How does Actionist connect to MaintainX?
Go to the Apps tab, find MaintainX, and click Connect. Enter your MaintainX API key, which you can generate from your MaintainX account under Settings > API Access. Paste the key into the API key field in Actionist and click Test connection. Actionist will run a read-only call to verify the handshake before any actions run.
What can Actionist agents do with MaintainX?
Actionist can create and update work orders, work requests, assets, and locations, add categories to work orders, post messages and comments, search for any entity, and listen for trigger events such as new work orders, work order status changes, new assets, and new work requests. How quickly does Actionist detect a new work order or status change in MaintainX?
Actionist agents poll MaintainX for new events within about a minute of them occurring. When a new work order is created, a work order status changes, a new work request is submitted, or a new asset is added, the agent detects the event within about a minute and can immediately trigger downstream actions in other connected apps.
Can I connect MaintainX to other apps like Slack or Google Sheets in the same workflow?
Yes. You can combine MaintainX with any of Actionist's connected apps. Yes. Actionist can create preventive maintenance work orders on a recurring schedule. Set up a scheduled agent task that calls Create Work Order on whatever cadence you need — daily, weekly, monthly — with the appropriate asset, location, and procedure fields pre-filled. This removes the dependency on MaintainX's built-in PM scheduler for any routines you want to coordinate with external systems or approval gates.
How do I get notified in Slack when a work order is completed?
Use the Work Order Status Change trigger. When a work order moves to Completed, the agent can post a summary to your Slack channel, update a Google Sheets maintenance log, or create a follow-up task in your project management tool. You configure which status transitions should fire the downstream actions, so routine completions can be handled differently from emergency closures.
Can the agent check whether an asset or work order already exists before creating a new one?
Yes. The Find an Entity action lets you search MaintainX for existing assets, work orders, or locations before creating a new record. This is the recommended pattern for any intake flow — search first to confirm no duplicate exists, then create only if needed. You can also update an existing work order or location rather than creating a duplicate entry.
