AI workforce for Veterinary Operations

AI agents for operations teams in veterinary clinics

Actionist is an AI automation tool whose agents operate the apps your veterinary operations team already uses, from rebuilding the rota and counting shelves by hand to drafts ready for sign-off.

Practice managers and head nurses get back the hours lost to rotas, stock sheets, and audit folders.

Where you spend your time

Why Veterinary Operations teams switch

We know how your week actually goes

What matters to you
  • The rota is drafted before Friday
Vet, RVN and reception shifts are laid out around leave and theatre days, ready for your changes.
  • The dispensary never runs short
Par levels and expiry dates are checked every weekday, so the wholesaler order drafts itself ahead of the cut-off.
  • Equipment servicing never slips
Autoclave, X-ray and anaesthetic machine services are tracked, with engineer visits drafted around theatre lists.
  • Audit evidence builds all year
Test sheets, training logs and certificates are filed as they appear, so a practice standards visit is not a scramble.
  • Lab samples are accounted for
Every courier manifest is matched to a report coming back, and anything overdue is flagged to the vet unopened.
  • Built around your clinic
Examples only. Build a custom agent for any job your practice repeats, from kennel repairs to rep visits.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Veterinary Operations team's day.

The problem

Where the hours go

  • The rota gets rebuilt by hand every Thursday, and a single call-in unpicks it again: phoning round the locum list while consults start and the theatre list still needs a nurse.

An agent drafts the rota from leave and theatre days, and when someone calls in sick it prepares the cover requests, so you pick the person rather than do the ringing round.

  • Short-dated stock hides at the back of the dispensary until a nurse finds it in the waste bin, and the wholesaler order is retyped from last month's email the day before the cut-off.

An agent sweeps the stock sheet for short dates and low lines each morning and drafts the order against your par levels, leaving you to change a quantity and approve it.

  • Audit evidence lives in six folders and a nurse's memory, so the weeks before a practice standards visit turn into a hunt for the autoclave sheets and the radiation report.

An agent files test sheets and certificates as they arrive and assembles the evidence pack section by section, so the visit starts from a folder that is already complete.

  • Lab samples go out with a courier and nobody can say which reports are still outstanding, while the engineer visit for the autoclave collides with a theatre list nobody checked.

An agent matches each manifest to a returning report and drafts engineer visits around the theatre diary, so overdue items reach the right person before they become a problem.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

The agent automatically

When a call-in appears in the team channel or leave calendar, the agent checks the consult and theatre diary for the shifts affected, drafts a message to locums and bank staff, and prepares the revised rota. Nothing goes to anyone until the practice manager approves the cover choice.

What your agent runs for you

  • Rota and cover
    120 min / week
Rebuilding the rota and ringing round for cover

Each Thursday the practice manager reworks next week's shifts around leave and theatre days, and a single call-in sends them through the locum list between consults.

    Rota and cover Agent
    0 min
Agent drafts the rota and the cover requests

An agent reads leave and the theatre list, drafts the rota, and when someone calls in it prepares the cover messages for you to approve in one pass.

  • Dispensary orders
    110 min / week
Retyping the wholesaler order and hunting short dates

A nurse walks the shelves, taps numbers into a sheet, and the order is retyped from last month's email the day before the cut-off.

    Dispensary orders Agent
    0 min
Agent drafts the order and the short-date list

An agent compares counts to par levels, lists products in their last 90 days, and drafts the wholesaler order for the head nurse to adjust and approve.

  • Equipment servicing
    60 min / week
Remembering which machine is due a service

The autoclave sheet is found in a drawer, the engineer is emailed in a rush, and the visit lands on a theatre morning.

    Equipment servicing Agent

Agent tracks dates and drafts visits

An agent watches every service date, drafts the engineer's email around the theatre diary, and files the test sheets so they exist when asked.

  • Practice standards evidence
    90 min / week
Scrambling for audit evidence before a visit

Policies, training logs and certificates are spread across drives and inboxes, and three weeks before a visit someone starts to gather them.

Trust & control

You stay in control

Rotas, supplier orders and compliance paperwork are the backbone of a practice, so an agent only earns a place in them if you stay in charge. Actionist is built so you see everything it drafted, approve anything that leaves the building, and keep every file it touched.

Supplier and staff messages wait for approval

Cover requests, wholesaler orders and engineer emails are drafted and held for your sign-off. Nothing goes to a supplier or a locum unless you widen that autonomy yourself.

Health messages are routed, never answered

If a note about an animal's health lands in an operations inbox, the agent passes it untouched to the duty vet. It never triages, interprets or replies about an animal's condition.

Controlled drugs stay out of reach

The agent can remind the named vet that a register check is due. It never opens, edits or reconciles the controlled drugs register, and drug decisions stay with your vets.

A full trail and your data stays yours

Every draft, filed sheet and flag is logged with a timestamp. Your rota, supplier terms and audit files are encrypted and never used to train any model, and you can self-host on a VPS.

FAQ

Frequently asked questions

Does my veterinary operations team need to be technical to use Actionist?
No. Actionist is built for practice managers and head nurses, not developers. You describe how your rota, stock sheet and audit folder work in plain language, connect the apps you already use, and the agent learns the job. There is no code, and for tools without an API the agent operates the screen the way a person would.
How do I get started with AI agents for veterinary operations?
Pick one job that eats your week, such as the Thursday wholesaler order or the rota. Connect the sheet, inbox and calendar it uses, describe the steps and your par levels or cover rules, and run it in a mode that drafts for approval. Once you trust it, add the next job. The demo shows the first agent on your own practice.
How do I make a custom AI agent for something unique to our practice?
The agents on this page are examples, not the limit. Describe the job in plain words, such as a weekly check of the boarding kennel cleaning sheets or the referral pack list for your specialist centre, connect the apps involved, and Actionist builds a custom agent for it. You choose how much it can do on its own.
How quickly can I set Actionist up for our clinic?
Most teams have a first agent running within a day: connect the apps, write down the steps for one job, and test it on a real week. Rotas and stock sheets are usually the quickest to start, because the data is already in a spreadsheet and the rules are written down in your head.
Our practice management system has no API. Can an agent still work with it?
Yes. Actionist's cloud machine operates the screen like a person, clicking and typing in the programs your team already uses, so it works with software that has no API. That includes a practice management system, a wholesaler's ordering portal, or an old stock program. Computer use runs in the cloud.
Will an agent ever touch the controlled drugs register?
No. The agent can remind the named vet that a register check or licence renewal is due, but it never opens, edits or reconciles the register, and decisions about drugs stay with your vets. The same applies to dosing or stock decisions: it lists and flags, a person decides.
What happens if a message about an animal's health lands in an operations inbox?
The agent passes it untouched to the duty vet and does nothing else. It does not triage, interpret or reply about an animal's condition, and it never reads lab results. Operations agents work on the business side of the practice, with the vet handling anything about an animal's health.
Will an agent send a cover request or a supplier order without me seeing it?
Not unless you widen that yourself. Approval Modes let you choose between suggesting a draft, asking each time, or letting a routine job run on its own once you trust it. Anything that goes to a locum, wholesaler or engineer is drafted and held for approval first, and approvals reach you by Telegram or Slack.
Is our rota, supplier and audit data safe?
Your data is encrypted and is never used to train any model, and you keep a full log of what each agent read and drafted. If everything must stay on your own infrastructure you can self-host on a VPS. Actionist is front-office tooling for the business side of your practice and does not process animal health information.
