AI workforce for Salons & Spas Operations

AI agents for operations teams in salons and spas

Actionist is an AI automation tool whose agents operate the apps your salon operations team already uses, from walking the shelves with a clipboard to an agent drafting the reorder before a shade runs out.

Salon and spa operations teams get back the hours lost to stock counts, delivery checks, colour reconciling, and logbooks.

Where you spend your time

Why Salons & Spas Operations teams switch

We know how your week actually goes

What matters to you
  • Colour and backbar never run out mid-service
A tube of 7N or a tub of wax strips hits its reorder line before a client is in the chair.
  • Deliveries match what you ordered
Every box from the colour house or skincare rep is checked against the order, and shorts are flagged for a claim.
  • Product used matches product charged
Colour grams and treatment consumables are compared with the services booked, so leakage shows up weekly.
  • Machines are serviced before they fail
Steriliser, LED mask and wax heater service dates are tracked, so no room is down on a Saturday.
  • Hygiene logs are complete every day
Sterilising sheets, spa pool readings and closing checks are read each evening, and gaps are flagged.
  • You know what each treatment earns
Cost per service and revenue per room hour are worked out from your own bookings and till.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Salons & Spas Operations team's day.

The problem

Where the hours go

  • The 6.1 and the developer run out in the middle of a colour appointment because the colour wall was last counted on Friday, and the stylist is standing there asking someone to find a tube while the client waits.

An agent counts the colour wall and retail wall from the figures your team logs, compares them with the week's bookings, and drafts the reorder by supplier before any shade reaches its line.

  • A box arrives with two lines missing and a bottle cracked, and by the time anyone ticks the delivery note against the order the rep has moved on, the credit window is closing, and the invoice has gone to be paid in full.

An agent reads each delivery note against the order, flags shorts and damage, drafts the claim to the distributor for your approval, and watches the monthly price list for quiet rises.

  • Three colour bowls a week go uncharged and nobody can say which, because the mix log lives in one sheet, the services in the booking system, and the comparison only happens when the margin looks thin.

An agent compares grams used with colour services charged every week, lists the mismatched bowls by stylist and date, and leaves the conversation about it to you.

  • The steriliser is overdue a service, the sterilising sheet has two blank days, and the spa pool reading for Tuesday was never written down, but no one finds out until the engineer or the inspector asks.

An agent reads the logs each evening, flags a missing sign-off or out-of-range reading to the manager in Slack, and keeps the equipment service register current, so gaps are found the same day.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA shade or retail product drops to its reorder linefires within about a minute
The agent automatically

When the scheduled stock check finds a shade, tube of developer or retail product at or below its reorder point, the agent flags it in Slack within about a minute, showing units left, the weekly usage and the supplier, and adds a suggested quantity to the draft order. The order still waits for your approval before it goes to the distributor.

What your agent runs for you

  • Operations
    90 min / week
Building the weekly reorder from the shelves

Someone walks the colour wall and retail wall with a clipboard on Friday, types the shortfall into three supplier emails on Monday, and forgets the developer that was low.

    Operations Agent
    0 min
Agent drafts the order from the counts

An agent reads the logged counts and last week's sales, drafts one order per distributor with minimums applied, and waits for your approval before anything is sent.

  • Operations
    60 min / week
    Ticking deliveries against orders

The box arrives mid-afternoon and the delivery note sits on the desk until Thursday, by which time the rep has moved on and the credit window for a short line has nearly closed.

    Operations Agent
    0 min
Agent compares the note with the order the same day

An agent reads each delivery note from the folder, lists shorts and damage by order number, and drafts the claim to the distributor for your approval.

  • Operations
    60 min / week
Finding colour that was used but not charged

The mix log sits in one sheet and the services in another, so the gap is only noticed when the monthly margin looks thin and no one can say which bowls were missed.

    Operations Agent
    0 min
Agent compares grams used with services charged

An agent compares the mix log with colour services by stylist and day every week, and lists mismatched bowls for you to look at.

  • Operations
    70 min / week
Chasing equipment servicing and daily logs

Service dates live in someone's diary, faults are mentioned at the desk, and a blank sterilising sheet is found by whoever opens the folder next.

    Operations Agent

Agent keeps the register and reads the logs each evening

An agent tracks every service date, merges the fault reports, drafts engineer emails for approval, and flags blank log entries to the manager in Slack.

  • Operations
    80 min / week
Working out what each treatment really earns

A once-a-year spreadsheet that gets out of date the moment a supplier raises a price, so nobody can say what a full head of foils or a facial earns per room hour.

    Operations Agent
    0 min
Agent keeps service cost and room-hour earnings current

An agent recalculates cost per service from your own price lists and ranks treatments by earnings per room hour, leaving the pricing decision to you.

Trust & control

You stay in control

An agent that sees your stock, suppliers and logbooks only earns trust if you stay in control. Actionist is built so you see everything it touched, approve anything that reaches a supplier or changes a record, and keep every sign-off yourself.

Supplier orders and claims wait for approval

Every order, claim and engineer email is drafted and held for your approval before it goes out, so the first thing a supplier sees from Actionist is something you already reviewed.

The agent prepares, a person decides

Reorder quantities, a supplier switch, a price change and a new machine are your decisions. The agent shows the numbers and drafts the paperwork, and approval modes decide how much it may do alone.

Hygiene sign-off stays human

The agent reads the logs and flags blanks or out-of-range readings. It never signs a record or decides what to do about a reading, and the manager keeps the responsibility.

A full record of what it read and drafted

Every count, delivery comparison and draft is logged with a time, so you can see what changed and why. Your records stay in your own apps, and you can self-host if everything must stay on your own infrastructure.

FAQ

Frequently asked questions

Does my salon operations team need to be technical to use Actionist?
No. Actionist is built for people who run a salon or spa, not developers. You describe how you count stock, order from your distributors and keep your logs in plain language, connect the apps you already use, and the agent follows that. There is no code to write and no API to set up for most of your tools.
How do I get started with an operations agent for my salon or spa?
Book a free demo. An Actionist team member will look at your biggest back-of-house pain, whether that is the colour reorder, delivery checking or the hygiene logs, and build a working example against your own stock sheet or booking data. You approve what it drafts from the first day.
How do I make customised AI agents for how our salon runs its stock and suppliers?
You describe the agent's job, the apps it uses and the approval rule for each action. For stock, you tell it which shelves to count and where the reorder points sit. For deliveries, you tell it which distributors you use. The agent follows those rules every run, and you adjust them as the salon changes.
How quickly can I set a salon operations agent up?
A simple agent, such as one that reads your colour count and flags low shades in Slack, can be running within hours of the demo. A fuller one that drafts orders by supplier and checks deliveries usually takes a few days of tuning, tested on a copy of your data before it touches your live sheets.
Where do our stock, supplier and hygiene records live, and is it used to train AI?
Your records stay in your own apps and sheets. What the agent reads is encrypted and is not used to train any model, and a full log shows what it read and drafted. If everything has to stay on your own infrastructure, you can self-host Actionist.
Our till and booking system have no API. Can an agent still count stock and read bookings?
Usually, yes. Actionist operates your tools the way a person does, reading the screen and clicking in the cloud, so it reaches a till or booking system with no open connection. Where an app has a clean integration it uses that, and where it does not, it works the screen and asks for approval on anything that changes a record.
Will the agent send a supplier order or change a record without me seeing it first?
Not unless you decide to widen it. Orders, claims, engineer emails and any change to your stock sheet are drafted and held for approval by default. Approval Modes let you move from Suggest to Ask each time to Guarded auto, and anything that spends money or changes a live record always needs a person.
Can it cope with the Christmas and bridal-season stock rush?
Yes. The scheduled checks run on the same cadence in December as in a quiet week, so the colour wall, the backbar and the deliveries are watched either way. What changes is the volume, and you can plan ahead because the agent drafts the seasonal gift set and capacity plans from last year's own sales.
Does the agent sign off our hygiene logs or inspection records?
No. It reads the sheets your team fills in, finds blank lines and out-of-range readings against your own procedure, and tells the manager. The manager reviews, acts and signs. The agent never signs a record, never judges what a reading means, and never replaces the person responsible for the premises.
