQ

Frequently asked questions

Does my practice's office team need to be technical to use Actionist?
No. You brief an agent the way you would brief a new office assistant on their first week: here is the mailbox, here is who handles what, here is how we book consultants. There is no code and no scripting, and connecting your inbox and calendar is a guided step. If you can explain the job to a colleague, you can set the agent up.
How do I get started with an agent for our shared mailbox?
Start with the mailbox, because it takes the most time every morning. Connect the shared inbox, tell the agent who owns which kind of message, and run it in Suggest mode so you see every routing choice before it is made. After a couple of weeks of corrections, you can let it handle the routine messages on its own.
How do I make a customised agent for how our office actually runs?
You describe your own routine in plain language: how you name plot requests, which couriers you use, who approves a purchase. The jobs on this page are examples of what admin agents in architecture firms can do, not a fixed menu. Coach the agent the way you would coach a junior office assistant, and correct it when it gets something wrong.
How quickly can I set an admin agent up?
Most practices have a first agent working the same day. Connecting the mailbox and diary is a short guided step, and the first job, such as sorting the morning mail, needs only a clear description of who owns what. Larger jobs, like a full licence and renewal tracker, take a little longer to brief and test.
Staff, visitor and client details pass through the office, where does that personal data go?
Your data stays yours. Credentials are held encrypted in a vault, memory about how your practice works is kept on your own machine, and nothing you do trains a public model. Each run is logged step by step with screenshots, so you can see what an agent read and changed. Practices with stricter requirements can self-host Actionist on their own server.
Our booking and licence portals have no API, can an agent still work with them?
Yes. It operates the screen the way a person would: it reads the interface, clicks, types and checks the result, so it can use a supplier portal, a reseller's licence page or an old booking system nothing integrates with. This screen work runs on your organisation's Actionist cloud machine.
Will the agent email a client, supplier or consultant without me seeing it first?
Not unless you choose that. Replies, invites to external guests and requests to suppliers are drafted and queued for the office manager's approval. Approval Modes let you decide how much an agent does alone, and destructive actions always ask first. You can approve a draft from your phone over Telegram or Slack.
Will it answer our phone or take messages from callers?
No. The agent does not make, take or listen to calls. If your phone app, such as RingCentral, produces voicemail transcripts or call logs, the agent can read those and pass the messages on to the right person. The conversation itself stays with a person at the practice.
Can the agent decide who gets a software licence or buy a renewal?
No. Those are decisions for a director or the office manager. The agent checks licence usage, finds the renewal date and drafts the quote request, so the decision is made with the facts in front of the person making it. An agent prepares; a person decides.
