How does Actionist connect to Formstack Documents?
Go to the Apps tab in Actionist, find Formstack Documents, and click Connect. You will be prompted to enter your API Key and API Secret from the Formstack Documents Settings → API page. Actionist runs a read-only test call to confirm the credentials before any document actions run.
Which document formats can Actionist generate through Formstack Documents?
Formstack Documents supports PDF, Word DOCX, Excel XLSX, PowerPoint PPTX, and HTML output formats, depending on how each template is configured in your Formstack Documents account. The Create Document Merge and Create Data Route Merge actions in Actionist produce whichever output format the template is set to deliver. The Convert File to PDF action can then convert any of these output files into a PDF for delivery or archiving.
Can Actionist trigger a document merge from data in my CRM or spreadsheet?
Yes. Actionist can read a row from Google Sheets, a deal from HubSpot or Salesforce, or a record from Airtable and pass the field values directly to Create Document Merge or Create Data Route Merge. The agent maps the source fields to the corresponding merge tags in your Formstack Documents template — no manual copy-paste between systems.
What happens to a document after it is merged — can the agent deliver it automatically?
Yes. The New Merged Document trigger fires within about a minute of a merge completing. Your agent can then retrieve the output file and deliver it to any connected destination — email via Gmail, cloud storage via Google Drive or Dropbox, e-signature via DocuSign, or a Slack or Telegram notification with a download link. The agent handles the entire post-merge delivery chain without human intervention.
Can Actionist extract data from an inbound PDF and push it into another system?
Yes, using the Extract Field Values From PDF action. When a filled PDF arrives — an intake form, a supplier invoice, or a signed contract — the agent extracts the named field values and passes the structured data to any connected app, such as creating a CRM contact, updating a spreadsheet row, or opening a support ticket. The PDF must have named form fields for extraction to work; scanned image PDFs without embedded fields are not supported by this action.
How does the Combine Files action work, and what file types does it accept?
The Combine Files action merges up to five input files into a single PDF or DOCX output. You provide the files — either as URLs or as file objects passed from upstream steps — and Formstack Documents concatenates them in order. All input files must be in PDF or DOCX format for combination. This is useful for assembling multi-part deliverable packs such as a proposal plus an NDA plus a pricing schedule into a single document for the recipient.
What is the difference between Create Document Merge and Create Data Route Merge?
Create Document Merge targets a single named document template and produces one output file. Create Data Route Merge targets a Data Route — a routing layer in Formstack Documents that can fan data out to multiple templates simultaneously, apply conditional logic to choose between templates, or deliver to multiple delivery channels in one call. Use Create Document Merge for single-template generation and Create Data Route Merge when your output requirements involve branching logic or multiple document types from one data payload.
Can Actionist generate documents on a schedule without a manual trigger?
Yes. Actionist supports scheduled agent tasks that run at a time and cadence you define. For example, you can schedule the Finance Agent to generate and email invoices for all accounts due this week every Monday at 8 AM, or the Operations Agent to produce and distribute the weekly KPI report every Monday morning. Scheduled document generation that runs continuously requires a cloud runtime plan (requires cloud runtime plan).
