AI workforce for Architecture Firms Operations

AI agents for operations teams in architecture firms

Actionist is an AI automation tool whose agents operate the apps your practice already uses, from retyping revision letters into the drawing register to an agent logging each issue as it goes out.

Project leads get back the hours lost to registers, RFI chasing, and handover paperwork.

Where you spend your time

Why Architecture Firms Operations teams switch

We know how your week actually goes

What matters to you
  • A register you can trust
Every sheet's revision matches what was issued, not what someone remembers from Friday.
  • RFIs answered before a stage stalls
An overdue question is chased the day it slips, not at the next coordination meeting.
  • Stage gates that close on time
Checklists, stage reports and sign-off packs are ready before the director asks.
  • Planning decisions never missed
Portal changes and condition triggers are logged as they happen, not found in a panic.
  • Site records that hold up later
Instructions, snags and variations are written down while the visit is still fresh.
  • Time back for the design
Project leads coordinate buildings, not spreadsheets. These are examples; build any agent you need.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Architecture Firms Operations team's day.

The problem

Where the hours go

  • The drawing register drifts out of date because every issue means retyping revision letters, dates and status codes sheet by sheet, and the first sign of a mismatch is a contractor building from the wrong set.

An agent reads each transmittal, updates every sheet's revision and status in the register, and flags any sheet in the issue folder the register does not list, so a person checks one list instead of rebuilding it.

  • RFIs age quietly in an inbox because nobody owns the chasing, and a structural query that should take two days is still open when the stage deadline arrives.

An agent numbers each RFI, routes it to the consultant who owns it, and drafts a nudge the day a response date passes, queued for the project lead's approval before it goes out.

  • Planning decisions and condition triggers get found late because council portals send few notifications, so someone has to remember to log in and read what changed.

On a schedule the agent checks the portal in the cloud, files any new notice to the project record, and keeps the conditions schedule current for the project lead to act on.

  • Handover is a scramble of certificates, warranties and as-built drawings chased from five contractors, assembled by hand into a pack the client expected weeks ago.

An agent tracks every outstanding handover item against the contractor who owes it, drafts the reminders for approval, and assembles the pack in the client's expected order as items arrive.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA transmittal goes out with a revised setfires within about a minute
The agent automatically

When a transmittal email leaves the practice or lands from a consultant, the agent reads the sheet list, matches each sheet to its register line, and updates the revision letter, issue date and purpose of issue. A sheet it cannot match is flagged to the project lead rather than guessed, so the register always shows what actually went out.

With Actionist

What your agent runs for you

  • Drawing control
    90 min / week
Updating the register after every issue

A project lead retypes revision letters, dates and status codes into the register after each issue, and finds out a sheet was missed only when a contractor queries it.

    Drawing control Agent
    0 min
Agent logs each issue to the register

An agent reads the transmittal, updates each sheet's revision and status in the register, and flags any sheet in the folder the register does not list.

  • Coordination
    80 min / week
    Chasing consultants on overdue RFIs

Someone scrolls the RFI log before each meeting, works out which consultant is holding what, and writes the same polite reminder again and again.

    Coordination Agent
    0 min
Agent finds the overdue RFIs and drafts the chasers

An agent lists every RFI past its date by consultant and drafts each reminder, queued for the project lead's approval before anything is sent.

  • Programme
    75 min / week
    Compiling the weekly project status

A project lead pulls dates from the programme, counts open RFIs and lists what was issued, then types it into the template on a Friday afternoon.

    Programme Agent
    0 min
Agent drafts the status from the live record

An agent assembles the programme, RFI count and issue record into the status template, leaving the commentary for the project lead and the client version for a director's approval.

  • Planning
    60 min / week
Checking portals and filing the replies

Someone logs in to each council portal in turn, reads what has changed, and saves officer emails to the project folder when they remember.

    Planning Agent
    0 min
Agent checks the portals and files what it finds

On a schedule the agent checks each portal in the cloud, saves any new notice to the project record, and posts a short summary to the project channel.

  • Site
    100 min / week
Turning site notes into the visit report

After a visit, the architect sits down with handwritten notes and a camera roll and builds the report, tying each point to a drawing, often a day or two later.

    Site Agent
    0 min
Agent drafts the report for the architect to check

An agent builds the draft from the notes and photos, ties each observation to a drawing reference, and leaves it in the architect's queue to edit and approve.

Trust & control

You stay in control

An agent that touches your drawing records and writes to consultants only earns trust if you stay in control. Actionist shows you what it did, asks before it acts outside the practice, and leaves every decision with your people.

Consultant and contractor messages wait for you

A chase, an RFI reply or a reminder is drafted and queued for the project lead's approval. Nothing reaches a consultant or contractor unless you widen that autonomy yourself.

The register shows its source

Each entry the agent logs points back to the transmittal it came from. A revision it cannot match is flagged for a person, never guessed.

People decide what the project needs

The agent prepares agendas, packs and drafts. Whether an RFI answer changes the design, or a stage is ready to close, stays a decision for your architects and directors.

Every run leaves a record

Each run is logged step by step with screenshots, so a project lead or a QA reviewer can see exactly what the agent read and wrote.

FAQ

Frequently asked questions

Does my practice's operations team need to be technical to use Actionist?
No. You brief an agent the way you would brief a new technician on their first week: here is the register, here is how we name drawings, here is who owns which RFI. There is no code and no scripting, and connecting an app like your drive or inbox is a guided step. If you can explain the job to a colleague, you can set the agent up.
How do I get started with an agent for our drawing register?
Start with the one job that eats the most time, usually logging each issue to the register. Connect your drive and your register, describe your naming convention and revision rules, and run the agent on one live project in Suggest mode, so you see every entry before it is kept. Once it matches what you would have done, widen it to the other projects.
How do I make a customised agent for how our practice issues drawings and runs RFIs?
You describe your own process to an agent in plain language: your naming convention, your status codes, how you number RFIs, which consultant owns which discipline. The jobs on this page are examples of what operations agents in architecture firms can do, not a fixed menu. Coach it the way you would coach a junior technician, and correct it when it gets something wrong.
How quickly can I set an operations agent up?
Most practices have a first agent working the same day. Connecting your drive, inbox and register is a short guided step, and the first job, such as logging transmittals to the register, needs only a clear description of your convention. More complex jobs, like tracking planning conditions across several portals, take a little longer to brief and test.
Where do our drawings, consultant correspondence and project data go, and are they used to train AI models?
Drawings, consultant correspondence and project data stay under your control. Logins sit in an encrypted vault, what the agent learns about how your practice works is stored on your own machine, and none of it trains a public model. Every run is logged step by step with screenshots, and a practice with stricter rules can host Actionist on its own server.
How does an agent keep a register current when our CDE or planning portal has no API?
It operates the screen the way a person would. Actionist reads the interface, clicks, types and checks the result, so it can log into a council planning portal or a niche document system that nothing integrates with and read what has changed. This screen work runs on your organisation's Actionist cloud machine.
Will the agent send a consultant or contractor an email without me seeing it first?
Not unless you choose that. Anything addressed to a consultant, contractor or client is drafted and queued for the project lead's approval. Approval Modes let you decide how much an agent does alone, from suggesting everything to handling routine low-risk work on its own, and destructive actions always ask first. You can approve a draft from your phone over Telegram or Slack.
What if the agent logs a drawing against the wrong revision?
It reads the revision from the transmittal and the sheet itself, and when the two disagree, or a sheet is not on the register, it flags the item rather than guessing. Every entry points back to the transmittal it came from, and the run log shows what it read, so a project lead can check any line and correct the agent when it needs coaching.
Can the agent decide that an RFI answer changes the design or that a stage is ready to close?
No. Those are decisions for your architects and directors. The agent prepares the agenda, assembles the sign-off pack and drafts the chasers, so the people who trained to design buildings spend their time deciding, not compiling. An agent drafts and organises; a person decides.
