Where you spend your time

Why Course Creators Admin & Front Office teams switch

We know how your week actually goes

What matters to you
  • One inbox, sorted before you open it
Press, vendors, partners, and stray student mail are labelled and routed to the right person.
  • Coaching calls booked without ping-pong
Requests, time zones, and Zoom links handled, with confirmations waiting for your approval.
  • Live sessions ready to run
Questions collected, links prepared, and the replay filed within a day of the session.
  • Paperwork filed where it can be found
Agreements, releases, and invoices land in the right Drive folder with the right file name.
  • Requests that never get lost
Collab, accessibility, and data requests logged with an owner and a due date.
  • Recording days that run smoothly
Studio bookings, editor hand-offs, and renewals tracked on one board.

And hundreds of other tasks you do manually..

An agent can take a lot off your team's plate. Take a look below to see the time and cost you could save by adding AI agents to your Course Creators Admin & Front Office team's day.

The problem

Where the hours go

  • The general creator inbox mixes press, vendors, partners, and stray student questions, so a speaking invitation sits next to a login complaint for two days.

An agent labels and routes each message to the right person with a short summary, drafting only the routine replies for your approval.

  • Booking one coaching call takes five emails across three time zones, and a no-show restarts the whole thing.

An agent reads the request, proposes slots from your real calendar, and drafts the confirmation and the rebooking note for your approval.

  • After every live session someone has to export the recording, upload it, paste the link, and email attendees, often days late.

An agent prepares the replay, the lesson link, and the attendee note within a day, with the send waiting for your approval.

  • Signed agreements, guest releases, and editor invoices end up in Downloads with names like final_v3, so finding one means a half hour hunt.

An agent files each document in the right Drive folder with the agreed name and logs where it went.

Triggers

Your Agent wakes up Automatically whenever something happens

Your agents watch the apps you already use and act the moment something happens, usually within about a minute, handle it based on your instructions, 24/7.

WhenA coaching call is booked in Calendly or Acuityfires within about a minute
The agent automatically

Within about a minute of the booking the Call Scheduling Agent reads the student's time zone and answers, checks the coach's calendar for clashes and buffer, creates the Zoom meeting, and drafts the confirmation and pre-call note. You approve the note before the student sees it, and the booking is logged in Airtable.

Trust & control

You stay in control

The admin desk of a course business touches student mail, calendars, and signed documents, so everything that leaves is yours to approve. Agents sort, schedule, and file; people decide.

Nothing leaves without your approval

Confirmations, reminders, replays, and replies are drafted and queued. Students and guests receive only what you have approved, unless you widen that yourself.

Student questions go to support

Student mail found in the general inbox is routed to the support team with the order details. The admin agent does not answer it.

Requests are decided by people

Collaboration, accessibility, and data requests are logged with an owner and a date. The agent does not grant, refuse, or respond to them.

Files stay in your own Drive

Agreements, releases, and invoices are filed in the folders you choose, and every move is logged. Your data is not used to train models.

FAQ

Frequently asked questions

Do I need to be technical for an admin agent in my course business?
No. You describe the job in plain words, connect Gmail, Calendly, Zoom, and your Drive, and tell the agent your naming rules. Most creators start with inbox sorting or coaching call booking.
How do I get started with my first agent?
Pick one job that repeats, such as sorting the shared inbox. Connect Gmail and Slack, run in Suggest mode for a couple of weeks, check the labels it applies, and add the next job when you trust it.
How do I make a customised AI agent for my creator admin work?
Describe the task, the tools it touches, and where you want to approve. A creator might ask for a weekly attendance export, a guest release chase, or a studio booking draft. The agents here are examples, not the limit.
How quickly can I set up the first admin agent?
Inbox sorting can run within a day of connecting Gmail and Slack. Scheduling takes a little longer because the agent needs your calendar rules and buffer times. Plan a week to cover inbox, bookings, and replay filing.
Will it email my students or guests without my seeing it?
Not by default. Every confirmation, reminder, replay email, and rebooking note is drafted and queued in Slack or Telegram for your approval. Approval Modes let you widen autonomy on routine acknowledgements, and sensitive steps always ask first.
Does it answer student questions that arrive in the general inbox?
No. It recognises the student, finds the order, and drafts a hand-off to your support team. A person answers the student. Refunds, access issues, and policy questions are never decided by the admin agent.
My booking tool and my course platform do not connect. Can it still work?
Yes. Your booking page, Zoom, and course platform can stay exactly as they are. Where a clean connection exists the agent uses it, and where it does not the agent works the screen like a coordinator would, such as copying a Calendly booking into the coaching tracker. Screen automation runs in the cloud.
How does it handle accessibility or data requests from students?
It logs each request with the requester, type, and a due date and pings the responsible person. It does not decide, respond, or delete anything. Those calls belong to a person, and your lawyer for data law.
Where do my files and student details live, and is that used to train AI?
Your data stays yours and is not used to train models. The agent reads only the apps you connect, and every file move is logged so you can audit it. If you need it on your own infrastructure, you can self-host on a server.
