How does Actionist connect to QuickBooks Online?

Actionist receives a scoped token and runs a test call to confirm access before any actions execute. You stay in full control of which QuickBooks company file is connected and can revoke access at any time from your Intuit account settings.
Which QuickBooks plan do I need to use Actionist with QuickBooks Online?
Actionist connects to QuickBooks Online via the Intuit QuickBooks API, which is available on Simple Start, Essentials, Plus, and Advanced plans. The specific actions available may vary by plan — for example, Purchase Orders require QuickBooks Plus or Advanced. If you are on Simple Start, you still have access to customers, invoices, expenses, and payments. Check your QuickBooks plan's feature list if a specific action is not available.
Can Actionist create invoices automatically when projects or deals complete?
Yes. The most common pattern is a trigger from your project management or CRM tool: when a deal closes in HubSpot or a project is marked complete in ClickUp or Notion, the Finance Agent finds the client's QuickBooks customer record and creates an invoice with the agreed line items. If the customer does not yet exist in QuickBooks, the agent creates the customer record first. The invoice can be saved as a draft for review or sent immediately, depending on how you configure the Approval Mode.
How does Actionist handle overdue invoice chasing without sending embarrassing emails?
Actionist uses the Invoice Due trigger to identify invoices approaching or past their due date. You define the chase ladder: for example, send a polite reminder three days before due, escalate to the account manager in Slack at seven days overdue, and create a priority collections task at thirty days. The agent sends reminders from your configured email account so they arrive from a familiar address. For high-value clients, you can set the Approval Mode to ask-each-time so a human reviews the draft before it sends.
Can the agent process supplier invoices from our email inbox into QuickBooks bills?
Yes. When a vendor invoice arrives in the finance inbox, the Finance Agent reads the email, extracts the vendor name, invoice amount, and due date, looks up the vendor in QuickBooks, and creates a bill. It then attaches the original PDF to the QuickBooks bill as a source document and routes the bill for approval in Slack before it enters the payment run. This replaces manual data entry for the majority of vendor invoices that arrive in a consistent format.
Does Actionist support multi-company QuickBooks setups?
Each Actionist agent connection is scoped to one QuickBooks company file. If you manage multiple entities, you can connect each company file separately and configure different agents or tasks per entity. The connection flow prompts you to select which QuickBooks company to authorise during the OAuth handshake, so it is clear which books each agent is working with. Switching between company files requires re-authorising the connection.
What happens if Actionist creates a duplicate customer or vendor in QuickBooks?
Before creating a customer or vendor, the agent calls Find Customer or Find Vendor first. If a record already exists with the same name, it uses the existing record rather than creating a duplicate. If you want the agent to update an existing customer record rather than create a new one when details change, use the Update Customer action instead of Create Customer. For high-confidence deduplication, include the customer's email or tax ID in the search to avoid false matches on common company names.
Can Actionist post journal entries to QuickBooks for month-end accruals?
Yes. The Create Journal Entry action lets the Finance Agent post debit and credit lines to specified accounts. Common use cases include month-end accruals, depreciation postings, and intercompany transfer entries. The agent can calculate accrual amounts from data in a Google Sheet and post the journal automatically at month end. Destructive or high-value journal entries can be set to require approval before posting, using the Ask-each-time Approval Mode.
